Minutes from the June 8, 2014

Shadowbrook HOA Meeting


(Held at the home of Pete Hill, Secretary)

1. The meeting was called to order at approximately 8 PM by Joe. He welcomed everyone and
thanked the neighbors for making Shadowbrook a positive and supportive neighborhood. Loran
also shared similar positive sentiments.

2. Mailbox: Discussed how to collect individual payments for the mailboxes and decided to write
checks to the HOA. We had 20 votes through the email ballot and all selected option A. The
discounted price is $430.88 for each installed mailbox (if 25 homeowners agree to purchase). If
a homeowner does not purchase now, the current retail price is $594. The HOA architectural
review committee designated the new mailbox as our official Shadowbrook mailbox and if/when
a homeowner needs to replace their mailbox, they must purchase the new model. The new
mailboxes will have a warranty, but Loran is checking the length.
Homeowners should write checks to Shadowbrook HOA and send/give to Chris Watford
as soon as possible.

3. Minutes from last meeting: The budget was reviewed and approved at the last meeting, but
unfortunately and accidently left off the minutes. Jeannie Paxten recommended modifying the
minutes from the last meeting and then approve. Board agreed to send out a budget to
members for their review. Sandra Kearney reminded the board that the budget needs to be sent
out to members 21 days prior to the meeting. Board apologized for the oversight and agreed to
be more diligent about that in the future. Some debate followed as to how the board was
following the bylaws and covenants. The board reassured the HOA that they were doing their
best, but that the covenants and bylaws can be confusing and up to interpretation in some
cases. Attorney and Shadowbrook resident, Nanette Wesley, stated that not all covenants need
to be enforced, that the group can decide. Keath Paxten added that he has lived in this
neighborhood for 30 years and has been happy with the way the HOA has been run.

4. Budget. Chris Watford discussed the budget and stated that the account is in balance. There are
27 paying households out of 33. We collect over $30,000 each year. After expenses, the HOA
has approximately $15,000 in surplus. We have accumulated $30,000 in reserve. The front
entrance sign was approved at the last meeting and work will be starting in the next week or
two. A buffer is kept in reserve for unexpected expenses such as tree removal. Other projects
(such as repaving parking lot, new roof on pool house, etc) need to be prioritized. Board will list
major projects that have been prioritized on the annual budget that will be sent out prior to
next HOA meeting.

5. Election. Christina Doelling and Fred Kearney were up for nomination to fill the 5
th
open
position on the Board. Ballots were distributed and collected at the end of the meeting.
Christina Doelling was elected as the 5
th
Board member.

6. Yard Sale. Judy Crothers would like to organize a neighborhood yard sale. Please contact her if
interested in participating. Joe requested that all neighbors work together for yard sales to
minimize traffic and keep the neighborhood safe.

7. Susan Ajamian shared sad news that Tom Sorrenson was not doing well and that we should all
make an effort to be there for Bobbi Sorrenson, in any way possible even if it is just a pat on the
back. Susan also suggested making a meal or visiting with them. Fred Kearney agreed to add a
meal schedule to the Shadowbrook website that he created. Sadly, Tom passed away on
Wednesday, June 11
th
. Meals and extra support would still be appreciated.

8. Meeting adjourned at 9pm.
