Duties & Responsibilities

of Office Boys
1. Appearance
• Wear clean and ironed clothes every day
• All buttons of shirts should be proper closed
• Wear safety shoes every day
• Shoes polish to be done every 2 or 3 days
• Nails should be proper clean & cut
• Hair cut to be done every month
• Shaving to be done at least every 2-3 days
2. Welcome
• Do welcome all staff, executives and guests i.e Good
Morning, Good Afternoon, Good Evening etc.
• Do wish on Birthday, Marriage Anniversary, any promotion
or any achievements
3. How to Serve
• Briskly serve water when any guest arrives
• Ensure proper cleanliness of Cups / Glass / Coaster / Hands
before serving Tea, Nasta or Food
• Put plates / cups at proper place on table wile serving Tea
and Nasta
• Always carry Tea Coaster while serving water or Tea
• Ensure water or tea or coffee do not spills on tray
• Immediately clean the table after Tea or Nasta
4. Cleanings
• All offices to be cleaned in the early morning
• Ensure proper cleaning has been carried out by sweeper
• Everyday do clean table, monitors, key boards, mouse, CPU,
Phones etc.
• Kettle, cups and trays to be washed immediately
• Kittle to be kept in sun heat for 1 Hour every 3 days
• Do not waste too much water while cleaning utensil
• Do proper cleaning of water bottle every day
• Whenever requires, do clean bottle with brush
• Wastage / Food Wastage to be thrown at proper place ie.
Dustbin
• Ensure cleaned doormats lying at every main door of HR
office

• Do proper clean every chair in the office, whenever
requires do clean drawers of the tables
• Ensure each dustbin is empty and in good condition
• Ensure all almaris / cupboards are clean
• Always clean cups / plates with detergent powder only
• Clean windows / doors / glasses / curtains in every 2 – 3
days
• Do clean switches / Plugs / switch boards with proper care
• Keep notice board clean & well arranged
• Immediately remove spider webs when come to the notice
5. Records
• Keep records of cup / kittle / plates / trays / spoons etc.
• Keep records of xerox copies
• Keep records of additional chair available at HR Office
• Keep records any material issued to Office Boys
• Inform to Reporting Officer about any damages to any
property
• Ensure proper in / out entry done for Office keys
6. Administration
• Do proper filing of documents given by staff
• Ensure no documents should be kept in drawer which are
given to be filed
• Do not fold documents while going to give it functional
manager
• Do not delay in transacting documents
• Event of any delay, immediately inform to reporting officer
about delay
• Quote paper on notice board in proper orders
• Remove old circulars from notice board with consent of
competent authority
• Inform immediately about any phone calls received during
absent of officers
• Ensure all switches are off before leaving office

• Ensure minimum inventory of cups , glass, plates
• Everyday ensure birthday wishes pamphlet to be displayed
at every notice boards
• Ensure Office Key is submitted after closing offices
7. How to Talks
• Try to speak less in office or avoid useless talk / gossip with
staff or colleagues
• Do not transact confidential talks
• Always keep your phone on silent mode
• Do not talk on phone in the office unless it is important
• Do not plug your mobile’s USB in any computer of company
• Do not listen music on mobile in the office
