Introduction

A. Project content

Stock Wise serves to streamline the tracking and distribution of supplies within

Schools.This new way the school can keep track of supplies, reduce waste, and improve

operational efficiency. Stock Wise offers real-time supply levels data as well as usage

patterns to enable informed decision-making, thereby taking a proactive approach to

resource utilization.

B. Objection

StockWise aims to help schools optimize their stock levels. It uses real-time analytics to

predict and manage stock levels, reducing slow-moving or dead stock while minimizing

stockouts and sales. StockWise offers features such as real-time inventory analytics,

inventory optimization, multi-channel management, product identification, purchase order

management, reorder management, reporting and analytics, supplier management, and

warehouse management. The system's features include product identification, purchase

order management, reorder management, reporting and analytics, supplier management,

and warehouse management.

C.Scope and Limitation


This system will streamline supply management by tracking all free supplies, including

quantity, type, and location. Users can easily request specific supplies, and the system will

track the status of these requests. Comprehensive reporting and analytics will provide

insights into supply levels, utilization, and request fulfillment. The system will also include

user management features, allowing for the creation of accounts with different access and

permissions. Standard integration with existing systems, such as spreadsheets or

databases, will ensure seamless data flow.The free version of this system offers core

functionality, but with limitations compared to its paid counterpart. While it provides basic

inventory tracking, request management, and reporting, it lacks advanced features like

sophisticated reporting, automation, and seamless integration with other systems.

Additionally, scalability is limited, making it less suitable for organizations with large

inventories or high volumes of supply requests. Security measures are basic, and

customization options are minimal, primarily focused on branding and basic

reporting.Support for the free system is primarily limited to online documentation and a basic

forum. While users retain ownership of their information, the application may collect

anonymized data for analytical purposes.

Project Analysis

Implementing a structured Gantt chart schedule, we began the development of Stock Wise, a

Microsoft Access inventory management software, Starting with planning, where we evaluated

needs and established key features. Next is Finding the appropriate title and defending it,

followed by arranging the introduction and creating an Entity-Relationship Diagram (ERD) to

show database relationships. The next step was encoding in Microsoft Access, where we entered

the database and queries. Forms and reports were then made to show the data. The

development phase of the Ms Access database included creating tables based on the ERD,

putting CRUD operations into place, and testing data linkages. Lastly, revising and completing the

data as well as the report and form designs

Project Design

The ERD depicts a system for managing the

flow of items from donation to distribution. It

includes entities like donations, custodians,

requests, items, received items, distributed

items, and suppliers. Each entity has specific

attributes that uniquely identify each record,

such as donation ID, custodian ID, item ID, and

supplier ID. The relationships between these

entities are represented by lines connecting

them, showing how items are tracked throughout the process. For example, one donation can have

multiple items, and one custodian can manage multiple donations. The diagram also shows how items are

received from suppliers and distributed to recipients, highlighting the connections between the different

parties involved in the process.

Project Development

a. User Interface

This is an item form that is asking for

the item ID and the name of the item,

and how many pieces there are. For

example, an item ID as shown here is

50050. The name of the item is Hygiene

Kit. The number of pieces shown here

is 500,000. Then, there are navigation

buttons that could be the previous and

next entries.

requested, which in this case is student

desks, the number of items, and an

item ID. The example illustrated has a

request ID of 20001, requests 500,000

student desks, and has an item ID of

50001.

This is the distributed report of

StockWise which outlines the

distribution of items of teachers

and master teachers. The report

includes a Distributed ID, the

type of employee, and the item

received. Some examples

include student desks, teacher

desks, chairs in the classroom,

whiteboards, smartboards,

computers, etc.

This is the suppliers report of

StockWise. It shows supplier ID,

company name, contact person,

contact number and email

addresses among variously

other suppliers. Included in the

list are Apex Supplies Co.,

Prime Solutions Inc. among

others.

b. Database

TABLES

The image on the left side is the ITEM table it

holds inventory data for a school or other

educational establishment. It provides a list of

different items together with their individual item

IDs and the quantity of each item. The table

contains a few dozen to hundreds of thousands of

pieces of furniture, technology, classroom

materials, and safety equipment.

quantity of items requested, and the

associated Item ID, each row

represents a different request. The

requested items include everything from

technology such as computers and

projectors with classroom supplies,

classroom chairs. This table is used to

ensure the school has the tools it

needs to run efficiently.

performance. This information is used by the School to maintain good ties with its suppliers and guarantee

effective purchases.
