Inconsistencies will result in salary deductions. (1) DEFINITION OF TERMS: 1.1. Mageard Validations — are the daily time in and time out validated by the computer according to the schedules entered in the computer. The main concern here is the time in and time out of employee to be consistent with the schedule. 1.2. Mageard Correction is the process of viewing and comparing magcard validations against the duty roster entered in the computer making the corrections accordingly (for discrepancies on both or either entries) so that actual punching matches with scheduled timing. In this ase, necessary correction shall be made to match both entries (2) PURPOSES: 1.1, To ensure entries in magcard validations are matched with the duty roster entered in the computer. 1.2. To avoid staff from having salary deductions arising from mismatched of actual against scheduled timings. 1.3._ To monitor any irregularities of staff in coming to and from duties. (3) POLICY STATEMENTS: 1.1, It is a must that all punching staffs follow the approved schedules indicated in the Duty Roster by coming to and leaving from work on time. 1.2. Only authorized late and under-time will be subject to correction according to the approved change/s of schedules. 1.3. Differences in scheduled timing and actual timing indicate that the staff does not follow the | schedule or may have changed the schedule, which should be supported by approved Notification of Schedule Change (Form M00035) or record of corrections in magcard. 1.4. No punching in and/or out means absent, presence of which must be proven by the immediate supervisor i.e. by showing a documentation that the staff actually came to work but may have missed the finger registration. 1.5. Magcard corrections must be entered via online system according to the corrections required adjusting any mismatch or fill in missing time in or time out (provided it is not absence) and approved by the department head. 1.5.1 Maximum of six (6) magcard corrections only are allowed per each employee. | 1.6. Magcard corrections shall be done on weekly basis, and the cut off for submission of overall magcard corrections should be on or before 26" of the month to give enough time for entry of corrections in the computer and payroll preparations. 1.7, It is the responsibility of the immediate supervisor or authorized staff to correct the magcard validations of all staff under supervision and to get the approval of department head. 1.8. Only authorized Personnel and ICT Time Keeper has the access to enter magcard corrections in the computer. Always refer to the schedules that are entered in the computer. (On the desktop, click the icon of “Web Utilities”. Enter the User Name and Password of the authorized employee. Once enter, select “HIS” from its task bar, then select “HR*”, and finally, choose ““Magcard Correction.” Once entered, select the department which can be seen on the left panel. Choose the corresponding ID number due for correction. It can be through typing the ID Number on the search box or searching through the ID Number lists displayed on the left panel as well Compare the timings from both “Actual Time Modification” and registered “Shift Schedules”. Before correcting, ensure that the entered corrections are justified with acceptable reason. Al timing slot with red highlight under “Actual Time Modification” table are due for correction and must be corrected by typing the registered (punched in and out) timings according to the “Shift Schedules.” Below is the code for guidance: 2. Once the employee's magcard has been corrected, click “Save” to record the corrections. Then, proceed to the next employee. 4.1.10 After completing the whole lis, click “Sign Out” to end. 421 422 423 424 425 4.26 4.2 Approval of Magcard Corrections On the desktop, click the icon of “Web Utilities”. Enter the User Name and Password of the authorized employee. Once entered, select “HIS” from its task bar, then select “HR+”, and finally, choose “Mageard Correction Approval.” Once entered, select the department which can be seen on the left panel. Select the employee to view the magcard correction list. The department head can choose which correction to approve/ reject by checking the box. “Approval/Reject All” if all the corrections will be approved or rejected. “approve/Reject Checked” if only the selected corrections will be approved or rejected. ‘After completing the whole list, click “Sign Out” to end.
