GRAMMAR: FORMAT OF A LETTER:

LETTER WRITING
A letter is a written message that can be handwritten or printed on a paper.

TYPES OF LETTERS
There are broadly two types of letter, namely Formal Letters, and Informal Letters.

 Formal Letters: These letters follow a certain pattern and formality. They are strictly kept professional in nature, and
directly address the issues concerned. Any type of business letter or letter to authorities falls within this given category.
 Informal Letters: These are personal letters. They need not follow any set pattern or adhere to any formalities. They
contain personal information or are a written conversation. Informal letters are generally written to parents, relatives,
friends, and acquaintances etc.

PARTS OF AN INFORMAL LETTER

Following are a few easy guidelines that you can follow to be able to write impressive informal letters.

I. Address and Date: The address is written on the left-hand side of the paper. This is followed by the date. You can
write the date in either of the following formats:

May 15, 2023 OR 15th May, 2023

II. Greeting/Salutation: In informal letters to friends and family, you can address them by their names prefixed by
qualifying terms such as Dear, My dear, Dearest, etc. You can also address them by their relationship with you (Dear
Uncle, Dearest Grandma, My dear Cousin…).
III. Introduction and Body of the Letter: It is the main part of the letter and may contain a number of paragraphs. The
words you use determine the nature of your letter. You can begin by enquiring about the health and well-being of the
recipient. Some suitable opening sentences which may be used according to the occasion are:
 I hope this letter of mine finds you in the pink of health.
 It is quite a long time since I heard from you.
 I was very glad to receive your letter.
 My joy knew no bounds when I learnt of your success………
 I am much pained to hear that……….
 You will be sorry/ pleased to know that…….
 Thank you very much for your letter……..
You can then explain the reason behind the letter and provide the details as elaborate as you wish to.
IV. Closing: The letter should be closed with a proper phrase. One of the following phrases may be used according to the
occasion:
 With best regards,
 With love and best wishes to all at home,
 Pay my regards to all at home.
 Anxiously waiting for your reply,
 Hoping to see you soon,
V. Subscription: After closing the body of the letter, we put subscription at the bottom of the left hand corner of the page.
You can use the following in informal letters to relatives and near friends: Yours affectionately, Yours sincerely, Yours
lovingly, Your loving friend etc.
VI. Signature: This must come below the subscription as:

Yours affectionately,

Name of the Writer/ X.Y.Z
