recording the odometer reading to maintain transparency and accountability.

2. It is my responsibility to submit the previous month's fuel bills to the transport office no later
than the 7th of the subsequent month. I am aware that timely submission of these bills is crucial
for efficient record-keeping and financial management.

3. In relation to point 2, I acknowledge that failure to comply with the submission deadline may
result in the company deducting the corresponding fuel expenses from my salary. I understand
that this measure is in place to enforce adherence to company policies and to ensure timely
submission of required documentation.

4. When planning to take leave, I undertake to submit the following items to the Transport office
one day prior to my leave:

a) Fuel Card, if applicable

b) Vehicle Key, if applicable

c) Recurring fuel bills up to the last date used

5. Additionally, if there is a need for cancellation, I commit to submitting the following items to the
Transport office at least eight days prior to the cancellation:

a) Fuel Card, if applicable

b) Vehicle Key, if applicable

c) Recurring fuel bills up to the last date used

I understand that failure to comply with the requirements outlined in points 1 to 5 may result in
complications and inconveniences for the company's transport operations. Therefore, I assure you that I
will abide by these guidelines to facilitate smooth processes and maintain proper documentation.
