The said member lacks knowledge in this kind of area, so the said member
should be replaced with a person who is capable of doing such task in that
area or the said member should be trained or educated with the prior
knowledge in that certain area or project.
2. Project communications often breakdowns and projects are likely to be failed
so the use different and proper types of approaches when it comes to
communicating different levels of hierarchy in the organization is
recommended. Proper understanding and knowledge of the relayed message
is also needed in order to avoid communication breakdown.
3. Project team members should provide a complete data and information of
what is needed in the project. Project reports should be followed up or passed
at least every week. Stakeholders and team members should be able to
provide proper communication channel in such an efficient and reliable way.
Frequent meetings and interaction between team members, contractors and
sub-contractors should be held in order for all the members of the said
project to have prior knowledge of the progress and what should be
completed.
4. Timing of distribution of information must be ahead of time. The kind of
information that is distributed must be correct and direct to the point to avoid
misunderstanding and miscommunication. To avoid wasting a large amount of
time and resources for unnecessary meetings, meetings should be conducted
before and after every task and regular meetings should only discuss
important matters. Meetings must not consume a lot of time.
5. To achieve the certain target or task, verbal communication should be
followed up by a non-verbal communication or vice-versa.
6. Rule of ethics should be implemented strictly and use of such manners and
languages must have equivalent sanctions in order to minimize conflict and
disagreement.
