ONLINE SHIFT PLANNER
OPERATOR INSTRUCTION MANUAL
2017

GENERAL POINTERS AND RULES:

o The new shift plan operates in local UK time GMT and each shift is now 1 hour in
length.

o The following weeks shift plan will be open for bookings from Midday Tuesday, and
operators have until midday Thursday the week before. The shiftplan will be locked
in every Friday.

o The working week now begins 8am Monday morning and ends 8am the following
Monday.

o You MUST book at least 12 shifts (12 hours minimum per week).

o You cannot book more than 10 hours per day

o Do not book more than 4 hours in a row. Have at least an hours break between
shifts if you wish to do more than 4 per day.

o Book your hours ASAP to avoid disappointment places may be limited depending on the
time of the day.

Your Login ID is your first name. Your PASSWORD is your usual chat password.

The first thing you will see is the menu below, where you can book and view your shifts.

BOOKING SHIFTS: Click on the button labelled “weiter” directly below SHIFT PLAN or select
SHIFTPLAN from the iconed menu above. PLEASE IGNORE THE MY WISHLIST BUTTON!

SHIFTPLAN SCREEN: Now you have to select the corresponding week in the bottom left. Please click
outside of the box once selected, otherwise your screen won’t update. (if in doubt of the week
number, the dates of that week display adjacent)

PLEASE NOTE: THE SHIFT PLAN WILL OPEN EVERY TUESDAY MIDDAY GMT AND YOU HAVE UNTIL
MIDDAY THURSDAY (OVER 2 DAYS) TO BOOK SHIFTS FOR THE FOLLOWING WEEK. ALL SHIFTS ARE
FINAL AND LOCKED AS OF FRIDAY. UNLIKE WISHLISTS WE CAN’T MAKE CHANGES PAST FRIDAY.

SHIFT PLAN SCREEN: You should see something as follows, example KW43. Please note ALL TIMES
are UK GMT local time. All shifts are an hour in duration.

If you cannot see any shifts and they should be active please inform your Team Leaders immediately.

PLEASE NOTE EACH DAY BEGINS AT 8AM

and ends the following day at 8AM. In the
Monday column you are booking for
shifts local time 8AM MONDAY until 8AM
TUESDAY MORNING. Please see the
illustration opposite and notice the days
correspond to the following day once we
pass midnight.

If you wish to book shifts for Monday

morning midnight to 8AM GMT you must
place these at the end of the SUNDAY
column and these will be take effect the
week after. EG if the working week is
Monday 23rd-29th October. Any shifts
booked for Mondays 2am-3am GMT
actually take place on Monday 30th
October, due to the shift plan starting at
8AM. So please bare that in mind if you
book that shift in the Sunday column.

OPERATORS OUTSIDE THE UK: Please

check these days and times with your
time zone. You are expected to know
what the corresponding time is in your
local time. We have created a guide to
aid you with the booking of hours and
avoid any confusion.

BOOKING SHIFTS EXAMPLE: “Gavin” wants to book 10PM to 11PM Monday to Friday and wants to
do a Tuesday and Thursday 1AM to 2AM.

Simply click the shifts one by one where you see the little green plus icon to the right:

A pop up will appear for each shift! Click YES to confirm!

PLEASE DOUBLE CHECK BEFORE YOU SAY “YES” BECAUSE ONCE YOU
BOOK THIS SHIFT YOU CAN NOT EDIT IT OR REMOVE IT ONLY TEAM
LEADERS CAN.

SUCCESS: Once accepted your shifts should highlight in blue indicating successful booking!

As you can see Gavin has now booked his shifts for KW43!

DISPLAYING YOUR SHIFTS:

1. CLICK on MY SHIFTS from the menu at the top.

2. SELECT the corresponding week number below.

3. CLICK on the icon to the right (Load week number).

You should see your shifts display as above with their corresponding days and times written in local
GMT of course!

INPUT ERRORS: However Gavin notices he has made a mistake he is going out Friday night and can’t
do the 10-11PM. Gavin cannot edit this mistake. He needs to inform his Team Leader immediately
before the plan is locked in!

YOU CANNOT EDIT A MISTAKE:

If you try removing a shift by clicking on the luminous blue shift on the SHIFTPLAN section this
process will not complete, a popup in German will display after confirmation telling you that you
cannot swap this shift:

Again please contact your Team Leaders immediately to tell them that you made a mistake or need
this shift removing by Friday at the latest.
