Employee privileged access and Data Confidentiality Agreement

University registration resources and services are managed with Privileged access through
registration administrators. This empowers registration admins to take actions that may
affect computing systems, stored data integrity, and visibility of others' data, enable network
communication, and add new Identities or accounts, files, data, mail, or processes of other
users.

To perform their job duties in support of the University’s mission, employees in Registration
Department support roles are frequently provided privileged access to the information
systems that they support and to the data and records managed by those systems. Privileged
access imposes the responsibility and obligation to use that access in an ethical, professional,
and legal manner that is strictly within his or her authorized job functions. The University Of
Sharjah is committed to advancing the ethical and responsible use of all information
resources and does not tolerate illegal, dishonest, improper, or irresponsible use.

In exchange for the elevated access privileges awarded to me as a registration employee,


I agree to abide by the following performance standards:

1. Ensure due diligence in all my privileged access


2. Ensure University data integrity is maintained with judicious actions, supported by
a sound technical understanding based on time place, and circumstances.
3. To take every reasonable precaution to prevent unnecessary or unauthorized
access to any passwords, user identifications, or other information that may be
used to access information systems, whether those systems belong to the
University or to private parties.
4. Ensure access is provided on a “need to know” basis. To limit access to the
information contained in or obtained from information systems to authorized
persons.
5. No encroachment to stored staff data (share drives / Databases / Networks/Mail)
unless permitted by the business custodian.
6. Will not permit outside guest/ Vendor access to UOS data without NDA or
appropriate measures.
7. Least intervention to HR, Finance, Mail, and Personal data unless part of daily job
routine.
8. Ensure close supervision of registration data and services while the joint
investigation, Troubleshooting, Vendor driven upgrade, Project implementation,
etc.

9. To treat all information encountered in the performance of my duties as


confidential unless and until advised otherwise by my director.
10. To seek guidance from my director whenever I am unsure of the correct decision
regarding the appropriate use and confidentiality of information, and to do so
BEFORE I take any action that might compromise that use or confidentiality.
11. To avoid any sharing, recording, transmission, alteration, or deletion of information
in the information systems except as required in the performance of my job duties.
12. To strictly comply with all University policies related to the use and security of the
University’s information resources.
13. To report any incidents of non-compliance with the terms of this agreement to my
director.
14. Ensure my social media profiles and activities intentionally or unintentionally do
not disseminate University IT information.
15. Will not use UOS data under my custodianship for personal gains.

I understand that this agreement applies to the University’s campus network onsite /
Electronically onsite (VPN OR SAAS) all electronic systems owned or operated by the
University, whether or not they are connected to that network, and to all privately owned
electronic systems that may be brought to campus or connected to the campus network.

I further understand that the University of Sharjah considers a violation of these standards
to be a serious offense and that if I violate this agreement, I may be subject to disciplinary
action up to and including termination of my employment with the University.
