Workplace Organization and 5 S

The 5-S practice is a well-recognized methodology used by the


Japanese to improve the work environment.

Seiri (Sort)- to organize all necessary items (tools, parts, books, instructions, etc.) and to remove any
unneeded ones.
Seiton (Systematize or Simplify)- to neatly arrange and identify items for ease of use and orderliness.
Seison (Saitize or Shine) - to keep items clean and in a constant state of readiness.
Seiketsu (Standardize) - to conduct Sort, Simplify and Shine at frequent, daily intervals to maintain a
workplace in perfect condition.
Shitsuke (Self-discipline or Sustain) - to control or form the habit and self-discipline of always following
the first four S's

A well-recognized methodology to improve work environment, the


concept is fast catching up in many western countries. It has now
evolved into a formal technique, which the Japanese believe is useful
not just for improving the physical environment, but also for improving
Total Quality Management (TQM) processes as well.
Many everyday problems could be solved through adoption of this
practice. It is also seen that many companies have included a few
aspects of the 5-S in their routine processes without being aware of
its existence as a formal technique. In fact, the 5-S can be applied
to activities in all walks of life.
Most of us may be in the workplace or in the house must have come
a situation, wherein the following questions were asked:
There's not enough space.The equipment is broken or I can't
find the manualsI spend most of my time at the store searching
for some items.The place is unsafe - someone is going to get
hurt...The place is a mess!
What do you do? Where do you start?
This scenario must have happened in your company some time or
the other and to overcome such situations there is a very simple but
effective method to improve workplace safety, reduce waste, simplify
work processes, improve equipment maintenance, reduce lead time
and cost, and ensure product quality. It's the basis for any
improvement activity, one universal method the Japanese invented to
prevent mishaps from occurring because of untidiness and lack of
organization and it's called 5-S
