1: INSERTING REFERENCES INTO WORD REF-TOOL & MANAGING THE SOURCES


Word offers great tools for citing sources, creating a bibliography, and managing the
sources. The first step to creating a reference list and citations in a document is to choose
the appropriate style that you will be using for formatting the citations and references.
1. Style
To choose a publishing style:
 Click the References Tab on the Ribbon
 Click the drop down box next to Style in the Citations & Bibliography Group
 Choose the appropriate style which is the APA 6th edition

Inserting Citations in your “Word Library”


To insert a citation in the text portion of your document:
 Click the References Tab on the Ribbon
 Click the Insert Citation Button on the Citations & Bibliography Group
 If this is a new source, click New Source
 If you have already created this source, it will appear in the drop down list and you can click on
it

 If you are creating a New Source, choose the type of source (book, article, etc.)
 Complete the Create Source Form
 If you need additional fields, be sure to click the Show All Bibliography Fields check box
 Click OK

There are all sorts of fields as you will see. The “comments” field might be handy to include your
notes with regard to that literature source.

Please note: for journal articles, always include volume and issue number. Sometimes you
need to go to the journal's website to know in which issue number the article was published.
The DOI might also be handy to include.

SPECIFIC TYPES OF DOCUMENTS IN THE WORD REFERENCING TOOL

How to make a reference from a report retrieved from a website?


• Choose under “type of source” for “Document from website”
• The name of the report should be put under “name of web page” in order to get it in
the right APA-style when inserting “Works Cited”

Other tips when working with the word referencing tool:


• Edited book? Do not fill out the author tab, but the editor tab.
• When you have a chapter from an edited book volume, you need to fill out both the
author and the editor tabs!
• Use ; when there are multiple authors. Thus: Hummel, F.; De Boer, D.; Simmel, A.J.
• Use “space” between A. J.
• Subtitle? Use : to mark the start of the subtitle and start the subtitle with a capital letter.

2. Manage Your Sources in the “Word Library”


Once you have completed a document you may need to add or delete sources, modify existing
sources, or complete the information for the placeholders. To Manage Sources:
 Click the References Tab on the Ribbon
 Click the Manage Sources Button on the Citations & Bibliography Group
 From this menu you can Add, Delete, and Edit Sources (note, you can preview the source in
the bottom pane of the window

2: WORKING WITH THE REFERENCES IN YOUR TEXT


Once you have inserted the references in the Word ref tool, you want to work with them. That
is, you need to use in-text citations when you draw upon external sources to make your point
in an essay, your thesis or other assignment. And you need to present an overview of all
references cited in that particular piece of work. There are 2 reference styles:

Integral references
Citation has a grammatical function in sentence & you want to emphasize a particular study.
Examples:
• Font (2003) argues that ….. [please note that the author is outside the (in-text
citation)]
• According to Font (2003), …..
• One study that may support this argument was conducted by Font (2003). He
examined UK tour operators….

Non-integral references
Emphasize the idea, argument, theory rather than individual studies. Examples:
• Scholarly attention for CSR has increased in the past decade (e.g. Font, 2003: Wakker,
2008).
• Studies show that multinationals play a pivotal role in promoting CSR in developing
countries (Aas, 2007; Greenwood, 2002; Zimmer, Trap & Denis, 2005).
• Scholars have attributed CSR behavior to firm size (Duim, 2004; Lounsbury, 2006);
the composition of the management team (Suddaby, 2002); and country of origin
(Sumba, 2010).

1. Using in-text citation with APA style


APA in-text citation style uses the author's last name and the year of publication, for example:
(Field, 2005). For direct quotations, include the page number as well, for example: (Field,
2005, p. 14).

Within the text of your paper, include an in-text citation when you refer to, summarize,
paraphrase, or directly quote from another source. For every in-text citation in your paper,
there must be a corresponding entry in your reference list.

How to insert an in-text citation?


Once your citation is added as a reference, you can use it for in-text citation by clicking on
“insert citation” and choose the reference you want to cite. The reference will be added to
your text as (Bohdanowicz, 2011)

Changing your citation?


Click on the arrow so the folder drops open & select “Edit Citation”.

• You can add the page number (which is relevant for direct quotations!!)

• You can choose “suppress author” and “suppress title” to get only the year (and
possibly the page number by adding it in the box above). This option is relevant
when you include the reference in a sentence. Example: Seelos (2005)
argues….or Seelos (2005:12) defines social responsibility as “….”.

You can also change your in-text citation into “static text”, taking away the connection
with the word reference file (but remember that you still have one reference of that author
as a hyperlink in order to have it included in the “Works Cited” list). This option is useful when
you want to add more than a page number to your in-text citation. Example:

Literature on female entrepreneurship in developing countries is burgeoning (see


Hummel, 2003 for an overview).

By removing the hyperlink, you are thus free to add text (within the citation). Another
example: you directly quote and you want to emphasize something in this quote. You then
have to make clear that this emphasis was made by you and not by the author of the original
text.

The hybridization strategy is particularly interesting as it provides an alternative


portrayal of logics. Rather than the common imagery of competing or contradictory
logics, hybridization suggests that conflicting logics are “relatively compatible, or
can be tailored to be so” (Greenwood et al., 2011: 332, first emphasis in original,
second emphasis added).

Citing more authors? (which is relevant for non-integral references)


• Go with your cursor to the grey area (so put it in the in-text citation you already have
inserted)
• Select the citation you want to add and click on “insert citation”
• It will then be included within the (brackets)
• You can then edit the citation in the same way as described above.

2. Insert the full Reference list in your text


To add a reference list to the document:
 Place the cursor in the document where you want the reference list
 Click the References Tab on the Ribbon
 Click the Bibliography Button
 Choose Works Cited (this option only makes the list of the references you have actually cited
in that document)
