CRITERION VI: GOVERNANCE, LEADERSHIP AND MANAGEMENT 6.1 Institutional Vision and Leadership 6.1. State the vision and mission of the Institution and enumerate on how the mission statement defines the institution’s distinctive ‘characteristics in terms of addressing the needs of the society, the students it seeks to serve, institution's traditions and value ‘orientations, vision for the future, ete.? ‘Vision Confect as a premicr institute for professional education by moulding technocrats who can address the society's needs through inventions and innovations. Involve the stakeholders for participatory efforts and contributions ‘The students of this institution are mainly from rural background. So the institution takes utmost care of the students & prepares the students in such a way that they can fit for industry standards. The institution shapes ‘the students through counseling, communication, personality ‘development programs. 6.1.2 What is the role of top management, Principal and Faculty in design and implementation of its quality policy and plans? ‘The Principal is the head of the institution The Management, the Principal and the faculty will design & implements the quality policy & plans. The principal will conduct meetings with governing body & all ‘other committee chairpersons and will take decisions according to the ‘suggestions givea by them. The principal reviews the regulation given by the university & student, faculty development programs. The Intemel Quality Assurance Committee members of the programme frame the Program Educational Objectives (PEOs) and Programme Outeomes (POs). Afier that entire faculty defines the Course Outcomes (COs). Later these Course ‘outcomes are mapped to POs and PEOs and the alignment with the vision and mission statements is verified. 6.1.4 What are the procedures adopted by the institution to monitor and evaluate policies and plans of the institution for effective implementation and improvement from time to time? Quality Policy: Sasi Institute of Technology and Engineering is committed to achieve global standards and excellence in teaching, research and consultancy by creating conducive environment in the fields of technological and managerial studies with professionalism and global outlook ensuring continuons improvement. College is committed to continuous improvement and evolving modified strategies for the betterment of quality. The decisions taken by the appropriate regulatory bodies of the institution (GB and CAC) will be closely monitored by the respective committee for the implementation of decisions, noticing the challenges during implementation and suggesting suitable alterative actions. The appropriate committee will gauge the impact of the decisions and evaluates the effectiveness and devises plans and mechanisms for improvement from time to time, The respective dean with the coordinator concemed and committee takes up the task of monitoring and make submissions to the CAC. ThePrineipal of the college, at the helm of the affairs, has complete autonomy to govern the institution within the purview of the rules and regulations framed by the government and affiliating university. 6.L5 Give details of the academic leadership provided to the faculty by the top management? The Management of the college is in constant touch with head of the institution and has a good rapport with the head of the institution. In the institution, the members of the Management Committee meet frequently and the problems and issues related to college development, administration, recruitment, infrastructural needs and student discipline are discussed. In the Management committee meeting, head of the institute and some staff members nominated by the management committee are also present to provide information and suggestions if any. In the meetings, responsibilities are defined and communicated to the staff through the head of the institution, ‘© Heads of the Departments are in-charge of executing the policies with little variation depending upon the quality of students and number of staff available in each department. ‘+ Most of the staff are nominated to be the members of institutional committees like Transport committee, cultural committee, canteen committee, library committee, training and placement committee, etc, so that they can pnt forth their innovative ideas to achieve better results. ‘© Management and the Head of the Institution ensure that every staff member has a clearly defined role with specific duties and responsibilities. * Under the leadership of the Principal, chairpersons of various committees & course co-ordinators are engaged in assigning, delegating, co-ordinating and communicating responsibilities to the staif members as per the established system. + The responsibilities assigned to the teachers are conveyed to them in the periodical meetings’ reviews and by issuing personal letters to them. 6.1.6 How does the college groom leadership at various levels? For all the committees a coordinator and members are appointed fiom the faculty itseli. © These committees are given sutonomy to work in their respective areas under the overall supervision of the principal and within the set policies and plans of the institution. This creates patticipative management, enhances decision making cbility, gives recognition and brings about leadership qualities * Foculty members are made in-charges of various activities like NSS, Sports and Games, Cultural activities, ete. This will help the faculty members in developing management skills, coordinstion and cooperation. Creates responsibility with accountability. 6.1.7 How does the college delegate authority and provide operational autonomy to the departments / units of the institution and work towards decentralized governance system? The college provides operational autonomy to the various departments for decentralization of work. Heads of the departments are given operational autonomy for: Time-Table preparation and subject allotment. Conduct of unit tests, assignment, project work and departmental fonctions. Checking of teaching diary, teaching notes ete. Conduet of practical classes. ‘Maintenance of department library and labs. In-charges and Coordinators of various committees are also given autonomy for the implementetion of the action plans and policies. The required logistical support is provided. * Autonomy and flexibility is to be used with in the overall objectives set for the institution, * Autonomy and flexibility to departments increases decentralization. 61.8 Does the college promote a culture of participative management? Yes, the college promotes a culture of participative management. * Policies and plans of the college are framed after detailed discussions and deliberations in the staff meetings. Suggestions of the staff are given duc importance and decisions arc taken on the basis of consensus. * Even in departmental meetings action plan for the department is chalked out after thorough discussion among faculty members of the department. © Students and non-teaching members are also made part of various committees and as such enhance the scope for participative management. © Alumni, parents, students, Government and University pasticipation in decision making process leads to participative management. 6.2 Strategy Development and Deployment 6.2.1 Does the Institution have a formally stated quality pol developed, driven, deployed and reviewed? ‘Yes, the institution has a well defined quality policy which is committed to achieve global standards and excellence in teaching, research and consultancy by creating a conductive environment in the fields of technological and managerial studies with professionalism and global outlook ensuring continuous improvement. ‘* The vision, mission, goals state the quality policy of the institution. All the stakeholders are well informed about the quality policy and goals of the institution from time to time through various means. * Action plans, policies and programmes for quality improvement, enhancement, and policy implementation are designed and put in action. The following aspects are considered for inclusion in the plan: * Programmes like workshops, seminars, guest lectures, etc. on ‘various areas for better employability. + FDP programs * Students’ welfare programmes for holistic development. * Institution-industry interaction for the mutual benefit. Alumni and other stakeholder’s participation. Decision making Process: Policy matters are decided in the governing body. Any requirements like equipment, text books, joumals, fumiture, personnel, etc, are proposed by the staff- in-charges of each department. Alll the requirements are discussed at the departmental staff meetings and proposals are sent to the Principal’s office. Heads of the Departments and the Principal will analize the proposals based on the approved budgets of each department and they are procured by calling the quotations and making negotiations (instead of lowest quotation, importance is given to better quality, durability along with service facility). Student representatives of each department will represent their requirements to the Head of the Department concerned who intura will discuss with the prineipal and fulfill the requirements. 6.2.4 Give a broad description of the quality improvement strategies of the institution for each of the following: Teaching & Learning: The requirement of staff is assessed as per AICTE norms and staff is appointed through the staff selection committee. The staff members are exposed to Faculty Development Programmes. Staff members are guided to prepare the teaching notes and teaching methodology by Heads of the Departments and other senior faculty. Alll the teachers are exposed to use of OHPs and LCD/DLPs. Students are motivated to be more regular to the class work and prepare subject wise notes. Students are imparted hands on training through laboratory experiments and industrial visits / training / tours. Knowledge gained by the students is assessed through periodical class tests, objective tests, mid examinations and laboratory tests, ete. Based on the assessment, the needy students are provided with additional teaching classes / bridge courses / laboratory classes. ate. Research & Development © Number of faculty is registered as research scholars and there by considerable number of research papers is being published. © MTech students are groomed to produce technical papers and ‘contribute for research activities. © Research proposals are submitted to AICTE for funding purpose. * R&D Labs have been established for undertaking R&D and consultancy. Yes The Institute has a vision of autonomous status so that curriculum for different progrems can be modified as per the current needs of the industry. 6.2.9 How does the Institution ensure that grievances / complaints are promptly attended to and resolved effectively? If ‘yes’, what was the outcome and response of the institution to such an effort? ‘Yes The Feedback is taken from students on current semester courses Feedback is taken from alumini on the institutional facilities. Feedback from students on faculty is taken online twice in a semester and analyzed, «Faculty meembers are required to give an explanation if they get a score less than 6.5 over a 10 point scale. The recommendations made by the alumini committee from the alumini feedback will be sent to principal then the principal will take the necessary action. 6.3 Faculty Empowerment Strategies 6.3.1 What are the efforts made by the institution to enhance the professional development of its teaching and non teaching staff? The efforts made by the institution to enhance the professional development of its teaching and non-teaching staff are: * Conducting training programs like FDPs. + Permitting faculty members to attend workshops, seminars and conferences. * Managemat makes available NPTEL video lectures + Asranging training programs for non teaching staff * Enconraging teachning and non teaching staff members for pursuing higher studies. 6.3.2 What are the strategies adopted by the institution for faculty empowerment through training, retraining and motivating the employees for the roles and responsibility they perform? The institution prepares the employees for a bigger responsibility and role in the organization by motivating them through: * Pemuitting staff members to go for QIPs. ‘Nominating staff members as members of committees. ‘Appreciating staff members with incentives and rewards. Sanctioning OD and incentives for attending workshops/ seminars / FDPs 6.3.3 Provide details on the performance appraisal system of the staff to evaluate and ensure that information on multiple activities is appropriately captured and considered for better appraisal. The institution has a performance appraisal system for the evaluation of staff. How are they communicated o the appropriate stakeholders? The outcome of performance appraisal is analyzed in detail and appraisal decisions are taken by the management. * The faculty who got good appraisal will be awarded in the form of appreciation and also nominated for best faculty award. * The best faculty from the department will be notified in the news letter. If the appraisal of a faculty member is poor in any aspect, the HOD concerned will motivate hiny/her to improve in that aspect. + The faculty will be encouraged to attend the workshops/seminars to acquire good knowledge. 6.3.5 What are the welfare schemes available for teaching and non teaching staff? What percentage of staff have availed the benefit of such schemes in the last four years? All Teaching and non teaching are given 0% concession in the transport fee. © Bus route incharges are exempted from the transport fee. © Free accommodation to the staff members is provided in the Society hostels subjet to availability. * College sponsors Professional Society Life Membership © The annual leave can be accumulated up to 90 days during the service. ‘Matemity leave is available to the lady staffs who have completed three years of service in this institution. Extraordinary Leave is given to the staff members subject to a maximum of 10 days. The college permits staff members to take special assignments with other colleges or industrial units. ‘Medical facility is available for all the staff members within the campus. 6.3.6 What are the measures taken by the Institution for attracting and retaining eminent faculty? The Institution has the following provisions to attract and retain eminent and talented faculties, ‘+ Faculty members have free access to institutionsl facilities to camry out research work. ‘+ Lastitution meets expenditure incusred by the faculty members in presenting papers at National and Intemational conferences, registration fees, TA, DA and other expenses including on duty leave. ‘+ lastitute suppots faculty members who undertake funded projects. ‘* The institution encourages students and faculty to take up summer programmes in research institutes. © The faculty members involved in consultancy work are motivated by appreciation and increment in the subsequent year of service. 60-90% total consultancy amount is being paid to faculty member concerned. 6.4 Financial Management and Resource Mobilization 6.4.1 What is the institutional mechanism to monitor effective and efficient use of available financial resources? The institution follows the gudelines issued by the Governing body. The institute monitors effective and efficient use of available financial resources. + Every department prepares budget proposals for the next academic year which consists of the cost for new lab equipment to be purchased and up-gradation of existing systems, ‘+ The budget proposals received from various departments are consolidated and nommalized based upon the total income anticipated © Departments are encouraged to obtain grants through MODROBS, Seminar / workshop grants from AICTE and other funding agencies. 6.4.2 What are the institutional mechanisms for internal and external audit? When was the last audit done and what are the major audit objections? Provide the details on compliance. Every year, internal audit will be conducted by the committee appointed by the principal. Afier thorough verification, committee will submit its appraisal to the principal for follow up action. College accounts will be audited by the qualified chartered accountant. No major audit objections are raised so far 6.4.3 What are the major sources of institutional receipts/fundi how is the deficit managed? Provide audited imcome and expenditure statement of academic and administrative activities of the previous four years and the reserve fund/corpus available with Institutions, if any. Fees reimbursement from the State Government * Term Loan from Banks The audit reports for the last three years are enclosed. 6.5 Internal Quality Assurance System (IQAS) 6.5.1 Internal Quality Assurance Cell (QAC) a. Has the institution established an Internal Quality Assurance Cell (IQAC)? If ‘yes’, what is the institutional policy with regard to quality assurance and how has it contribute institutionalizing the quality assurance processes? If so, mention any significant contribution made by them. No The IQAC doesn’t have any extemal members. But it is planning to include extemal members in its committee. d. How do students and alumni contribute to the effective functioning of the IQAC? They provide the necessary input, feedback, recommendations for effective fisnctioning of the IQAC. €. How does the IQAC communicate and engage staff from different constituents of the institution? ‘* IQAC may consist of members from different constituents of the institution. The decisions of the IQAC are communicated to all staff concemed. * Through circulars and notices the IQAC communicates various decisions to all the constituents of the institution 6.5.2 Does the institution have an integrated framework for Quality assurance of the academic and administrative activities? If‘yes’, give details on its operationalisation, ‘Yes The administration is decentralized and is effectively carried out as per quality policy in line with the suggestions of IQAC. 6.5.3 Does the institution provide training to its staff for effective implementation of the Quality assurance procedures? If ‘yes’, how are the outcomes used to improve the institutional activities? Yes Every semester academic audit of the department is carried out by IQAC. Every year academic audit is conducted by the Fact Finding Committee of the affiliating university, INTUK. The outcomes are used to improve the quality of teaching & leaming process, infrastructure of the labs. 6.5.5 How are the internal quality assurance mechanisms aligned with the requirements of the relevant external quality assurance agencies/regulatory authorities? ‘* The intemal quality assurance mechanism is designed and operationlised on the guidelines and broad frame work of the extemal quality assurance agencies like NBA/ NAAC. ‘+ The intemal quality assurance mechanism also takes into consideration the quality parameters of the affiliating university. 6.5.6 What institutional mechanisms are in place to continuously review the teaching learning process?
