Instruct Student Guidelines
Provide guidelines for students on proper usage and lab etiquette.(“lab etiquette” means the
expected polite and responsible behavior, like keeping the space clean, not disturbing others, handling
equipment carefully, and following lab rules.)
● No eating or drinking inside the lab.
● Handle equipment with care, avoid unnecessary movements of hardware.
● Report any malfunction or suspicious activity immediately.
● Shutdown the system properly and place your chair, keyboard, mouse in place before
leaving from the lab.
● If the system is not functioning or there is a network issue then mention the problem to
the concerned lab in charge and log it in the Maintenance Issue Log Book.
Handle System Issues
● Document all incidents, actions taken, and resolutions in the Maintenance Issue Log

● Serious incidents should be escalated concerning HoD.
● The problem must be sent through E-mail only don’t inform orally or even not in
whatapp.
● The problem must send through in below protocol only
o Student must inform(means mention in Maintenance Log Book.) under the
supervising respective lab handling faculty
o Lab handling faculty inform to respective lab In charge about the issue recorded
o Lab in charge need to fill below given formate and forward to respective Lab
department HoD through E-mail[ ].

Maintenance Checklist
Daily Tasks
● Make sure chairs are arranged properly in order and desks are neat and tidy.
● Check for any visible hardware damage or loose cables.
● Ensure all computers are properly shut down or restarted as per schedule.
Weekly Tasks
● Check and clean monitors and peripherals.
● Test UPS and surge protectors functionality.
Quarterly Tasks
● Perform full hardware diagnostic tests.
● Audit inventory and update asset management records.
Hardware Maintenance
● Conduct routine inspection of all computers, peripherals (keyboard, mouse, monitor), and
networking equipment.
● Clean internal components (CPU fans, keyboards, monitors) every 3-6 months to prevent
dust buildup.
● Check and tighten all cable connections regularly to avoid loose or damaged cables.
● Label all equipment with asset tags for inventory and tracking.
● Replace or repair faulty components promptly to avoid downtime.
Responsibilities
● Lab In-charge/Programming assistant: Perform maintenance, monitor equipment,
report issues.
● Users (Students & Faculty): Follow lab rules, report problems, handle equipment
carefully.
● IT Department: Support software updates, network security, and infrastructure
upgrades.
