CHAPTER I

1.1 INTRODUCTION
Point of sale (POS) system is the spot where your customer makes the payment for goods
or services that are offered by your company. The point of sale or point of purchase is the time
and place where a retail transaction is completed. At the point of sale, the merchant calculates the
amount owed by the customer, indicates that amount, may prepare an invoice for the customer,
and indicates the options for the customer to make payment. In fact, it can help your work easier
and it can make sure that your inventory is secured. These are the systems that enable the
business transaction between the client and the company to be completed. POS system is a
computerized network that consists of the main computer linked with several checkout terminals
and supported by different hardware features starting from barcode scanners and ending with
card payment terminals.
Points of sale (POSs) are an important focus for marketers because consumers tend to make
purchasing decisions on high-margin products or services at these strategic locations.
Traditionally, businesses set up POSs near store exits to increase the rate of impulse purchases as
customers leave. However, varying POS locations can give retailers more opportunities to micro-
market specific product categories and influence consumers at earlier points in the sales funnel.
According to David W. Deaton and Rodney G. Gabriel, this system and method is disclosed for
customer promotion. A terminal enters a customer's identification code, along with customer
transaction data, at the point-of-sale. A memory stores a database of previously entered customer
identification codes and transactions data. Circuitry is provided for generating a signal
representative of a customer's shopping history, wherein incentive coupons may be issued to
customers in dependence upon the signal.

1.2 Background of the study


Point of Sale system is what most supermarket, restaurants and shops used, the purpose
of its usage is to compute all of the prices or even storage. The researchers ask the client that,
how did the client come up with his/her business, then the client thought of some ideas, that will
make them busy and earn at the same time. they love actually drinking different kinds of tea so
they came up with putting up a business that they actually like. The researchers began to ask
more questions regarding on the client’s business, the researchers ask the client why did he/she
choose this business then the client replied, they both love Milk Tea.
The client started his/her business since last January 2020, and the client has 2 employee
they are both Barista and Helper, their shop is located at San Sebastian Tarlac City, and the name
of the client’s shop is “Cup of Grace”. And then the researchers ask the client, how did the client
handle his/her business, the client said, that it is hard putting up business in new normal. they
need to be consistent in advertising and updating their online followers since it is not possible to
have a physical store. So, they are always having their updates in online platforms.
The researchers were very happy to hear the client’s business and its history, and
especially, the researchers learned on the way of making the system and the researchers has the
idea by making the system based on the client’s questionnaire and so it already did.

1.3 Overview of the current system/technology


Stocking Procedure

-The client said that, every week they are travelling to their suppliers to get what lacks their
stocks, and they are restocking of their ingredients if they see it running out of stocks. The
suppliers are trying to make sure all their stocks are updated, to avoid any delays. This is also to
anticipate situations like one of the examples is pandemic.

Sales Procedure

-As per the client said that the employees must follow the steps of way of serving the
customer, such as, asking the details like add owns, special order and preparing the order and
finally give the order to the customer. The employees are trying to make sure to follow all the
steps to serve the customer, and especially to avoid having a false accusation. This is also to
anticipate situations, like one of the examples is safety protocols and social distancing.

 Policy

Sales

-As much as possible, provide a suggestion by putting a logo or poster


requesting customer to have an exact payment for fast transaction and to avoid
physical contact regarding pandemic.

Discount
-When the customer buys the product, they will have an additional
discount, and it depends on the numbers of purchases. The client allows to have a
discount in the Cup of Grace shop, and it is said that, it is depending to the
quantity

Promo
-The Cup of Grace shop has a promo, which is the Barkada promo 5 + 1
milk tea, and they do every weekends. The product is only applicable to Milktea
only, due to the client’s answers or questionnaire.
 PROBLEM

Stocking

-The client or the employee records all the stocks every Saturday of the week, and
they’ll restock every Sunday. The client or the employees writes all the expiration date on
the products and the ingredients, and within 1 week the ingredients will immediately
exhausted for over 1 week. And the client said they don’t have much problem of
stockings but, the researchers think of, what if, some of the employees or the client forgot
to stock all the ingredients of the actual day or week, the researchers adds that problem
and then proceed to the next phase.

Sales

-The employee calculates all the sales by doing it every day, the researchers did
not ask what are they using, when it comes to calculate all each sale on the daily
transactions, but the researchers think of the possibility of thinking what kind of
instrument are they using, to calculate all each sale, and the researchers adds that
problem and make the relativity to the system.

 SOLUTION
o Stocking
 The system will manage the information and secure it.
o Sales
 The system will accurately compute every transaction.

1.4 Project Rationale

The researchers are the one will benefit by making the system for the Cup of Grace Shop,
the researchers came with the idea on making the POS system, it is all based on the client’s
questionnaire, and so the researchers analyze the database on the client’s products and
ingredients by making the system, the system must know how to compute every price and the
numbers of products and ingredients.

2.0 PROJECT DESCRIPTION


The researchers came with the idea that how to develop a system. The client suggests an idea on
his/her expectations base on the questionnaire. So, the researchers take the advantage by
proceeding the client’s answers by making a system “Point-Of-Sale” system, with no lagging and
bugging. The researchers will make sure it will function very well, by sorting all the data and
organize each of one the products, items, and the price itself.
The project “POS” system will be using at the Cup of Grace shop, unlike most POS systems at
the supermarket and other restaurants, the project has no barcode and no thermal receipt printer.
It is very unlikely to other POS systems, but the researchers will make a system a highly
different and much better at calculating the price that the consumers brought, and much better at
organize every data on daily basis.
It possible that the researchers will complete at making this project so that the client will be
satisfied at the outcoming result, the researchers will be proceeding and continue at making the
system a highly different and much better Point-Of-Sale system

2.1 PROBLEM STATEMENT


2.1.1 GENERAL STATEMENT OF THE PROBLEM
-The General Statement of the problem is to develop a computerized (POS) POINT OF
SALES SYSTEM for to use this system to the business of Cup of Grace (Milk tea shop).

2.1.2 SPECIFIC STATEMENT OF THE PROBLEM -


A. How to develop a module that will manage the Daily Transaction
-In this transaction, the employee might misplace the logbook for daily transactions. The
only solution is that the system will compute the prices of the product.
B. How to develop a module that will maintain the products and indigents.
-in this manner, the employee assigned in the inventory should maintain an organized
stock recording to easily determine the actual inventory and their expiration dates.
C. How to develop a module that accurately compute every transaction.
-by designing and creating an effective system or a module to compute correctly
all the transactions made.

2.2 PROPOSE RESEARCH PROJECT


2.2.1 GENERAL OBJECTIVES
-The General Statement of the problem is to develop a computerized (POS) POINT OF
SALES SYSTEM for in order to use this system to the business of Cup of Grace (Milk tea shop).

2.2.2 SPECIFIC OBJECTIVES


A. How to develop a module that will manage the Daily Transaction

B. How to develop a module that will maintain the products and indigents.

C. How to develop a module that accurately compute every transaction.

2.2.3 SCOPE AND LIMITATION


2.2.3.1 SCOPE

A. File maintenance
a. Product maintenance
-This Maintenance allows the system to know how much product that being
consume by the customer.

b. Ingredient maintenance
-This Maintenance will allow to see what or how much are being deducted from the
supplies or stocks in the business.

c. Supplier maintenance
-This Maintenance allows the system reminds the user of the numbers of supplies
will be exhaust any time.

B. Transactions
a. Sales
-the sales contain the functions related to the sale of goods to
costumer and includes recording a customer order.
c. Stock
-In this transaction it consists of sales order number, customer
number and sales order date

2.2.3.2 LIMITATIONS
· The propose system does not support device like swipe card scanner barcode scanner.
· The propose system does not have Thermal receipt printer.
· The propose system does not have a module that will automatically collect the information of
customer.

2.2.4. Methodology
The spiral model is a risk-driven software development process model. Based on the
unique risk patterns of a system, the spiral model guides the researchers to adopt elements of one
or more process systems such as, waterfall model, incremental and evolutionary prototype. It is
also a combination of iterative development process model and sequential linear development
model.
The reason why the researchers use this spiral model is to know the possible risk by making the
system, so that the client will never be disappointed by the outcoming results. The researchers
will analyze the risks by using the spiral model so that the researchers will make a good model of
making the spiral model.
The researchers will have to take the advantage by knowing the risks before testing the system,
so that the researchers will analyze the possible risks. The goal is to make a good model by
presenting the research paper, it will be based on the spiral model the possible risks and the
guidance.
Customer Communication
-The researchers provide a dashboard that consist of history regarding on the product that
was purchased previously including the price in that way if they accidentally forgot the product
they wanted to order, they would identify it easily.

Planning –
-The researchers plan and assign task to every member of the group; each one will be the
one who is going to present the outcoming results of the system.

Risk Analysis
-In order to prevent the possible risk and unnecessary problems, the researchers must
know the possible risk and different problems, so that can hinder during the development of the
proposed system. The researchers analyze the possible problems and make a solution to the
problem that may occur during the development

Engineering -
-The programmer designed a GUI (Graphical User Interface), like a Point of Sale in the
market. The programmer also done with the database of the system. The programmer also
provides some Maintenance so that the client can check the history of their business.

Evaluation
-The researcher has an update software that will provide the information real time
regarding on the available product or if that product is still available or not in that way the
customer will have an idea what is only available product during ordering.

used for the proposed Point of sales system for Cup of Grace.

information about the client’s business.
