Scope of work
A project manager should perform the 1-He will have reviewed the contract. 2-He will have memorized the project assignment 3given him by the company executive. 3-He will have clarified the responsibilities between customer and supplier. 4-He will have identified any constraints and work that is specifically excluded from the scope. 5-He will have had discussions with the sponsor, the customer and other major stakeholders. 6-He will have had meetings within the company about the project.

When the organization develops standards which may be used openly, it is common to have formal rules published regarding the process. This may include: What is the formal step-by-step process How are bias and commercial interests handled What type of consensus is required etc.

Structure The first thing to consider is if the structure of jobs in


the company is right for today's business and for your plans for tomorrow.

Authority Second we need to examine whether each job position


in the company is matched by a level of authority for the person in that job to carry out the tasks contained within the job. In addition, the person filling the job needs to clearly know whom he or she is to report to (for the overall job and for each task in the job).

Distribution of Tasks Third, one needs to examine whether the


job tasks that are assigned to the individual are the right tasks for that position.

Right People, Training Fourth, once job positions in the


company are properly allocated, and job tasks for individual jobs are maximized for efficiency, individual job positions need to be filled by the right people, and each person trained to the hilt for that job.

Activities An individual person carrying out a task is an act,


which is perhaps the minutest subunit that exists in a company. Individual acts are linked to one another in chains of acts called activities. Like jobs, activities can be continuously improved throughout the organization as well. Each improvement to an activity releases fresh energy and makes the organization more effective.

Systems The ultimate building block of organization is systems.


Systems are simply mechanisms that automate activities, or

interlinking activities. Systems possess the power to carry out activities much more quickly, precisely and regularly than individuals can perform them on their own. The productivity of an organization is determined by the extent to which routine and recurring physical activities are systematized and turned into standard operating procedures.

Coordinating-&-Integration the ultimate truth of organization


is the ability of the three building blocks to work together. The real power of organization arises from its capacity for coordination and integration of people, activities, and systems. When departments and divisions move from isolation to coordination and integration, the real power of organization is released. Coordination and integration are the advanced tools of organization.

The objective of the organization are the most important aspect for all the top level management and before starting any small or large project these must be keep in mind so we can compare our work with the objective to have some conclusion to verify our work and to decide about the work efficiency and effectiveness .

The end result of a project must fit the purpose for which it was intended. At one time, quality was seen as the responsibility of

the quality control department. In more recent years the concept of total quality management has come to the fore, with the responsibility for quality shared by all staff from top management downwards.

Budget
The project must be completed without exceeding the authorized expenditure. Financial sources are not always inexhaustible and a project might be abandoned altogether if funds run out before completion. There are many projects where there is no direct profit motive, however it is still important to pay proper attention to the cost budgets, and financial management remains essential.

Time to Completion
Actual progress has to match or beat planned progress. All significant stages of the project must take place no later than their specified dates, to result in total completion on or before the planned finish date. The timescale objective is extremely important because late completion of a project is not very likely to please the project purchaser or the sponsor.

Conclusion
Project management has developed over the years, and involves various activities before a project is completed. Objectives should be specific so they are measurable, and although there may be one major project objective, there may be minor objectives throughout the project.

IT Infrastructures of the Organization


Building a world-class infrastructure ALWAYS starts with the organization structure. Below are recommended organization structures designed for small, medium, and large infrastructure development and support organizations. No one structure is correct; however, it is crucial that key functions be structured to address the people and process issues. These structures are designed to address the people and process issues first with technology being secondary. Im not saying technology isnt important but lets be blunt here based on the 100 plus assessments Ive performed infrastruct ures are in horrible shape because of the lack of attention to these non-technology related issues. For Infrastructure organizations to become successful and cost effective service providers the focus needs to be Organization, People, Process, and Technology in that order. As I designed these organization structures I included first-, second-, and third-level support roles for each of the areas. I highlight this in the organization charts below because its one of the most critical functions that was abandoned as IT organizations transitioned to client/server. It happens to be one of the biggest reasons RAS doesnt exist in 95% of the IT shops I have visited Organization structure #1 below is designed for IT infrastructure development and support organizations with fewer than 50 employees. The reasons I designed the structure in this manner are: Production Control is at the enterprise level for process design, ownership, and accountability. In every small (.com or emerging ecommerce) company I visited priority is always technology, technology, technology. I included a Production Control function to focus on processes and production QA. Although this is a small shop its never to early to start focusing on processes. Im not trying to change that priority after all its what IT is all about-providing Information Technology. Were asking you to think about process. Once the technology is implemented without the processes high availability for that technology is unrealistic.

Mission critical (Data Center) functions are separated from nonmission critical functions (Desktop, Help Desk).

Level 1, 2, and 3, technical staff for the mission critical production environment is grouped under the same organization to effectively

breed future technical resources. All IT organizations have a shortage of technical resources but more so in smaller IT shops.
