(b). Outline of industry and organization

Ninja van is a Singaporean logistics company that provides last mile delivery services in Southeast Asia.
It operates in seven countries: Singapore, Thailand, Indonesia, Philippines, Myanmar, Malaysia, and
Vietnam12. It works with e-commerce platforms such as Lazada, Tokopedia, and Shopee to deliver
parcels to customers.

Servers: These are the machines that store and process data, run applications, and communicate with
other servers and devices. Servers can be physical or virtual, on-premise or cloud-based, depending on the
needs and preferences of the organization. Servers are essential for managing the logistics operations,
such as tracking shipments, optimizing routes, and analyzing performance. (Hitchcock, 2022)

Desktops and mobile devices: These are the devices that the employees and customers use to access the
services and applications provided by the organization. Desktops and mobile devices can be personal or
corporate-owned, and they need to be secure and reliable. Desktops and mobile devices are important for
enabling communication, collaboration, and convenience among the stakeholders.

Network and telecoms hardware: These are the devices and systems that enable the transmission and
reception of data and voice signals over wired or wireless networks. Network and telecoms hardware
include routers, switches, firewalls, modems, access points, antennas, and cables. Network and telecoms
hardware are crucial for connecting the servers, desktops, mobile devices, and other equipment, and
ensuring the quality and security of the data and voice traffic. (Smith, 2022)

System software and applications: System software and applications refer to the suite of programs and
tools that operate on servers, desktops, and mobile devices, delivering the necessary functionality and
user interface for the organization’s services and operations. This includes operating systems, databases,
web servers, middleware, security software, and business software. These software and applications are
essential in underpinning the organization’s fundamental and value-added processes, such as managing
orders, inventory, customer service, and data analysis.

c. System needs to support the business

Sales order processing software: This software helps to automate and streamline the process of
receiving, processing, and fulfilling customer orders. It can also integrate with other systems such as
inventory management, accounting, and shipping to ensure accuracy and efficiency. Some examples of
sales order processing software are Esker, Salesforce Commerce Cloud, and ShipStation.

Payroll software: This software helps to calculate and pay employees’ salaries, taxes, deductions, and
benefits. It can also generate reports, forms, and payslips for compliance and record-keeping purposes.
Some examples of payroll software are Paychex Flex, Rippling, and Gusto.

CAD/CAM software: This software helps to design and manufacture products using computer-aided
design (CAD) and computer-aided manufacturing (CAM) tools. It can also simulate, optimize, and test
the performance and quality of the products. Some examples of CAD/CAM software are Fusion 360,
Bootstrap, and Dreamweaver.

Email software: This software helps to send and receive electronic messages, attachments, and
documents. It can also organize, filter, and search the messages, as well as integrate with other
applications and services. Some examples of email software are Thunderbird, Mailbird, and Outlook.

Website design software: This software helps to create and maintain websites using various tools and
features. It can also publish, host, and update the websites, as well as optimize them for different devices
and browsers. Some examples of website design software are Wix, Squarespace, and WordPress.

d. Current problem

Ninja van transportation company provides express delivery services for e-commerce platforms in
Southeast Asia. According to some sources, it is facing some current problems, such as: Slowing revenue
growth that failed to keep pace with its rising cost of sales and administrative expenses and it can
increased competition from e-commerce platforms that are developing their own logistics capabilities
(Huang, 2023). Customer complaints about missing or damaged parcels, which could affect the
company’s reputation and trus .

e. System function

Providing express delivery services for e-commerce platforms in Southeast Asia. Using vehicle routing
problem algorithms to improve delivery routes. Running on a hub-and-spoke model, with sorting
warehouses across the region . Offering trackable parcel deliveries that connect communities in metro and
provincial areas. Leveraging technology to enhance operational efficiency and customer satisfaction.

f. Non-functional requirement

Reliability: The system should be available 24/7 and should be able to handle a large number of requests
without crashing.

Scalability: The system should be able to handle a large number of users and requests without any
performance degradation.

Security: The system should be secure and protect user data from unauthorized access.

Usability: The system should be easy to use and navigate for both customers and employees.

Performance: The system should be fast and responsive, with minimal latency.

Maintainability: The system should be easy to maintain and update, with minimal downtime.

Compatibility: The system should be compatible with different devices and platforms.

Accessibility: The system should be accessible to users with disabilities.

g. Appendix

(i). CPU type (single/multi-core), RAM and Disk space are all important factors that can affect the
performance of a system.

CPU type: The CPU is responsible for processing instructions and providing the processing power that
the computer needs to perform its tasks. A more powerful CPU can handle more complex tasks and can
process data faster. Multi-core CPUs can also improve performance by allowing the system to run
multiple tasks simultaneously.

RAM: RAM is used to store data that the system is currently using. The more RAM a system has, the
more data it can store, which can improve performance by reducing the need to access the hard drive.

Disk space: Disk space is used to store data and applications on the system. If a system runs out of disk
space, it can slow down or even crash. Having more disk space can help ensure that the system runs
smoothly.

g(ii) In terms of how disk space may be organized in Ninja Van transportation company

Organize files by category: Group files together based on their category. For example, group all
customer data files together, all employee data files together.

Use a consistent naming convention: Use a consistent naming convention for files and folders. This can
help make it easier to find files and can help prevent duplicate files.

Use subfolders: Use subfolders to organize files within a folder. For example, create a subfolder for each
year, or for each quarter.

Archive old files: Archive old files that are no longer needed. This can help free up disk space and make
it easier to find the files that are currently in use.

of brightness and 100% sRGB color gamut. It has an 11th Gen Intel Core i7-1185G7 processor with 4
cores, 8 threads, and up to 4.80 GHz of turbo frequency. It also has 16 GB of DDR4 3200 MHz RAM and
a 512 GB PCIe NVMe SSD. The battery life is rated at up to 15 hours with a 70 Whr battery. The laptop
weighs 3.59 lbs and has a carbon-fiber and magnesium-alloy chassis that is durable and lightweight. It

and a 256 GB PCIe NVMe SSD. The battery life is rated at up to 12 hours with a 52 Whr battery. The
laptop weighs 2.64 lbs and has an aluminum chassis that is sleek and compact. It also has a Windows
Hello facial recognition camera for biometric security, as well as a backlit keyboard and a haptic
touchpad. The laptop has two Thunderbolt 4 ports, a microSD card reader, and a headphone/mic combo
jack. It also has Wi-Fi 6E and Bluetooth 5.2 connectivity. The laptop comes with Windows 11 Home pre-

Dell XPS 13 Plus2 is more suitable for ninja van transportation company.

(a) Identification of product used.

WPS Office offers ISO files, enabling effortless downloading of versions 2013, 2016, 2019, and
2021, it is free of cost while consuming minimal computer storage. Its compact size and widespread

compatibility make it accessible to a wide range of operating systems. Microsoft Office Professional
consists of special features such as Publisher, ProjectPro, VisioPro, etc.….

1. WinRAR can compress files to a smaller size than other compression tools, making it easier to transfer
files over the internet or store them on your computer and it easy to use for both beginners and advanced
users.

3. Identification and destination of problem of unresolved issues

WinRAR is a powerful archiver extractor tool that has been widely used by over 500 million users
worldwide. However, there are some issues that have been reported with WinRAR. One of the most
significant issues is a security vulnerability that was discovered in 2023. The vulnerability allowed
malicious actors to execute code on devices that run earlier versions of WinRAR . The developers of
WinRAR released version 6.23 of the software to address this issue (BRINKMANN, 2023).

Test 3 (a) Fault finding and computer maintenance

1.Wifi constantly dropping on window

 Identification-of-problem
After updating to window 8.1, I noticed that WIFI was dropping constantly and browsing was too
slow compared to window 8.

 Cause
After researching I found out that the problem was arising because of mismatch WIFI driver
which was installed during system update.

 Remedy
Opened the device manager by pressing window + x shortcut key, expanded network adapter and
clicked on the wireless network adapter, and uninstalled QUALCOMM driver.

 Success/failures
After uninstalling and rebooting of system, Wi-Fi dropping issue was gone. So, it’s success.

2.Disk driver not showing in computer

  Identification-of-problem
Found out that my E:\ and D:\ drives were missing in computer.

 Cause
Found out that there were no mouth paths set for E:\ and D:\ drives.

 Remedy
I opened Disk management by pressing windows + x shortcut key and right clicked on drive D:\
and choose change drive letter and path.

 Success/ failures
After choosing driver letter both drovers appeared again in the computer, so it is success.

3. Shutdown process is too slow.

 Identification of problem
Persistently restarted the laptop to check whether the issue is only for one time but ir occurred
most of the time and shut down laptop.

 Cause
Many branches of software’s and service were running constantly which took longer time for
laptop to shutdown properly.

 Remedy
Close all other non-Microsoft service which were constantly running by lunching system
configuration by pressing windows + x key.

 Success/failure
Indeed, even after applying remedy, the laptop didn’t close down regularly so it is failure.

Test 3 b Routine / Preventative maintenance

1. FIVE (5) potential reasons why a user might experience this problem and for each of the issues

Hardware failure: If the computer is not turning on or is making unusual noises, it could be due to
hardware failure. To investigate, you can check the device manager for any hardware issues. If the issue is

with the hard drive, you can try running a disk check or replacing the hard drive. If the issue is with the
RAM, you can try reseating the RAM or replacing it.

Software conflicts: If the computer is running slow or freezing, it could be due to software conflicts. To
investigate, you can check the task manager for any processes that are using too much CPU or memory.
You can also try uninstalling any recently installed software or updating drivers.

Malware infections: If the computer is behaving erratically or displaying pop-ups, it could be due to
malware infections. To investigate, you can run a malware scan using an antivirus software. If the scan
detects any malware, you can try removing it using the antivirus software.

Driver issues: If the computer is not recognizing hardware devices, it could be due to driver issues. To
investigate, you can check the device manager for any devices with a yellow exclamation mark. You can
try updating the drivers for these devices or reinstalling them.

Overheating: If the computer is shutting down unexpectedly or displaying error messages, it could be
due to overheating. To investigate, you can check the temperature of the CPU and GPU using a
temperature monitoring software. You can also try cleaning the fans and vents to improve airflow.

Test 3, B (Routine / Preventative maintenance)

2. FIVE (5) regular maintenance

Clean your computer: Dust and debris can accumulate inside your computer, clogging up the cooling
fans and keyboard, which can cause your machine to overheat and slow down. Regular cleaning of your
computer can help prevent this from happening. Use compressed air or an anti-static vacuum to clean
your computer every month .

Scan for malware: Malware can slow down your computer and cause it to crash. Running a full scan for
viruses and spyware every week can help protect your computer from malware.

Uninstall unused programs: Unused programs take up memory and processing time, which can slow
down your computer. Audit your applications once a month and uninstall any programs you don’t use.

Update your software: Software updates often contain security patches and bug fixes that can help keep
your computer running smoothly. Make sure to update your operating system, antivirus software, and
other programs regularly (megatronic, 2018).

Back up your data: Backing up your data regularly can help protect your files in case of a hardware
failure or other disaster. You can back up your data to an external hard drive, cloud storage, or other
backup solution (Kelly, 2021).
