I. INTRODCUTION
As far as the undergraduate program is concerned, students are required, among other
things, to complete a theoretical / practical project in their focus area to exercise over all
knowledge and skill capability application. This can be an individual or as team endeavor.
Every prospective graduate is required to come up with a formal written report and/or
hard/software as applicable. Besides, each candidate presents his/her work describing the
details of related theoretical aspects, methodology and outcome of the project. Final Year
Project was introduced in Defense Engineering College since 1997 to prepare students for
engineering practice. It is an important undertaking which requires the synthesis of the
knowledge and skills acquired in earlier course work, some creativity, and original
thinking. It is considered as the milestone of the undergraduate studies.
The outcomes of the Final Year Project (FYP) are highlighted below:

™ An ability to apply knowledge of mathematics, science, and engineering.

™ An ability to identify, formulate, and solve engineering problems.

™ An ability to design and conduct experiments, as well as to analyze and interpret data.

™ An ability to design a system, component, or process to meet desired needs within


realistic constraints such as economic, environmental, health, safety,
manufacturability, and sustainability.

™ An ability to use the techniques, skills, and modern tools necessary for engineering
practice.

The final year project will instill in students the importance of teamwork, expose them to
multi-disciplinary work and real world engineering where social, economical,
environmental, political, ethical, safety, sustainability (among others) constraints will
have to be also taken into consideration. Students will have the opportunity to work on
and improve their communication skills (written and oral). The final year project is the
largest single piece of work that prospective employers will most likely be interested in.

II. SELECTION AND APPROVAL OF FINAL YEAR PROJECT

a) Project topics of each candidate shall be recommended by students/instructors/


CRD/Industries/Ethiopian Air Force/Science and Technology Commission and
approved by the respective department council with in the first two weeks of the
semester,
b) Topics of the project should be current and based on latest technology,
c) If the project recommended by the student is approved by the department council,
he/she is expected to get an advisor within the department or the department shall
assign an advisor,
d) If the project is not recommended by students, the candidate(s) involved in the
program shall select topics for their project in consultation with their advisors in
his/her field of specialization,
e) The projects preferably should be done by not more than two candidates if a
project topic belongs to one department,
f) If the selected project involves different departments, the number of candidates
could be more than two,
g) The candidates should prepare and defend their project proposal immediately after
the approval of their topics.

III. PROGRESS REPORT


a) The candidate shall present progress report at the end of 7th and 14th week.
b) The respective advisor and departmental committee shall review the
progress report. (See APPENDIX-III)

c) The department shall assign evaluation committee for progress report and
15% of student’s grade is given by this committee. (See APPENDIX-IV)

IV. PROJECT FORMAT

Standard formats a candidate should follow are enclosed as appendices V to IX as


components of project report format, cover page, project template, declaration, and
certificate. A brief explanation over the contents is given below:

a) Cover page :
Detail is given in APPENDIX “VI”
b) Declaration by students:- Students should declare with signature saying the
report has been done by themselves and no plagiarism has been involved.
c) Certificate by advisor:-
Detail is given in APPENDIX “IX”
d) Abstract:
i) What has been covered or done so far in the project as a
summarized format ; which may include:
¾ Motivation: Why did you do it?
¾ Significance: What are your findings and conclusions?
ii) The abstract should be approximately 200 words long. It
normally takes at least four revisions to achieve a good abstract.
N.B An abstract of the project is not more than about ½ to ¾ of a page.
e) Acknowledgement:
i) Help from friends and colleagues, and staff
ii) Support from the College and any other institution
iii) Support from parents
f) Table of Contents:- Consists of chapters and sections
g) Introduction:- The status and objectives of the problem must be explained briefly,
purpose of the project and rationale for the project should be indicated precisely.
Besides, overall layout of the project should be highlighted.
h) Literature survey:- The summary of work already done on the subject by various
researches is to be highlighted.

i) Statement of the Problem:- The problem must be defined clearly.


j) Methodology:- You explain why and how you intend to conduct your
investigation.
k) Numerical and Experimental Investigation:- In the case of a theoretical project,
the method of solution must be clearly explained. In the case of an experimental
investigation, the parameters for analysis must be clearly identified and presented.
l) Project cost analysis(as applicable): The methodology, algorithm/flowchart
giving the sequential activities proposed to be undertaken must also be presented.
m) Results and Discussion:- A summary of results must be presented with
justifications. Graphical presentation should be made along with error analysis
whenever necessary.
n) Conclusion and Recommendation:- This should highlight the positive results
and contributions made by the candidates. Limitations of the study and also
suggestions for further study/analyses of the problem wherever applicable must
also be indicated.
o) Bibliography:- Include here all bibliographic materials referenced with in your
report. You must quote reference numbers at appropriate places in the report
where needed.

Appendix:- Some of the highly involved technical details from the above sections can be
placed in the Appendix and referenced from the body of the report. Including all relevant
technical documentation, such as specification documents, design documents, and code
listings.

V. SUBMISSION AND EXAMINATION OF PROJECT REPORT


a) The candidates shall sign the report submission declaration form that final year
project has been done by the students’ effort without any plagiarism,
b) Final year project report shall be submitted to the department at the beginning of
16th week,
c) The department shall designate an examination committee after submission of the
final project report. The committee shall comprise of minimum of three and a
maximum of five members including the advisor,
d) The chair person shall announce the project title, venue and time of defense ahead
of time and the process of presentation and defense shall, unless otherwise
required by justifiable circumstances, be open and public,
e) The chair person of the committee will be the department head/section head.
f) The secretary for the committee shall be the advisor of the project (not considered
as a committee member) with no voting right,
g) The department may assign external examiners, who are experts in concerned
fields from other universities and institutions in Ethiopia,
h) The examiners judge the candidate based on the project report evaluation form.
55 % of student’s grade is given by the members of the examination committees.
The breakdown for various evaluation points will be as under:
i) Three hard copies of the final year project shall be submitted to the department
after the respective advisor verifies and signs the same. The three copies are
dispached among department, library and CRD,

1) Presentation (10%)
• An average engineer with first degree can understand what the
candidate has done, what result achieved, and the significance of the work. 4%

• The candidate has made clear and brief power point presentation 3%
• The candidate has prepared and presented precise presentation
within the given time ……………. 3%
2) Answering questions (10%)
• He/she understands the questions asked and answers precisely

3) Documentation (10%)
• The abstract precisely describes what has been done, what result
has been obtained and how significant the work is…………...2%
• Conclusion is based on the result obtained, recommendation
follows the result obtained…………………………………..2%
• The student has used grammatically correct English. …….3%
• The document is well formatted and organized………..3%
4) Demonstration (25%)

• The simulation and/or experimental system developed is to the


standard of graduate project and the demonstration is compatible with
the presentation.

studied directly in the curriculum and utilized in the project.

• The student is conscious of economics in his/her project set-up.

• The demonstration setup is effective and compact.

j) After defending the project, the candidate should take corrective action on
comments given by the examiners and shall submit three amended original hard
copies along with a softcopy to the department within one week after the date of
defense.
k) All copies shall remain property of the College.

VI. ROLE OF ADVISOR(S)

a) Each project advisor(s) supervising a project must complete a project advisor


form,
b) The degree of independence, involvement, creativity and the project related
characteristics of the individual will be scrutinized in the process,
c) Evaluate individual team member contributions to the overall team success,
d) Every week advisor(s) shall contact students and investigate their improvement,
e) The Advisor is, not so much as to answer specific questions regarding a given
project but to insure that public safety issues are addressed, ask critical over-
looked questions, critique engineering calculations and their translation into
engineering specifications and eventually drawings, critique project advancement,
f) 30% of the grade is given by the advisor of the candidate.
The advisor has to evaluate the student’s work as follows:
i) Result of the work 10%

ii) Performance of the project as planned 5%


iii) Technical and scientific understanding of the project 10%
iv) Quality of the work done 5%

VII. PROJECT GRADING


a) A project that is defended shall be graded based on the grading policies stipulated
by the College.

b) The minimum grade for a final year project to be qualified for award of degree is
C.
c) The candidates who score the final project below C shall not graduate and he/she
should repeat the project.

PROJECT TEMPLATE

1. The project should be typed using a word processor and printed on A4


paper with 3 cm margin at the left hand side and 2.5 cm margin at the top,
bottom and the right hand side,
2. The text must be in 12-point type and the headings in 14-ponit type with
1.5 cm line spacing and the text shall be justified,
3. The font size should not be less than 9-points for figure, table and
footnotes,
4. The font should be Time New Romans,
5. The length of undergraduate project report may be between 30 to 40 pages,
6. All project reports must be in a hard-bound form. No other forms of
binding shall be acceptable,
7. The project must be submitted in three hard copies and soft copy in pdf
format,
8. The reference list should be explicit with the author’s name, title,
publisher and date. Reference should be correctly cited in the text,
9. The page number should appear at top center,
10. All graphs should be produced using graphic software.
