This report covers our consultancy's analysis of the transportation and event management industry.
It includes profiles of our team members, a deep dive into Motus One as the chosen case study, and
practical solutions for the challenges companies face in this competitive market. We aim to offer

The survey came from 101 senior event planners and marketer (aged24+) from KSA & UAE (cvent,
2023).

MotusOne fits into the event industry as a specialized provider of transportation services
and consulting solutions. Their contributions to event transportation began in 2017 and they
offer services that span across transport consulting, vehicle sourcing, technology
integration, event logistics, and event planning 2.

They provide professional transportation consulting, event management, ground


transportation, and logistical services to firms, event providers, venue owners, and
managers in a wide range of markets. Their goal is to deliver quality services with the aim to
produce consistent results. They work with new and improved technology and partner with
multiple providers to focus on delivering the highest quality of service with efficiency 2.

MotusOne takes a customer-centric approach to problem-solving, producing customized


solutions according to a client’s needs. Each solution is knowledge-driven and backed by
real-time data gathered using the latest technology. They also strive to develop a complex
event transportation system while being environmentally conscious, considering factors
such as fuel and energy consumption 2.

Moreover, they leverage automated technology, using a vehicle booking platform that can
be integrated with existing driver and customer applications used by events. This allows
them to predict passenger behavior and match vehicles or drivers to specific individuals or
audiences. This is further enhanced by analyzing feedback data taken from the
audience/guests using automated software 2.

In summary, MotusOne plays a crucial role in the event industry by providing essential
transportation services, enhancing event management, and contributing to sustainable
practices.

Possible MotusOne Competitor: Noor Islam Transport


Noor Islam Transport and the UAE branch of MotusOne are both transportation service
providers operating in the UAE, but they differ significantly in their scope, services, and
approach.

Noor Islam Transport offers a wide range of transportation services. They provide bus rental
services, school transport services, city tour services, car leasing services, van rental
services, and wedding & party services. They serve customers across various cities in the
UAE, including Dubai, Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah,
Fujairah, and others. They pride themselves on their timely service, well-trained drivers, and
clean, well-serviced buses. Their services are available 24x7, making them a convenient
choice for any time of the day. They also offer a variety of bus sizes to suit different group
sizes 2.

MotusOne UAE Branch, on the other hand, is part of a global transportation management
services provider. They specialize in managing complex transport, logistics, and event
projects. Their services are designed to reduce costs and streamline operations. They offer
event transportation, corporate transportation, transportation consulting, expo transport,
and transportation management services. They also emphasize the importance of local
knowledge and cultural understanding in their operations, which gives them an edge in
carrying out smoother operations wherever their services are needed 1.

In comparison, while Noor Islam Transport offers a broad range of local transportation
services, the UAE branch of MotusOne operates on a larger scale, focusing on complex
transport, logistics, and event projects. They are likely to have more advanced technologies
and processes in place to manage large-scale operations efficiently. However, Noor Islam
Transport may be more suitable for smaller, local events or transportation needs, while
MotusOne is better equipped to handle large-scale, complex operations.

2. Strategic Management Principles

Motus One's strategy is simple yet effective: instead of aiming for the cheapest, they strive
to be the best in providing top-notch event transportation services. Their primary focus is on
two key groups—high-end customers and event managers. Rather than constantly seeking
new customers, Motus One prioritizes building lasting relationships with their existing
clientele. This approach distinguishes them in the industry. The company aspires to be a
leader, consistently delivering excellent results for challenging projects and discerning
clients. Their mission is to break away from traditional approaches, ensuring each guest
enjoys a personalized experience. By committing to high-quality, customized event
transportation for upscale customers and event managers, Motus One aims to establish
enduring relationships and trust in the industry. The strategy-making pyramid clarifies roles
and responsibilities within the organization, fostering effective collaboration towards their
vision.

As depicted in the above diagram, the business strategy centres on becoming a leading
provider of exceptional event transportation, emphasizing quality and robust relationships.
The vision focuses on outstanding service, while the mission encourages breaking from
tradition for quality and strong connections. The functional strategy includes marketing
prioritizing lasting ties, R&D featuring thorough market research, and financial/operational
management using Xero and Falcon Tracker with regular updates. The operating strategy
involves leadership oversight, project execution with Mondays for effective team
communication, and a commitment to continuous improvement through regular
assessments and innovation fostering.

Motus One prioritizes delivering high-quality services over cost considerations, enhancing
customer satisfaction and fostering enduring relationships. This commitment to excellence
cultivates customer loyalty, subsequently elevating demand. The provision of customized
solutions and the company's distinctive position in the industry further attract high-end
clients, amplifying the overall demand. This continuous cycle of improvement contributes
significantly to the sustained growth and success of the company.

In the task analysis shown below, Motus One defines its strategic vision and business
mission, sets objectives for sustainability and operational efficiency, crafts corresponding
strategies, implements them through cross-functional teams, and establishes an ongoing
evaluation process with KPIs, industry monitoring, and corrective actions.

The key ingredient for MotusOne's success is innovative leadership, outstanding event
transportation, and a dedication to industry trust. With strategic goals in mind, such as
sustainability and operational effectiveness, the business carries out plans, evaluates results,
and makes adjustments to ensure continued excellence and growth.

Motus One adopts a proactive supplier management strategy, ensuring data security
through timely changes and prioritization. The company strategically establishes barriers of
entry by offering specialized event transportation services, fostering strong relationships,
and possessing unique knowledge. When engaging with buyers, Motus One caters to the
high-end market, emphasizing strong relationships and employing strategies to minimize
buyer influence. However, they face a challenge in meeting customer demands for both
cheap and sustainable options. In terms of competitive rivalry, Motus One focuses on
industry trends and differentiation through unique, top-notch services. To counter
substitute threats, they position themselves with personalized services, a commitment to
breaking industry norms, and unique offerings, minimizing the substitute threat.

In summary, Motus One faces challenges in balancing sustainability with affordability,


navigating complex legal requirements, and addressing potential risks from both suppliers
and employees. Adapting to social trends, leveraging technology, and maintaining a strong

Motus One's leadership style aligns more closely with the Coaching Leadership approach. In
this leadership style, leaders actively work with their team members, offering guidance,
support, and personalized development opportunities. Notably, the interviewee
emphasized, "We don't make our employees do something which we ourselves can't do;
basically, we try to put ourselves in their shoes and then delegate tasks." This commitment
to understanding employees' perspectives by experiencing their roles firsthand
complements coaching principles. Motus One's leaders prioritize collaboration, maintaining
a friendly and respectful environment, and enhancing individual and collective performance
through mentorship and support. Additionally, the flexibility in time management, especially
for freelancers, is consistent with the coaching approach, as it recognizes and
accommodates individual needs and preferences within the team.

3. Information System Types

An information system (IS) is a set of interconnected components that work together to


collect, process, store, and distribute information to support decision-making, coordination,
control, analysis, and visualization in an organization. It involves the combination of people,
processes, data, and technology to manage and use information effectively within an
organizational context.

4. Managing IT Projects & Cloud

Managing IT projects is crucial to an organization such as Motus|One as it allows them to


handle problems that arise along the implementation of their projects (Snedaker, 2005).
During the initiation stage, they bring a project manager to study and analyze various risks
involved in a project and create a detailed DRP (Disaster Recovery Plan) to tackle such
issues.

Additionally, Motus|One makes use of the application “Monday.com” to efficiently manage


their daily business activities. This platform provides organizations with all the tools required
to run a business, as well as provides them with the flexibility to create and innovate
business processes in their own creative ways. (Manko, 2021)

3.1 Review of the core IT project management practices

To deliver exceptional outputs, various project management practices are needed to


facilitate the overall progress of a proposed plan. Motus|One uses the waterfall approach.

Waterfall Methodology
This approach allows them to sequence milestones, diverting their full attention after
reaching and completing one milestone at a time.

Business Performance Model:
Another project management practice they could use is the business performance model to
deploy a Human Resource Management (HRM) solution for their workforce effectively
(Andreev, 2021).

Motus|One, an events transportation company, values its dedicated and hardworking


employees. Implementing a business performance model at the management level to track
and review employee contributions would enhance morale by recognizing and
acknowledging their efforts. This approach ensures that the diligence of the workforce is
duly appreciated and contributes to a positive and motivated work environment.

3.2 Creation of a project management plan

Concerning project management planning, Motus|One typically relies on Monday.com for


task management, ensuring all team assignments are completed before their deadlines.
However, recognizing the necessity for comprehensive planning in every project, the
company could benefit from implementing the project management planning steps
mentioned in the figure below.

3.3 Identification of key work packages & cloud products

MotusOne did not mention anything about Key Work Packages. However, they do use a
variety of cloud services to streamline their tasks, and workload.

Monday.com
Monday.com allows Motus|One to automate their workflows, mainly for Project
Management and Human Resource Management (HRM). Motus|One uses monday.com for
the following core features:
 Role Assignment - Assigning specific roles or tasks to team members and tracking
their progress along the way, holding everyone accountable thereby avoiding
confusion in distribution of tasks.

 Timelines - Visual representation of timelines, milestones, and deadlines provides a


clearer understanding for given tasks in a project.
 Gantt Charts - Allows Motus|One to view project tasks in a Gantt chart view,
allowing them to view the entire project including the dependencies and timelines
for each milestone (Haan and Broverman, 2023).

Ubeya.com
Before implementing Ubeya into Motus|One’s Routine, they used regular spreadsheet
software, emails, and text messages for employee communication. This was very inefficient,
which is why they needed a software solution to centralize their database that can answer
all their staff management needs instantly.

As a result, with the implementation of Ubeya, they found that Instant workforce data
access serves as MOTUS ONE's centralized communication hub, streamlining employee
messages on uniform regulations and location changes. This efficiency minimizes the time
spent managing communication channels, allowing a focus on core tasks rather than
navigating various messages for over 200 employees leading up to events.

5. System Development Models

4.1. Review of appropriate systems development models

Motus|One uses the waterfall model to carry out their daily operations. The Waterfall
model guides each task with precision and reliability by gradually progressing through the
distinct phases of requirements analysis, design, execution, and testing. This model ensures
that daily tasks are approached with thorough planning and executed with a close eye to
detail. By implementing the principles of the Waterfall model, Motus|One minimizes the
likelihood of errors thereby enhancing its overall efficiency.

below.

4.2. Selection of the most suitable model for the organization

Currently, Motus|One utilizes the Waterfall Model in their daily operations. They gather all
the project requirements beforehand and proceed with fully implementing each phase of
the project before moving onto the next phase. This model follows a linear sequential
approach and does not allow much room for flexibility.

According to our study and analysis, our group believes an Iterative Model would suit
Motus|One best in their daily operations. An Iterative approach allows Motus|One to
engage in a continuous feedback loop with clients during events, especially when client
requirements constantly evolve. Based on the feedback received from the clients, Motus|
One can incorporate these changes at each stage of the project and ensure that their
transportation services meet the demands during the event.

4.3. Description of how the model will be implemented by the organization

MotusOne uses the iterative model by continuously refining its transportation services.
Starting with targeted improvements in each iteration, the company gathers feedback from
stakeholders, adapts to changing requirements, and refines features based on real-world
usage. This iterative and adaptive approach allows Motus|One to deliver enhanced event
transportation solutions, ensuring continuous improvement, responsiveness to client needs,
and a commitment to excellence.

Motus|One implements the iterative model by:


 Identifying specific areas for improvement.
 Planning and executing iterations with targeted features.
 Collecting feedback from stakeholders.
 Refining based on feedback and lessons learned.
 Repeating the process for continuous enhancement, adapting to evolving
requirements and market dynamics.
This approach allows Motus|One to incrementally enhance its transportation services,
ensuring they align with changing client needs and industry trends.

After the planning and design phase, a suitable deployment model must be selected for
implementation of the new system. A few options are listed in the table below.

A phase-in deployment system would be highly beneficial to Motus|One. This approach


allows for a gradual transition, minimizing the risk of delays during critical operations. By
running both the existing and new systems concurrently, any issues in the new system can
be quickly identified and addressed, reducing potential risks. The gradual introduction also
provides the opportunity to train staff at a comfortable pace, ensuring they become familiar
with the new system without feeling overwhelmed. Additionally, necessary adjustments and
improvements can be made with constant feedback from clients after each phase. The
phase-in model gradually helps Motus|One keeps things running smoothly, uses resources
wisely, and adapts efficiently to new systems.

6. Digital Business Models

In the ever-evolving landscape of the automotive sector, MotusOne stands at the forefront,

Motus|One makes use of the Waterfall approach towards their projects. This means they
carefully plan each phase of the project and only proceed to the next phase once the

While the Waterfall approach seems to be working well for Motus|One, I think that an Agile
approach would be much more beneficial to them. Agile provides room for more flexibility
during the course of the project to adapt to client’s changing requirements.

Motus|One uses a sequential approach in their systems development models. Being a linear
model, phases are completed one at a time, making it easy to understand. However, this
may not be the most efficient approach as the focus here is more on quality rather than

models. This is allows them to constantly evolve and enhances the quality of their work
based on the feedback received from clients at the end of each phase. This provides them

and execute projects efficiently. Monday.com's user-friendly interface and Gantt chart
features aid in precise project planning and coordination, crucial for the intricacies of event
transportation. The tool's adaptability to various project management methodologies,
coupled with customizable dashboards, ensures transparent communication and informed
decision-making, reinforcing Motus|One's commitment to successful project delivery.

In addition to software tools, implementing structured project management models could


further enhance Motus|One's project handling. Consider adopting a comprehensive project
management plan encompassing eight essential steps to guide their processes effectively.

Section 4 – Systems Development Models


Motus|One is a company that requires a structured development model to plan and
execute projects. The interviewee mentioned that they use the Waterfall model since their
approach to these projects is very straightforward; they usually tackle them in a step-by-
step manner. The Waterfall model aligns seamlessly with Motus|One's project
requirements and operational style, providing a structured framework for planning and
executing projects.

While Motus|One has found success with the Waterfall model, it's worth considering the
potential benefits of incorporating an iterative model into their project management
approach. With its flexible and adaptive nature, the iterative model could provide Motus|
One with advantages in the ever-evolving landscape of event transportation services.

Section 5 – Digital Business Model


The overall events industry in the UAE is currently slow, with fewer happenings. Which is
why most staff are freelancers/interns, a measure taken for cost management. Motus|One
primarily attracts clients through its website, therefore their social media team enhances it
periodically, the Chief Technology Officer (CTO) and in-house software developers work on
developing and testing features using Monday.com, aiming to provide more efficient
solutions for their business processes.

One of the challenges the business is currently facing is the effective maintenance and
management of costs. An avenue to address this challenge and potentially increase revenue
is through establishing corporate partnerships. In this approach, Motus|One and corporate
clients would enter into a contractual agreement, providing services at a discounted rate.
While this arrangement may initially reduce costs for corporate clients, it presents a long-
term opportunity for Motus|One to secure a steady flow of projects. This sustained project
availability positions the company to generate more revenue over time, allowing for the
transition from freelance-based staffing to hiring full-time employees.
Section 6 – ERP - BIS
Motus|One employs various information systems to streamline and support its business

collaboration, and simplify management. Having all business processes within Monday.com
offers a cohesive and integrated solution, reducing complexity and improving overall
efficiency.
