INTRODUCTION :
-E-Procurement System is a technology-driven way to simplify procurement and bid activities.
-E-Procurement is a cost-effective, scalable way to convert traditional way of publishing
procurements and avoid the back hand that plays role in the corruption that takes places in
many bids.
- Suppliers can create a supplier account and upload their legal documents and get verified in
order to get in the auction.
- DDU posts an actual bids with their respective bid documents to the publics in which verified
suppliers can participate.
-It can simplify overall procurement process.
-The system can asses and deliver a better and more targeted results with the minimized
corruptions which will lead to fair auctions among suppliers.

-E-Procurement will enable companies to shorten procurement cycles by ordering and paying
through use of online catalogues.
-Cut costs on both stock and manufactured parts through competitive bidding
-Reduce development cycles and accelerate time-to-market through collaborative
engineering and product implementation.
- Gain access to world-wide markets
- Marketing information and prices are always up to date.
-Increased global competition and pricing pressures are forcing
-companies to continually identify new opportunities for enhancing productivity and reducing
costs

Statement of the problem
- DDU performs a procurement process that is done manually using the paper and public magazines.
-Despite DDU is trying to improve the procurement system, it is still
 poor in procurement planning and implementation,
 poor organizational culture
 ICT adoption
 week internal operation system
 bureaucratic procurement procedures
 poor quality goods and services, and
 poor records management
 not having trained and qualified procurement specialists
- Suppliers complain about the capability of public sector buyers

-In order to achieve the general objective of the project, the specific objective is
designed to do the following activity:
 To investigate and identify the problems in the existing procurement system in DDU
 To choose the most appropriate method of data collection.
 To analyze the problem and find a way for the solution
 To design and implement a database for the proposed system
 To develop the system that enables the organization to post auctions to public
 To develop the system that stores bid prices submitted from bidders in the database

Scope and Limitation of the Project
Scope:
 The e-procurement system is designed for DDU.
 The system handles all the operations held in procurement process
inside the organization
 It can solve many problems that occur in the university on the
procurement process.
 It can enable the head of procurement department to prepare and post
auctions to the public
 It allows suppliers to create a supplier account and upload their legal
documents and get verified in order to get in the auction

Limitation:
 Needs internet access
 The system will not verify documents submitted by itself
 Needs physical attendance to check for products to be delivered by the suppliers
 The user interface is only in English; no other language option is available.
