INTRODUCTION
The safety of our guests and staff is an integral part of the hospitality industry. This manual has
been developed for The sun island resort & spa' staff to establish an effective Fire Protection
Preventative Maintenance Programme.

The Term "Preventative" is to anticipate or to be in readiness for an occasion, or to act ahead of


time.

The Fire Protection Preventative Maintenance Programme, is a regularly scheduled maintenance


and testing programme carried out by staff and contractors.

It has been proven that frequent, regular Fire Protection Preventative Maintenance will provide
the maximum levels of preparedness for fire equipment should its use become necessary.

Fire Protection Preventative Maintenance is considered mandatory in all Starwood Hotels.

This manual should be used in conjunction with the following manuals and guidelines;
• Fire Safety Standards
• Guidelines for Fire Detection, Alarm & Emergency Communication Systems
(Appendix E of the Sheraton Fire Safety Standards)
• Fire Suppression Systems Handbook (appendix F)
• Environmental Health Safety & Security Loss control manual
• The sun Fire Brigade Training Guide

It is the responsibility of each Hotel Engineer to ensure that the Hotel has a copy of the above
manuals.

This maintenance programme has been written to coincide with The sun standards. The Hotel
should possess and conform to any and all Standards required to be completed by the
Authorities in which their Hotel is located, where they are more stringent than these
requirements. As a minimum, all Hotels will comply with the minimum maintenance requirements
as detailed in this manual.

It is the responsibility of each Hotel Engineer to review their local codes, and to add to this
manual, any requirements that are more stringent than those set out. In addition, please refer to
the NFPA guidelines for more detailed instructions on maintenance function requirements.
This can be found in Chapter 7 – Inspection, Testing and Maintenance of the NFPA Standards.

REQUIREMENT
The following programme is the minimum requirement required by The sun resort. If in the
future local authorities require more frequent maintenance, then the schedules, checklists and
check sheets provided in this manual should be amended and updated accordingly to comply by
the Hotel Engineer.

At the conclusion of the year the completed Master Checklist must be signed by the Chief
Engineer and General Manager and filed for future reference.

DEFINITIONS
1. Master Checklist

This is the master overview list of all Fire Protection Preventative Maintenance carried out
during the year. This is to be signed by the Chief Engineer and General Manager at the
conclusion of each year and filed for 7 years. Items such as emergency generator etc, that are not
relevant to an individual property, should be marked not applicable, N/A.

2. Check sheets

This is the individual task check sheet completed by Engineering personnel or other department
personnel during the checking of specific Fire Protection Equipment. If you already use a
version you are satisfied with, and meets the requirements of this procedure, continue to use
them, otherwise use the check sheets provided If there is insufficient space to list all equipment
on sheets provided continue on a separate sheet.

3. Schedule

This is the list of Equipment, Tasks, Standards, Frequency, Procedures and Person or Body
responsible for the completion of the Task.

4. Pre-prepared Memo

This is the memo that must accompany the check sheets from the Department Head of the
Department carrying out the Check sheet.

5. Sample Maintenance Matrix

This is an example matrix showing intervals of maintenance required. Use this as a guide.
