Absence Due to Illness

POLICY

Community Ambulance and its employees have the responsibility to provide services to the public in a safe
and professional manner. In order to perform these services, it is the joint responsibility of Community
Ambulance and its employees to see that those personnel providing care to the public are healthy and
capable of performing the required tasks without undue risks to themselves or the public.

PROCEDURE

• While on duty, if an employee is too ill to perform safely and effectively their assigned duties, the on-
duty supervisor must be notified of the nature of the illness and the requested relief.

• If the employee is off duty and becomes too ill to work their next assigned shift, the employee must
call the dispatch call off line at (702)968-9755, as soon as possible and but no later than two hours
before the start of an assigned shift.

• Any notifications after the two-hour window will be considered a no call/no show. **The dispatch
call-off line is to be utilized with the exception of designated weekends where administration will be
handling call-offs. **

• In most cases, the on-duty supervisor will be responsible for finding a replacement for the employee
that is not able to work their assigned shift. When searching for a replacement, calls and text
messages will not be made to the employees' home between 20:00 and 07:00. Emails seeking
available employees may be sent out at any hour of the day.

• Employees that call off sick may be required to produce physician verification of illness prior to
returning to work.

• At any time, management reserves the right to require employees to work during periods of extreme
demand or on certain days when the Mandatory Work Policy is in effect. At any time, management
may require employees to work previously unscheduled dates and times.

• If an employee knows that their illness will be of such duration that more than one shift will be
missed, the employee must, in addition to the initial notification to the dispatch call off line, contact
the Administrator on duty to make arrangements for continued shift relief.

• Any employee found to have falsified the nature of their illness or reasons for calling off sick shall be
subject to disciplinary action for shift abandonment, up to and including termination.

• All sick call off occurrences will be counted in a rolling calendar year. One call-off will be counted as
one occurrence. Two consecutive call-offs will be counted as one occurrence. Greater than two

consecutive calls-offs requires a Doctor's note to avoid each call-off being counted as a separate
occurrence.

• Ending shift early due to illness: If an employee goes home prior to completing half of his/her
shift, then a full call-off occurrence will be counted. If an employee goes home after completing at
least half of his/her shift, only half of a call-off occurrence will be counted. No occurrences will be
counted for absences that are protected under the FMLA or other applicable law.

• A Doctor's note alone does not avoid an occurrence from being counted.

The disciplinary process will proceed as follows:


4th Call Off Occurrence -Courtesy Counseling
5th Call Off Occurrence -Verbal Warning
6th Call Off Occurrence -Written Warning
7th Call Off Occurrence- 1-day suspension
8th Call Off Occurrence -3-day suspension
9th Call Off Occurrence - Termination

The above-described process serves as disciplinary guidelines and do not prohibit Community Ambulance
from skipping any steps under the circumstances or proceeding to immediate termination.

Employees covered by the Family Medical Leave Act (FMLA) must fill out the appropriate paperwork
requesting the leave and have it approved by the Human Resources Department. (For more information on
FMLA protection see Policy #227-PTO and Leave of Absence.)
