FAQ with Role based queries & response across OPS Domains

• Time@IBM is an internal application that provides a single place to record the hours you work on
internal and external projects.
• Using Time@IBM, you can log your project hours from any device.
• Use this web-based and mobile friendly application as a substitute for BMS labor claiming and iERP
labor claiming.
• It’s a best recommended single window platform for any others labor claiming tools like BMS ILC, MLC,
CATS or iERP portal.
• Every Week Labor Hours Clocking & Submission for the Current Week by Thursday EOD.
• Any Changes required for Past Week should be done by Monday of the Following Week
TIME@IBM • Follow IBM CIC India Working Hours Policy and GBS Labor Claim Policy
(Labor Clocking) • Claim Pre-requisite Elements : a) Account ID; b) Work Item; c) Activity Code & Activity Description.
• Use Diagnostic Tools and Self Help to get reason for Claim Failure and what action is required :
• Even after all above, for specific queries, raise a Ticket in IO Help Desk with appropriate category.

• Working hours for all employees of the company are 45 hours and maximum up to 48 hours a week for
the general and other shift working
• Working hours are subject to a maximum of 9 hours of work in a day.
• Employees may be required, in fulfilment of official duties, to spend additional time in office, with prior
approval from their managers
• For working minimum 2 additional hours on week day or 4.5 additional hours on weekend
• Employees may aggregate additional hours spent and may avail compensatory time off as agreed
with the manager.
• Compensatory Off must be availed within the next 30 days of the mandatory or festival holiday.
IBM CIC The Compensatory Off cannot be encashed or carried forward.
• Can claim meal expenses up to a maximum of Rs.175/- with bills *
India Working • Conveyance shall be claimed in line with Car rental Policy guidelines

Hours Policy • For working minimum 4.5 additional hours on Mandatory/Festival Holiday
• Employees, who may be required to work for complete shifts on Mandatory and/or Festival
Holidays as declared by the company, shall be granted Compensatory Off.
• Employee shall not work on such holidays unless there is a business requirement and they have
received prior approval from the manager to work on these days.
• Employee needs to discuss and finalize the compensatory off with manager and manager will
update the Compensatory Off on Workday tool.
• Compensatory Off must be availed within the next 30 days of the mandatory or festival holiday.
The Compensatory Off cannot be encashed or carried forward.

• All practitioners must work what they claim and claim what they work. Do not falsify or omit labor
claiming.
• GBS practitioners will record their own client services labor accurately and honestly on a weekly basis, in
compliance with the IBM Business Conduct Guidelines.
• All hours of labor should be claimed in the week they are worked, regardless of whether the hours are
billed to a client or not. Hours worked in one week should not be clocked in other weeks *
• Work is performed in compliance with local labor laws as per local HR guidance
• If a practitioner is requested to claim their client services labor differently than the hours they worked, it
is their responsibility to raise this via IBM's Communication Channels, i.e. Blue Pages Manager, as
GBS Labor
detailed in the IBM Business Conduct Guidelines.

• Back dated adjustments to Time Clocking creates reversals and re-billing out of country.
• Any credit transactions (reversals) lead to significant issues with India Govt. Export Tax compliance.
• Hence any adjustments on labour claiming for prior months are routed through Locked Period
Adjustment Tool
• LPA tool allows certain types are adjustments as per the table shown below and with required
approvals

• Shift is defined as 9 hours of continuous work in any of the Shift
• Based on the management requirement, an employee may be asked to work in shifts
• Shift Allowance is not applicable for employees where Log-in time is not determined i.e.
employees working under Flexible Work Options
• Employee is required to attend work for complete shift time to be eligible for this allowance
• Shift Allowance is not applicable when an employee is attending partial hours or is on half day
leave etc
• Woman employees whose normal shift timings require them to reach office in the night window
or leave for home after their shift in the night window are mandatorily required to avail company
provided transport

• Standby or On-Call Support is defined as a limited time sought by IBM from pre-identified employees to
extend support on client issues that may arise outside their allocated shift hours
• Manager obligations are as under
• Strictly need-based:
• Standby Allowance must be paid to pre-identified employees towards inconvenience
caused to them
• Standby Allowance is not a reward for perpetual availability of personal time of employees
• Should be highly regulated and is strictly need-based
• Pre-identification and proactive rostering
• Managers are expected to proactively roster

• Employees cannot work more than 8 hours of standby during any weekday and 16 hours
on weekend
• Reasonable time restrictions
• Manager must ensure that employee is not scheduled on standby during a time window
where he is expected to attend to work as per regular schedule
• as per Shops and Establishment Act the immediate commencement of Standby Call after
Shift will be treated as Additional Hours worked and not Standby.
• Standby Support should commence at least two hours after the conclusion of their
allocated shift

clocking. Data records in TIME@IBM leads to vendor payment for contractors. Any wrong recording in any
of these systems lead to inaccurate vendor payment
