- This type of business communication is anything that


comes from a subordinate to a manager or an individual
up the organizational hierarchy.

- Most communication that flows upward is based on


systematic forms, reports, surveys, templates and other
resources to help employees provide necessary and
complete information.
Internal Communication (Downward)

• This is any type of communication that comes from


a superior to one or more subordinates.
Communication might be in the form of a letter, a
memo or a verbal directive.

• Leaders should keep communication professional


and clear with subordinates.
Internal Communication (Lateral)

• Lateral communication is the talking, messaging


and emailing among co-workers in the office. This
might be cross-department communication or just
internal department dealings.

• An example of a scenario involving cross-


department communication is where the fulfillment
manager has a question about a special order, and
is requesting clarification from the sales
representative via an email or office messaging
system.
External Communication

• is any communication that leaves the office and


deals with customers, prospects, vendors or
partners.
• It could also involve regulatory agencies or city
offices.
• When corresponding to outside entities for
partnerships or other business administration
needs, state the purpose and be concise in
communication, whether oral or written.
PURPOSES OF BUSINESS COMMUNICATION

1. Information:

Inform the people,group about the task,policy,rules and


regulations.The relevant information must flow continuously
from top to bottom and vice versa. The staff at all levels must
be kept informed about the organisational objectives and
other developments taking place in the organisation.
2. Coordination

It is through communication the efforts of all the staff working


in the organisation can be coordinated for the
accomplishment of the organisational goals.

3. Learning Management Skills

It facilitates flow of information,ideas


beliefs,perception,advice,opinion,orders and instructions etc.
both ways which enable the managers and other supervisory
staff to learn manaegerial skills through experience of others.
5. Developing Good Human Relations:

Managers and workers and other staff exchange their


ideas, thoughts and perceptions with each other
through communication. This helps them to
understand each other better

6. Ideas of Subordinates Encouraged:

The communication facilitates inviting and encouraging the


ideas from subordinates on certain occasions on any task.
This will develop creative thinking. Honoring subordinates’
ideas will further motivate them for hard work and a sense
of belonging to the organisation will be developed.

This is also known as the principle of clearness.
The key to clarity is the observance of simplicity
and good organization.
3. Conciseness

The key to conciseness is to get to the point.


Conciseness means forming your message with
minimum number of words possible without
invalidating the other 6 C’s.

4. Courtesy

In this principle, it is important to always step into


audience or reader’s shoes. Courteous message is
written from the viewpoint of the audience.
5. Completeness

This principle requires that no necessary information


is missing. A complete message should convey all
facts required by the audience.

6. Concreteness

To be concrete, technical writers must focus on the


specifics instead of generalizations. Concrete
message is like a fact sheet put into words.
7. Consideration

Always remember that technical writers are people too.


Consideration also entails good language.
