Introduction v
Introduction
One of the most important part of any fraternity especially Beta Upsilon Chi is the position of
Greek Chair. Greek Chair is responsible for organizing Date Parties and Mixers, while also
keeping in close contact with all sororities. Having events with other sororities is the life blood
of any fraternity and that is why it is critical that you take this position very seriously. It is very
important to stay organized and well prepared. This manual should give you an outlook of what
it looks like to effectively run this position. This manual will walk you through steps and
examples to go about setting up date parties and mixers. During your term always remember you
are representing Beta Upsilon Chi in everything you do.

Color Your Date

Color Your Date is a mixer that Beta Upsilon Chi does every spring semester. Every spring we
choose to do the mixer with a different sorority and only have our guys choose who they will be
taking from that sorority. This is a great way to get know

Setting up the Event

These are the essentials to getting this event going:
You must get in contact of the sororities President you want to do the event with at the
begging of the semester (within the first month). If you wait any longer the harder it is to
get the date you want and possibly the sorority already having their scheduled all
booked.
As soon as you settle on a date you must put the event on the official calendar and let the
brothers know at the next chapter meeting when the event will take place


Things needed for the event

These are the key things needed for the event:
Washable Paint: Obviously you are going to need paint and lots of it. You are going to
want to get a mix of bright colors.
Paint Suits: You will need to buy paints suits for the people who are not willing to get
there close dirty. You dont need to buy that many, generally go unused.
Paint Goggles: These are very important to have to keep paint from getting in peoples
eyes. They are not required to wear during the event but they need to be available for
people to use.
Snack & Drinks: You will need to provide light snacks and water at this event.
The best way to obtain these things is to use the BYX Amazon Prime account. On
Amazon you will be able to find the best deals as well as to get free shipping on items.

Bible Study

Bible Studies are mixers that we do with as many sororities as we can all throughout the
semester. Bible studies are one of the last things we plan because they are doing to week and that
are not essential. We wait till we plan are major events till we start trying to get these going.

Starting up the Event

These are the essentials to getting this event going:
You need to get in contact with the sororities Chaplin.
Whatever date you want to do one on you must get in contact will at least 3 weeks
advance notice.
You will need to set up a place, some examples would be: Our fraternity house, their
sorority house, coffee shop, or a Church.
If you do it at one of the houses you will have to provide snack and drinks. You can ask
their Chaplin if they would be willing to split the cost

Things needed for the Event

These are the key things needed for the event:
Place: Once you find a place to do the mixer the rest falls into place.
o If you choose to do it at our fraternity house you will need to provide chairs
o If you choose to do it at their sorority house you will need to have guys be able to
go help the ladies set before hand

o If you choose to do it somewhere else you need to give the ladies the option to be
picked by some of the brothers.
Food: Depending on the place of the mixer depends on the subject of food
o If you choose to do it at our fraternity house or theirs you have a couple of
options. You can either buy snack food such as chips and cookies, or you can
choose to cater in food
o If you choose to cater in food most places require to call an order in at least 1
week advance
o If you choose to have the mixer at some sort of restaurant you need to highly
encourage the guys to pay for the girls.

Backyard Olympics

Backyard Olympics is a mixer we do every fall semester. This event is held in the backyard of
our fraternity house and we mix with Kappa Delta and Delta Gamma. We have all sorts of games
such as volleyball, dizzy bat races and much more.

Setting up for the event

These are the essentials to getting this event going:
This event always falls on the 1
st
weekend back from school. This event is also used for
any potentials can come out to this event
You will want to get into contact with KD and DG Greek chair about three weeks in
advance.

Things needed for the Event

These are the key things needed for the event:
Food: In this event we will grill ribs and steaks, Kappa Delta and Delta Gamma will
provide other snacks and drinks.
Equipment: We have most of the stuff that we have used from the past for all the games
that we play. You wont need to buy any new equipment unless you want to add a new
game or the equipment needs to be replaced. Here is a list of equipment that we have:
o Volleyball Net
o Balls: Volleyball, football, baseball, basketball
o Baseball Bat
o Spoons and Eggs for egg race
o Potato Sacks

The cost for everything will be split three ways, below is a table of what the budget looked like
for our portion of the cost.

Date Parties

Date Parties
Date Parties are a huge part of every fraternity, a huge portion of the semester budget is spent on
these. These are a little bit easier to plan because you dont need to coordinate with other
sororities.
Ranger Game

This is an event that we do every spring semester while the weather is still nice out. This event is
one of the easier ones to set up.

Setting up the Event

These are the essentials to getting this event going:
You need to select a couple of options for the dates so you can give the chapter to vote on
Once the chapter has decided on a date there is no changing the date
You need to get together and talk to the Chair position who is charge of making shirt
designs
You need to give the members a two week deadline to get their shirt size
You need to figure out the carpool situation, who will be driving and who can take who.
The members are in charge of getting there date to the game.

Budget for this event

The best way to get tickets for a large group and at the cheapest is to do one of the Rangers
group deals. The seats are up in the upper reserved and the come with a voucher for food. Try to
get the upper reserved seats in the middle of the stadium for the best view at the best price. This
will require you to buy them as soon as they will be available. We will give each member who
drives $5 in gas money.

Dave and Busters

This is an example of what you could do as a date party for the fall semester. This is how I went
about to make it a successful date party

Setting up for the Event

These are the essentials to getting this event going:
You need to get a hold of the company with at least a month in advance notice.
Most places will ask that you put a deposit down.
The room needs to be big enough to hold at least 80 people.
The room needs to have a projector and speakers.
You will need to get carpools in place. Every member is in charge of getting their date to
the location.
Dave & Busters had a package deal that came with a VIP conference room, buffet style
food, and unlimited game cards.

Budget for this Event

The budget for this event depends on the place and how many people go. The members that drive
to the event will be reimbursed $5 for gas.

Chair Rules
It is of the up most importance that while holding a chair position you must act at a professional
level. When you accept the position you are no longer just a member of the fraternity but a
member with power. With power comes responsibility and to have a Chair position means you
must act differently.

Required Duties
Must get in contact with all the sororities presidents at the begging of the semester, just to
let them know who you are.
You need to obtain all the sororities calendar of events.
You must wear fraternity letters every time you go to a sorority event.
You must put together at least two Bible Study mixer per semester.
You must put together at least 1 Date Party per semester.
Have to have a GPA of 3.0 or higher.

The Do Nots
You cannot drink while holding a chair position, if caught drinking while still in term you
will immediately be kicked out of the position.
You are not allowed to use the fraternity bank account for personal use.
You are not allowed to take bribes from non-chair members in order for them to get
something they want.
Do not abuse your power; BYX does not take this lightly.
Enjoy your time spent in a chair position, it will be some of the best times you will have in this
fraternity.
