Preventive Maintenance Policy
Purpose: In order to maintain proper operation of a facility and its
equipment, a facility must ensure that preventative maintenance is
performed at least annually. Implementing a comprehensive preventative
maintenance plan includes the systematic inspection, detection and
correction of incident failures either before they occur or before they
develop into serious defects.
Scope: The following should be included in annual preventative
maintenance, as applicable:
1. Video surveillance cameras (functionality and image quality)
2. Video surveillance recording equipment
3. Intrusion detection components
4. Intrusion detection head end
5. Access control portals (gates, doors, windows, devices, locking
mechanisms, closing arms, sounders)
6. Access control head end
7. Paper shredders
8. Plastic grinders
9. Lighting
10. Fencing
11. Other equipment used as a regular component of the facility's
security program
Procedure: The above preventive maintenance will be part of
responsibility of IT, Maintenance & Admin department to ensure that
timely and schedule preventive maintenance are undertaken through
following mechanisms –
(i) Regular inspection checklist
(ii) Regular servicing of all security items and devices
(iii) AMCs through 3rd party vendors
(iv) On call services for any rectification work
(v) In house preventive maintenance schedule or plan
Responsibility:
(i) IT Administrator will be responsible for maintenance and upkeep
of security systems viz. CCTV, Access Control Devices, IDS, etc.
(ii) Maintenance Head will be responsible for maintenance and
upkeep of the building structures, lightings, doors, windows,
shutters, perimeter wall, fencing, plastic grinders, etc.
(iii) Admin Manager will be responsible for the maintenance and
upkeep of the shredders, security items viz. torches, under view
mirror, key houses, security signages, etc.
Proper documents and records will be maintained for all the maintenance
work carried out and will be retained for a period of 03 years.
