Bethesda PTO Meeting Minutes: January 21, 2014

Principal Report: Melissa Yow Furniture for the library came in over budget. However monies collected for Randy Kunkels retirement gift will be used to offset the additional cost. Treasurer Report: Dan Demo Teachers have not been submitting receipts for their per student allocation funds. Mrs. Yow will send a reminder to teachers to use this PTO money. Reimbursement for purchases made associated to PTO funded events was discussed. Each individual purchasing items for an event must submit a reimbursement form with receipts. The PTO Treasurer will reimburse accordingly. To be eligible for reimbursement, individuals must submit receipts before the end of the school year. It is illegal to submit receipts, receive reimbursement and then re-sell the remaining product. Leftover food must be given away. Any remaining product may be used for a future Bethesda PTO sponsored event. Molly Burkes reimbursement for the 2013 Dance and the 2013 Ice Cream Social was discussed. o Molly will be able to submit receipts for last school years events. o If she can produce a business invoice or receipts for the dance, the PTO will only reimburse Molly for food items used at the dance and not those re-sold at the Jr Northstars football game. o If she cannot product receipts for the dance the PTO has approved reimbursement for $196.72 for the ice cream social. Event committee members will be required to attend a Policies and procedures meeting at the beginning of every school year to review reimbursement procedures, etc. A PTO account will be set up at the Meadowbrook Sentry. Approved committee members will be able to use this account to purchase items for PTO sponsored events.

Yearbook: Sally Bomberg The cost of the yearbook has increased to $13.50/book. In order to meet budget 4 pages will be cut from the final copy, and teachers will not receive a free book. Sally has asked that next years budget be increased from $750 to $900. This request has been approved by the PTO. Apple TV: Sally Bomberg To increase use of the students Ipad pictures and pictures taken at events, on field trips, etc., Sally has asked the PTO to support the purchase of an Apple TV for approximately $125. Mrs. Yow has agreed to use her technology budget purchase the TV. The Waukesha School District will support this technology including installation. Pictures will be uploaded to a Flicker account and approved by an adult Ms. Rauchle and Mrs. Oswald will be the administrators of this school-wide project Morning announcements will be uploaded to the Apple TV.

Family Food Nights: Sally Bomberg for Carie Zuelsdorf Although the Moms Night Out at Sprizzos only raised $45, the PTO has approved another event because it fosters relationship building among Bethesda parents and may gain momentum and popularity as more events are held. A Culvers Night will be scheduled in March and will have a St. Patricks Day theme. In promotional materials we will promote specific PTO fundraising efforts (technology, field trips, furniture, playground equipment, etc.) to help encourage families to attend. It has been suggested that Father/Daughter and Mother/Son events be planned. School Dance: Sally Bomberg The dance theme has been changed to Mardi Gras. Mr. Jose Sanchez has volunteered to be the DJ for the dance. He is a father of a Bethesda Student. The rental of a photo booth for the dance was approved. Recruitment of volunteers will be via newsletter and take home flier o Food volunteers should be asked to arrive at school by 4pm.

Sallys dance committee will include: Amy Kukla- Food and Donations; Carrie Ziebell- Donations and Photo Booth; Molly Burke- Food Playground Committee: Carrie Ziebell The playground fundraiser will be a Bethesda Night at the March 30th Admirals game. Tickets will be sold via the school newsletter via and take home flier. Raffle tickets will be sold for a chance to ride the Zamboni and the Admirals ship during the game. A;; proceeds will benefit the playground. New Fundraiser: Sally Bomberg Mrs. Yow will ask teachers where they shop for classroom supplies. When possible Scrip gift cards will be used to fund per student allocations. Scrip cards may also be used when purchasing items for school events. Family Dinner Night: The Spaghetti dinner will be held March 24th from 5-7pm. 5th Grade Reception: Amy Kukla The 5th grade reception will be a celebration of the 5th graders accomplishments at Bethesda. The planning committee of 4th grade parents has been formed. $1400 has been allocated for the waterpark and celebration.

Review and Update PTO By Laws: Amy Kukla Copies of the by-laws were given to each board member. By laws will be reviewed and discussed at the February meeting. 2014-2015 PTO Board Members: Sally Bomberg 2014-2015 board members will include: Kristin Yoder as Co-president of the PTO; Amy Kukla as Co-president of the PTO; and Carrie Ziebell as the Vice-President of the PTO. An article will be put in the newsletter requesting nominations for the positions of Treasurer and Secretary. Elections will take place at the March 2014 PTO meeting.
