Work Log

Week of : June 5
Responsibilities: My first day at the University of the Virgin Islands, I was given the
task to create a 2015 Donor List, a congratulatory video for the 2015 graduating class,
and another of the same video geared towards international students, all for
publication.
Comments: While the task sounds easy, it was a challenge for me because I had never
really had in-depth experience with publisher, or how to make an actual video. All
projects needed to be extremely detailed (I cannot stress enough how detailed the videos
were) but I had guidance from Ms. Smith along the way.

Week of : June 12
Responsibilities: This week I focused on developing the international video. I also was
required to make a flyer for an event on another island hosted by the president of the
university, and attend an event to promote a challenge to become the first HBCU to
maintain an alumni giving rate of over 50 percent for three consecutive years;
Additionally, I created a Relay for Life Flyer
Comments: During this week, I was left in the office for the first time because my
supervisor and Ms. Schjang, Alumni Affairs Coordinator, were off on our sister islands
promoting an alumni challenge. The videos took a great deal of time, but I surprised
myself by creating a professional flyer in a short amount of time without much help. I
also enjoyed my time away from office when I was brought along to alumni mixers in
two public schools, during which the alumni had the opportunity to give as well as
receive an autographed photo from the president. This week, I was asked by Ms. Smith
whether I wanted to be more active in the office, and I said yes, so I was given more
written and verbal communication responsibilities as well.

Week of : June 19
Responsibilities: I was required to write a letter to the universitys nursing alumni,
requesting donations for the alumni nursing scholarship. It contained all factors of a
press release but was in letter format. Additionally, I was required to create a
thermometer in Microsoft Publisher to track alumni donations, and write another press
release, in the form of a letter, as a final appeal for the alumni challenge.

Comments: I began to be more familiar with Publisher, as well as understanding my


writing style. I felt prepared to write the letters based on my classes, and made sure that
I researched and gathered as much pertinent information as I could to complete the
letters. Creating the thermometer seemed a bit confusing, but I look on google, stared at
a few thermometers and figured out how they made it. During the week, I was also
included in a closing-out meeting for the presidents event which the office coordinated.

Week of : June 26
Responsibilities: Ms. Smith determined that my final appeal letter should be turned in
a promotional video, and I was given the task to create the video. I also had to write a
thank you letter to those who attended the presidents event and donated to the
university, and another thank you letter to a company who donated to the University. I
made a flyer for an event which took place on a weekend, and attended the event to
assist with solicitation. I made another flyer for a calling center that the office is
founding on campus, and revamped the calling center training packet and script.
Additionally, I was instructed to begin writing a press release about an MOU that the
university signed. Finally, I wrote an apology letter to students for a minor shortfall on
the universitys part.
Comments: Ms. Smith determined that my final appeal letter should be turned in a
promotional video, and I was given the task. I have no idea how to make a video with
different shots, various people, matching sound and visualsand I had no idea how to
produce it using any kind of software. Therefore I reached out to others who could help
me, especially someone on our sister islands to take a few shots there, but to no avail.
The video therefore became my sole project, and Ms. Smith wanted it to be extremely
detailed. The responsibilities included turning the letter into a script, brainstorming
locations, ideas, and people to be included in the video, etc. This was a very busy week,
and I really got comfortable making flyers, constantly contacting people, and write press
releases.

Week of : July 3
Responsibilities: Responsibilities this week included contacting various offices to
continue to update and perfect the call center training packet and script. I was also
required to attain further information about the MOU for the press release and contact
various people and companies in order to be able to promote our alumni challenge at
the public schools professional days during the summer. I also called all private schools
in the Virgin Islands to receive a list of their UVI alumni, and contacted a company

through which UVI could accept donations via text message. Lastly, I was given the task
to manage social media.
Comments: This week seemed to be focused on communication. I spoke with many
people to organize various projects for Ms. Smith. It was a bit busy but I learned a lot
about tactics to achieve an organizations goal. I also enjoyed speaking with people
throughout the territory for business purposes. Managing social media sites and using
them to promote the alumni challenge, was my idea, and therefore, I was given the task
to see the idea through. I also suggested using various venues such as newspapers and
radio shows to promote the challenge, and was told to begin drafting a press release for
the newspaper.

Week of : July 10
Responsibilities: I was given the task to make a flyer for audiences to join UVI at the
British Virgin Islands Festival Food Fair. I was also included in the meeting to close out
an event that was held the week prior. I began working on the video and taking shots of
the St. Croix Campus. I also attended another event during the weekend to promote the
alumni challenge. I completed the call center training packet and script, as well as
constructing the press releases geared towards newspapers and a flyer for another
promotional event. Additionally, I assisted in closing out the event held during the July
4th weekend, which included working with money and making sure that it was sent to
the University cashier.
Comments: By this week, and perhaps the week prior, I had gotten used to the daily
activities and didnt really need much help with any of my responsibilities. My
judgement was trusted and I was given creative space to complete my projects. I also
missed a day of work to participate in a financial workshop with the program that
provided me with my internship and placement at UVI.

Week of : July 17
Responsibilities: Much of this week was spent doing administrative work. I basically
became second in command while another of Ms. Smiths workers were away. I spent
much time conducting emails, making phone calls, and completing and filing multiple
reports. I also wrote a company analysis which took up a good portion of my time.
Comments: This week I became privy to the details of efficiently working in an office. I
spent a great deal with my supervisor learning about reports, how to handle frustrating

phone calls, effectively holding conference calls and meetings, and being sure to follow
up with every single request that came out the office.

Week of : July 24
Responsibilities: This weeks responsibilities mostly consisted of creating my online
portfolio and planning an extremely complex and detailed itinerary for a promotional
tour. I also conducted an interview with a UVI and Howard University alumni in order
to then write a profile on her. I was also told to create a flyer for an upcoming event.
Comments: This was probably the most stressful week of my internship. The itinerary
was difficult to form and many unknown obstacles surfaced. The e-portfolio has taken a
great amount of work to be completed, and I had to make sure that my interview was
conducted well and the profile well-written. Many of our tempers required a bit more
energy to contain, especially while trying to reserve 14 different flights, as well as hotels
and rental cars.
