messages that people have recorded on their company

as they should be.
In some cases, people have forgotten to say their name. lt is
vital that you say who you are, your job title and the name
of the company at the start of your message.
You should also say why you aren't answering the person's
call. Please apologise for not answering and say that you are

Dear all,
As you know, last Saturday night, there was a break-In at our offices and some computer equipment
was taken. There have also been other incidents In the last two months where people who shouldn't
be here have come Into the bullding during the day. While none of these people caused any problems,
we think that we need to Improve security for the bullding. | would lIke to take this opportunity to
explain some of the new measures.
At each of the entrances, there will now be a security guard and a card reader. You will all have a card
that you will have to swipe in order to get Into the building. We vall send out the cards next week.
We will also be improving the surveillance system. This will include more security cameras, which
will allow us to monitor most areas of the buliding. There will also be a more effective alarm
system, because our current one failed to alert the police during the break-in.
In addition to protecting the premises more effectively, we also want to Improve our cyber
security. Hacking Is a real threat to businesses like ours, so the IT Department Is working
to Identify the best firewall and anti-virus software for us to use. | wlll keep you updated
about this process.
And, of course, we want to keep you all safe. For this reason, we will be installing better
lighting outside the bullding. If anyone would like a security guard to accompany them to
