COMMUNICATION
y DEFINATION:

The exchange of thoughts, messages, or the like, as by speech, signal or writing. To express oneself in such a way that one is readily and clearly understood. Communication is shared feeling/shared understanding. If you are honestly achieve that goal, you are communicating. Every thing we do is the communication.

COMMUNICATION ADVANTAGE
y Following are the advantages of communication.
     

Increase productivity. Reduce stress Better understand what other are saying. Better understand how to get your message across. Enhance relationship Save time and money

METHODS OF COMMUNICATION
y Information and ideas can be communicated by

three main methods. 1. WRITTEN:

Verbal, such as letters, reports, specifications, and published articles. Vocal, face to face discussions, presentations and meeting. Often used in conjunction with one of the above, such as body language in face-to-face discussions or meeting, slides used in presentations.

y We are only going to discus the one way of

communication which is presentation.


y The ability to successfully present may be one

of the most important tools an individual can have today.


y In industry, presentation is as important as

reports and in some organization major report only consist of presentation slides.

ROLE OF MANAGER
y It is very important for the manager that, it

should become an EFFECTIVE PRESENTER.


y Because when making a presentation, the

manager is on display, being judge, consciously and unconsciously, by the performance put on while standing up in front of audience.

STAGES OF PRESENTATION
y There are three stages of presentation. 1. Preparation. 2. Delivery. 3. Follow-up.

The follow-up stage only ensure that the aim of the presentation are achieved and could not be discussed further. y However, the style and procedure for follow-up will vary depending upon what is to be achieved.

PREPERATION
y The 1st stage in presentation is the preparation. y How you prepare the presentation and presents it y y y y

to the audience? The slides should not be complicated and brief. It should be to the point. One idea per slide should be the rule. Start from the main idea and end to the briefing. Aim to build the understanding with the audience, so that they are thinking the way you wish to them.

STEPS FOR PREPARATION


y Several steps need to be followed.

Define clearly the aim of the presentation.


 Example:

Getting a customer to buy a new project.

The characteristics of the expected audience

should be carefully analyzed.


 Common goal

to which the presentation can be targeted.

STEPS FOR PREPARATION


 The subject matter should be thoroughly studied.
 Slides should

be limited, audience questioning may cover wider area.

 Put down in bullet form.


 Too

many facts may confuse, concentrate on the key.

 The slides can now be prepared.


 It

has been shown that people only remember 10% of what they hear, but they remember 50% of what they see.

DELIVERY
y The 2nd stage is to deliver the presentation. y It is the time when speaker stand up in front of

audience.
y Now, they are on their own and they are in

command.

STEPS FOR DELIVERY


y Through preparation will give you confidence, but

several factors still need to be kept in mind.


 Go slowly.


Better to risk offending the audience by being too slow than to lose them by going too fast.

 Remember that the audience is more important than

the presentation.


Maximum understanding, absorption and retention.

 Develop empathy with audience.


Presenting in a way that they understand and relate to, so that they can make their own ideas.

 The speaker had an advantage over the audience.




Anticipate resistance and deal it with during the presentation, weather than waiting for them to come up as a question.

 Remember that the aim of the presentation is to sell

an idea to the audience.

STEPS FOR DELIVERY


 The whole posture of the presenter is important.


Stand and do not sit during the presentation and avoid wandering about as it can be distracting.

 Dont look at the screen it will be consider as a

prompt.


Focus on the audience. Eye contact is important if their attention is to be held.

 The last point of the presentation is usually the one

best remembered by the audience.
