Guidelines Erasmus +
International Credit Mobility
As a preamble to the mobility

A) Inter-institutional agreement

The Coordinating Institution, Centrale Nantes has sent you


the Inter-institutional agreement. This agreement has to be
signed by your representative.

! The date of the signature must be prior to the 1st mobility.


B) Participant Identification Code (PIC)

You will need a 9-digit Participant Identification Code for


reporting purpose.

If your institution has already been involved in European


projects (Research projects, Education, etc.) you may have a
PIC.
Only one PIC is necessary by Institution.

Call for applications

1) Centrale Nantes informs the partner institution about the launch of


the call for applications (with the list of programs open, the link to
apply, the deadline, etc.)

2) The home institution : -promotes the call for applications and


informs the students of the application procedure
-select a short list of applicants -> send the excel table
-> upload the personal documents (CV,
Cover letter, TofR, passport, learning agreement) of each application
from the short list.

Nomination/ Selection/
Criteria
1) Centrale Nantes studies the short list of applicants from all the
country once the call for applications is closed.

2) Centrale Nantes sends the proposed list of candidates to the home


institution.

3) The home institution validates the list of eligible candidates.

In case of too many applications on the same specialty, applicants
will be evaluated on common criteria :
- academic merit,
- motivation,
- language,
- learning agreement proposal -> Erasmus+ scholarship
cannot fund internship !

Mobility : supporting
documents (1)
1- Arrival Certificate
Certify the arrival of the Grantee at Host Institution

2-Grant Agreement : Defines mobility rules between the Coordinating


Institution and the scholarship holder.
To be filled out and signed by student/staff before the 1st day the
mobility period.
Mandatory to receive the 1st installment.

3- a) Student : Learning Agreement for Studies : Teaching content of


the mobility
OR
- b) Staff : Teaching Mobility Agreement /Training Mobility Agreement :
Defines the programme throughout the mobility period.
Has to be filled out and signed by the Grantee, the Home Institution &
the Host Institution before theInternational
mobility

Learning Agreement for Studies, Teaching Mobility Agreement


/Training Mobility Agreement, can be modified during the mobility.

4- General Conditions :
Details the conditions of the mobility.
Provided with the Grant Agreement.

5- Erasmus+ Student Charter (Only for Students) :


Highlights rights and obligations of the Grantee.

Provided with the Grant Agreement.

All these documents are compulsory and are edited by the European
Commission

Financial Management (1)
The Coordinating Institution, Centrale Nantes is in charge of the
transfer of the funds directly to the scholarship holders bank
account.
Subsistence allowance flat rates :

Payment conditions :

Incoming mobility (from the partner country to Centrale


Nantes) : 70% at the arrival at the Host Institution, 30% at
the end of the mobility period.
Outgoing mobility (from Centrale Nantes to the partner
country) : 70% before the mobility period, 30% after the

Financial Management (2)
Travel allowance :

The travel allowance is not intended to cover the entire


travel costs, it is a contribution.

The travel allowance is transfered to the scholarship holders


bank account with the subsistence allowance, at the arrival at
host institution.

End of the mobility period
Final Certificate :
Certify the departure (and length of mobility) of the Grantee from
the Host Institution

1 Final Report + an internal survey to be filled out :

- Student : before the end of the mobility period (receives an


automatic e-mail before the end)
- Staff : after the end of the mobility period (receives an
automatic e-mail)

Mandatory to receive the balance of the subsistence allowance.


To be filled out online by the scholarship holder.

Academic recognition :

- Transcript of Records (in accordance with the Learning


Agreement) issued by the Host Institution

Focus on scholarships

Current scholarships available :


Students : 8 scholarships for 10 months mobility to be used
for September 2017
1 administrative staff mobility to be used before July 2018
1 academic staff mobility to be used before July 2018

Future ?
More scholarships requested to the European Commission for 2017-
2019 (answer end of June 2017) :

-20 scholarships for Indian students


-2 scholarships for academic staffs
-2 scholarships for administrative staffs
