GUIDELINES AND PROCEDURES IN ABSENCES 1) In the event that the teacher will be absent from his/her class, said teacher should inform DYSY Admin by sending a message in the Classin Chat box and tagging DYSY Admin. Otherwise, the absent teacher will be deemed to be absent without pay and will be subject to disciplinary action as per stated in the Contract. This notification requirement is best illustrated in the picture below: 2) Aside from informing DYSY Admin via Classin Chat box, the teacher is also required to notify DYSY Admin via Skype considering that there are times where Classin Chat box does not notify the admin despite already being tagged. As such, in order to make sure that DYSY Admin is duly informed of said absence, the teacher should also communicate his/ her absence via Skype. Attached below is a picture of the said communication for your perusal and reference. May 9pm to 10pm Mamamanhikan po kami In cases where the student will be absent and said student and/or his/her authorized representative communicates his/her absence in the Classin Chat box, the teacher should assist such student and/or his/her authorized representative and shall make sure that DYSY Admin is notified of such absence. Further, the teacher should also communicate the student's absence via Skype anytime at the convenience of the teacher. 4 5) 6) 1) As a general rule and as per mentioned in the Contract, the teacher is deemed to have rendered his/her class and is entitled to the rate of said class in the event that the student fails to inform his/her absence at least six (6) hours ahead of the scheduled class unless ‘said absence is due to valid reasons as mentioned in the Contract. (On the other hand, in cases where the teacher fails to communicate his/her absence at least six (6) hours ahead of the scheduled class, said teacher is obliged to give one (1) free class in the subsequent meeting of the student unless said absence is due to valid reasons as mentioned in the Contract. In cases where the teacher's absence falls under any of the valid reasons not to inform DYSY Admin at least six (6) hours ahead of the scheduled class, documentary proof is required to be submitted in order to determine whether or not such absence is valid. The said documentary proof shall be submitted to DYSY Admin’s skype account only. The following are NOT considered as valid documentary proofs, to wit: 7.1.) Incases of brownouts/ blackouts: 1. Picture of the working station without lights; Page 2 of 42. Picture of a damaged wire or any other appliance that requires the use of electricity; and 3. Text message from the electric company stating that there will be a brownout/ blackout. 8) Instead, the documentary proof that should be presented in cases of brownouts! blackouts is the link or a website showing that a brownoull blackout is about to occur in the said place and the duration of the said brownout/ blackout. 9) In addition to the preceeding paragraph, the teacher should also send as additional proof any government-issued identification card showing his/her address or in the absence of such, proof of billing showing hisiher address. 10) The twin requirement of (1) showing the link/website of the supposed brownout/ blackout and (2) the government-issued 1D/ proof of billing should be complied with in order to be exempt from the 6-hour advanced notification requirement. Failure to do this shall result in giving free one (1) hour class. 11) Itis highly encouraged for those teachers living in areas where there is frequent electricity interruption to buy a mini-generator or the like since electricity is a must in order for a teacher to conduct his/her class. 12)In cases where the absence of the teacher is due to a health issue of the said teacher or his/her family member, proof of relationship such as but not limited to, PSA-Authenticated Certificate of Live Birth, PSA-Authenticated Marriage Certificate, identification cards must be sent to DYSY Admin. 18) Furthermore, taking pictures of the medicine or the teacher's family member lying on the bed or in the hospital alone is not considered as proof in order to be validly excused from complying the 6-hour advanced notification requirement. Instead, it should be accompanied by a medical certificate bearing the name of the teacher or his/her family members, the date of the certificate and the name and signature of the doctor duly issued by a licensed physician. Page 3 of 4Flndl seis 14) In the event that the absent teacher will not be able to comply with the above-mentioned requirements, DYSY Admin will not entertain any concerns, queries and complaints in relation to the said absence. As a result, the absent teacher is deemed to have violated the terms and conditions set forth in the Contract and may face a disciplinary action in addition to conducting a free one (1) hour class, if DYSY Admin deems it proper. 15) This rule in intended for the protection of both the student and the teacher who is expected to follow the terms and conditions set forth in the Contract in order to have a strong, healthy and happy teacher-student relationship. 16) In cases where the absent teacher has successfully communicated his/her absence at least six (6) hours ahead of the scheduled class via Classin Chat box and Skype, said teacher does not need to submit documentary proofs since his/ner absence is deemed approved. 17) However, if it can be determined and proven that the teacher has been frequently absent despite being able to follow the aforementioned requirements, said teacher's record will be affected. As a result, DYSY Admin will give less students although said teacher’s schedule is open. In addition to that, DYSY admin may find other teachers to take his/her student because of his poor attendance. 18) In order to avoid frequent absences, the teacher is advised to manage his/her time well and to limit the number of his/her students. DYSY Admin will not in any way give negative record for those teachers who refuse to accept more students so long as the performance is accordance with the acceptable standards of DYSY Language Academy and in the teaching community as whole.
