Chart of Items
Chart of Item is a list of all Item Groups and
Items used by one or several Division of a
company In Hierarchical Fashion. The Item
Property contains the Item Code, Item name,
Specification, Measuring Unit and other
information that controls how an Item
functions.
General Consideration
The following are some considerations to keep in mind when
using a particular chart of Items, adapting one, or building one
from scratch:
Item codes are defined division wise. If an item is appearing for
multiple divisions, it is defined in each division distinctively
because the nature of utilization differs from one division to other.
Item Category, Item class, Item group should be elected carefully
to obtain the desire reports n information perfectly, separate
Master Forms have been provided to maintain these.
Level of Details
Another consideration is the level of detail that should be
contained in the chart of Items. A very general chart of Item, with
only broad categories and Grouping may facilitate bookkeeping
but may not provide you with much in terms of material analysis
capability. And, on the other hand, a very complex chart of items
may make bookkeeping cumbersome and difficult.
“In general, the chart of item should be broken down into the level
of detail you are capable of, and interested in managing, provided
it meets the necessary requirements in terms of materials and
financial.”
Coding
Generally, Codes are assigned to identify the various Items. The
numbering scheme may be pre-established or you may need to set it
up yourself. Number ranges can be used to define major Item
categories and sub-categories, with individual numbers assigned to
each Item within a given range. Here it is important to have a logical
numbering sequence that is sufficiently broad, and flexible enough to
allow you to add Items as necessary, to meet the ongoing needs of
your business as it evolves and grows.
