or if you have any learning issues or needs that may hinder you when
attempting any part of the assessment.

Complete the following activities:

Task 3.1 Case Study

You are working with the collaborative ally in your program. Assume the scenarios below occurred.
Contextualise each scenario to reflect your program and plans where required.

You have received a series of reports that have highlighted the following issues

A. Two of the KPIs set in the collaboration plan are not on track (specify the KPIs).

Contextualization: In the context of your program, which focuses on promoting renewable

energy solutions, one of the KPIs set in the collaboration plan could be "Increase the
percentage of energy generated from renewable sources by 20% by the end of the year."
However, the report indicates that the current progress shows only a 10% increase,
indicating that this KPI is not on track. Another KPI related to the program's objective could
be "Reduce carbon emissions by 30% compared to the baseline." However, the report
reveals that the carbon emissions reduction is currently at 15%, indicating that this KPI is
also not on track.

This situation highlights the need to address the performance issues related to these specific
KPIs. It may require evaluating the root causes, engaging with the collaborative ally, and
jointly developing strategies to improve performance and get the KPIs back on track. It
could involve revisiting the collaboration plan, identifying potential bottlenecks, and
implementing corrective measures to ensure progress towards the program's objectives.
Regular monitoring and proactive communication with the collaborative ally would be
essential to address these issues effectively.

B. The following happened:

o The collaborative ally is no longer able to share all the resources that were agreed upon
(specify what resources)
o The collaborative ally is not providing timely reports/feedback as agreed because they
think it is time-consuming

B. The collaborative ally is no longer able to share all the resources that were agreed upon
(specify what resources).

Contextualization: In the context of your program, which aims to provide educational

resources to underprivileged communities, the collaborative ally could have agreed to share
their library of digital learning materials, including e-books, online courses, and educational
videos. However, due to unforeseen circumstances, such as budget constraints or changes
in their organizational priorities, the collaborative ally is no longer able to provide the
complete set of agreed-upon resources.

This situation poses a challenge as it affects the availability and quality of resources that
were crucial for the success of the program. It would require revisiting the collaboration
agreement, engaging in open and honest communication with the ally, and exploring
alternative solutions. Possible approaches could include seeking alternative sources for the
missing resources, collaborating with other organizations that can provide similar resources,
or redefining the resource-sharing arrangement based on the ally's limitations.

B. The collaborative ally is not providing timely reports/feedback as agreed because they
think it is time-consuming.

Contextualization: In the context of your program, which involves implementing a

community development project, timely reports and feedback from the collaborative ally
play a crucial role in monitoring progress, assessing outcomes, and making informed
decisions. However, the ally has expressed concerns that providing the requested reports
and feedback is time-consuming and burdensome.

This situation highlights the need for open communication and understanding between both
parties. It would be essential to engage in a constructive dialogue with the ally to address
their concerns and emphasize the importance of timely reporting and feedback in achieving
the program objectives. Exploring ways to streamline the reporting process, providing
necessary support or templates, and highlighting the value and impact of the feedback in
driving program improvements could help overcome the ally's perception of time-consuming
reporting.

C. The Program Board has decided to discontinue one of your program projects (specify which
project) and cut your program budget by 15%.

Scenario: The following happened:

C. The Program Board has decided to discontinue one of your program projects (specify

RTO Provider: 91153 - CRICOS Code: 02672K

which project) and cut your program budget by 15%.

Contextualization: In the context of your program, which focuses on promoting sustainable

agriculture practices, one of the program projects could be the "Farmers Training and
Capacity Building Program." However, due to various reasons, such as changes in funding
priorities or program performance assessment, the Program Board has made the decision to
discontinue this specific project.

This decision would have significant implications for the program's overall objectives and
activities. The Farmers Training and Capacity Building Program may have been instrumental
in providing vital training and support to farmers, enhancing their knowledge and skills in
sustainable agricultural practices. The discontinuation of this project would result in a gap in
the program's ability to deliver targeted support to farmers and could impact the overall
effectiveness and outcomes of the program.

D. The collaborative ally is implementing a new knowledge management system that requires
substantial work, new processes, and personnel training.

The new system will have to be used in work tasks covered in the collaborative alliance.

A) Manage the collaborative alliance

For each scenario, address the following:

 Outline how the issue management process is applied (including the escalation process)

B) Evaluation

Based on your work in this assessment, the scenarios you responded to and self-reflection:
 Assess and evaluate the performance of both parties against the organisational and
program objectives and expected results.
 Determine lessons learned.
 Reflect on how you could improve your managerial and leadership skills when engaging in
collaborative alliance.
(100-150 words)

Based on my work in this assessment, I have assessed and evaluated the performance of
both parties involved in the collaborative alliances against the organizational and program
objectives. Through the analysis of the scenarios, it became clear that there were
challenges and variances in achieving the desired outcomes. For instance, in Scenario A,

BSBPMG637 - Engage in collaborative alliances V3 2021 Page 13

RTO Provider: 91153 - CRICOS Code: 02672K
greenwichcollege.edu.au
two KPIs were not on track, indicating a need for improvement. In Scenario B, issues with
resource sharing and timely reporting were identified, affecting the effectiveness of the
collaboration. Lastly, in Scenario C, the discontinuation of a program project and budget
cuts impacted the program's ability to achieve its objectives.
From these scenarios, I have learned valuable lessons about the importance of effective
communication, ongoing monitoring, and proactive problem-solving in collaborative
alliances. It is crucial to establish clear expectations, regularly review progress, and address
issues promptly to ensure alignment with organizational and program objectives.
Furthermore, reflecting on my managerial and leadership skills, I have identified areas for
improvement. Strengthening my ability to negotiate and define collaboration agreements,
including robust performance monitoring mechanisms, would help to identify and address
potential challenges early on. Enhancing my skills in conflict resolution and issue
management would also contribute to maintaining productive working relationships with
collaborative allies.
Overall, this assessment has provided valuable insights into the complexities and dynamics
of collaborative alliances. It has highlighted the need for continuous evaluation, adaptability,
and growth as a program manager to ensure successful outcomes and the achievement of
organizational and program objectives.
