DLS Executive 2011-2012 Position name: VP Social Dear new VP Social, First off, congrats!

You are about to start the best, maybe most hectic, but also the most rewarding year of your university years! Your role this year will be to plan, direct, and participate in all the events this year. You help direct the production of posters and tickets (look to your VP Comms for that), but last year I did most of the posters myself. I found it easier because I knew what I was looking for and I had all the information for the event. In an attached document I will go through some steps to make posters : ) Dont ever be afraid to ask for help and advice, but do remember you sort of have last call to what the events youre doing. Try and be inclusive of all DLS students. Try not to make them all wet events (with alcohol) or all dry events (no alcohol). Generally, we do one event per month, but dont feel like you need to do one every month. Tips/Pointers: - Plan early. Leave nothing to the last minute; you will get screwed over in the end. o Try to have the event planned out for the year in advance. It sounds difficult, but it much easier than you think. - Ask all and every question possible. You need to be informed about everything and be able to answer most what if questions o Do you accept cheques as payment? is an important one to remember and frequently gets forgotten. - Keep in constant contact with the President and the VP Finance. You always should know approximately what your budget is for each event and should you need funds refunded either one of these two people can do that for you. - In an emergency, contact your President. He or she will hopefully be able to help/guide you into what needs to be done or offer you support in your decision making process. Poster Guidelines When choosing pictures to go on posters, always make sure they are large pictures. It is easier to shrink them down then to blow them up. It will also make the pictures look fuzzy and/or blurry. o If you are searching for pictures on Google Images, you can select file size, Large or Extra Large. Side note about searching for images on Google Images: Its really helpful if you are searching for something specific because you can choose if you want it clip-art, only in colour, or black & white, etc. Posters are most effective in colour, and in 11 X 17. It is not necessary to have posters this size, but I find that most are and it doesnt hurt to have them that size. o When making the posters, make sure the page size you are working with is this size so you dont need to blow the image up to print it. There are many templates that exist to help make sure that the page is the right size or if you are doing tickets, these templates can also help. (For tickets I used a business card template) If you dont have a computer that already has templates in it, I would suggest using www.avery.com. They have some pretty diverse templates. Posters should include the DLS logo and the University of Ottawa logo. After the poster is created you have to worry about paper weight. Generally, paper is 20lbs. Business cards are usually about 100lbs. o To get tickets cut by the printing company will usually cost a ton, so if you need to save money, you can ask for them to be printed on 100 lbs paper and then use a paper cutter to cut them yourself (you can access on the 2nd floor of ILOB by the photocopier). There are 3 places you need to get posters stamped. o 1) SAFA Office (in Caf Alt) this lets you post them in the Caf, SMD, ARTS, PRZ, and some places in TBT o 2) Community Life Services (UCU 318) lets you post almost everywhere else on campus. See attached document called University of Ottawa Campus Billboards List. o 3) SFUO Office (UCU) Lets you put up posters only in the UCU
