CONFIDENTIALITY AGREEMENT

The Waterloo Region District School Board regards security and confidentiality of data and information to
be of utmost importance. As such, the Board requires users of data and information to follow the
procedures outlined below:

Each person granted access to data and information holds a position of trust and must preserve the
security and confidentiality of the information s/he uses. Users of Board data and information are
required to abide by all applicable Federal and Provincial guidelines and Board policies regarding
confidentiality of data.

I AGREE THAT:
1. I WILL NOT show, tell, copy, give, sell, review or change any confidential information.
2. I WILL NOT misuse or be careless with confidential information.
3. I WILL NOT share any confidential information even if I am no longer a Board employee.
4. I KNOW that my access to confidential information may be audited.
5. I WILL tell my supervisor if I think there might have been a confidentiality breach.
6. I KNOW that confidential information I learn on the job does not belong to me.
7. I KNOW that the Board may take away my access at any time.
8. I WILL protect the privacy of our employees and students and their families.
9. I AM RESPONSIBLE for my use or misuse of confidential information.
10. I WILL abide by applicable laws and policies with respect to access, use, or disclosure of
Board data and information.
11. I WILL follow control procedures and take reasonable measures to protect the data to
which I have been granted access.
12. I WILL remove, or arrange to have removed, access to any school- or department-
related conferences if I am not actively working at that location.

Failure to comply with this agreement may result in the termination of my employment at the Board
and/or civil or criminal legal penalties. By signing this, I agree that I have read, understand and will
comply with this agreement.

(What you should NOT do)

These are examples only. They do not include all possible breaches of confidentiality covered by this
agreement.

1. Accessing information that you do not need to know to do your job:


a. Unauthorized reading of employee information.
b. Accessing information on yourself, children, family, friends or co-workers.

2. Leaving the confidential information unattended:


a. Being away from your work area while information is accessible

3. Sharing, copying or changing information


a. Making unauthorized marks on an employee file
b. Making unauthorized changes to an employee, student or employee file
c. Discussing confidential information in a public area such as a waiting room, elevator,
library or staff room
