1. General Information Pertaining this RFI

To become acquainted with Exxaro’s basic requirements regarding the preparation

of your response, you are advised to study the following sections included in this
enquiry document

• General Information
• Scope of Work
• Documents to be completed by the tenderer
• All other attachments

2. Queries

followed-up with an e-mail from the Service Provider to the responsible individual

3. Compulsory Clarification Meeting: Will be held online via MS Teams on

15 March 2023 at 15h00

4. RFI Closing Date and Submission of RFI

4.1. Submission of response on Exxaro digital sourcing platform (Coupa)

The Service Provider is requested to submit its response on or before 10H00

ON 5 April 2023 in accordance with the instructions contained in the RFI.

RFI documents should only be submitted via the electronic link provided in
the RFI event. Non-adherence to the above will result in such response/
documents not being considered for evaluation.

4.2. Submission of RFI:

All Service Providers are requested to advise Exxaro within 2 Calendar days
of receipt of RFI invitation by posting a message in the event message box of
its intent to participate in this RFI, by clicking on the “I intend to participate”
button provided on the Exxaro digital sourcing platform (Coupa).

5. Contents of RFI

To enable Exxaro to evaluate the Service Provider’s offer in detail on the same
comparative basis with other offers, the RFI document shall contain all information
requested in these Instructions, the attachments contained in “Scope of Work” and
“Documents To Be Completed by Service Provider” sections, including the following:
• Covering letter.
• List indicating the contents of the RFI document and all attachments;
• Detailed descriptions of all work and services offered and CV’s of recommended
personnel that will be allocated to this project;
• Proof of certification with relevant statutory bodies;
• Completed RFI Form, Conflict of Interest Form, Declaration on Exxaro Former
Employee(s) involved in provision of Services and all Qualification Sheets as
required and referred to in the “Documents To Be Completed by Service
Provider” section;
• Additional information as called for in the Scope of Work.

Failure to submit the required RFI information and Qualification Sheets (where
applicable) may render the tender liable to disqualification

6. General Information
Responses shall remain valid for a period of 90 (ninety) days from the closing date
and time of this RFI.

7. Anticipated Duration: The anticipated contract period is 6 (six) months.

8. Scope of Work

8.1. The detail description of items to be supplied and / or services to be rendered

applicable to this RFI will be provided during the clarification meeting.
