7A.PROOFREADING CHECKLIST

 Overall the book/marketing piece should be accurate, consistent, presentable and easy for the customer to shop
and purchase products/services.

COVERS
 Should fall in line with Family of Catalogs concept
o Contract split, screens/tiles, etc.
 Must have:
o Advantage logo/ LOB logo
o Visible SKU if going to FCs. (Staples No. XXXXXX)
 If no SKU, confirm job#
o Call to Action
o Validate if net priced or promo priced
 Imagery
o Are products shown orderable in book? Do they represent the assortment?
o Are there any vendor contractual obligations that need to be met?
 Make sure previous edits were made

SPINE
 Must have:
o Advantage logo/ LOB logo
o Catalog Title
o Visible SKU if going to FCs. (Staples No. XXXXXX)
 Staples No. should be at least 1-2 cms from bottom of spine (so that it doesn’t get cut off during the bindery)
 Make sure previous edits were made

TOC, SYMBOLS, TERMS AND CONDITIONS


 Make sure all information is accurate: page references, images, etc.
o Confirm phone numbers, email addresses etc are correct by testing them
o Review any screen shots to make sure they are still accurate/the most updated
o In page layout section (pg.2) where the index is referenced, be sure that you have those items in your catalog
and that they are labeled properly in your index
 Make sure all symbols included are in the catalog itself and that all symbols used in the catalog are included in the
TOC, T&Cs
 Check that footer on the T&Cs page says “see details above”, not “see page 3” etc. (if applicable)
 Terms and Conditions to be approved be legal (Bill Mendelsohn)
 Make sure previous edits were made

TEXT PAGES
 Overall:
o Should not be too crowded- are there too many images/product collections on a page?
o Should not be to sparse
 Text Page Template: Confirm correct
 Headers/Subheads : Accurate, should represent assortment on page (typically book flows in alpha order)
 Footers: Correct and consistent
 Spelling
o Although the catalogs go through proofreading – spelling mistakes are not completely uncommon
o Pay special attention to edits/additions to double check the spelling
 Copy/Bullets
o Bullets should be clear and concise

 What is CPG?
 Don’t need fluff
o ‘Why Buys’ need to be true ‘why buys’- do they help the customer shop
o Look for ‘widows’ or any strange word wrapping/layout
o Look for Marketing messaging opportunities:

o Value Packs
 Should be in blue, bold font (associated asterisks should be black)
 Typically go first in list priced books and second in net priced books
 Must be a larger pack size of the exact item (ie size, color must be the same)
o Staples No. References: Value Packs
 Always last copy point
 No bullet should be used
 Bold, italic (ie Staples No. 328394 – Contains 35% recycled content)

 Imagery
o Good resolution
o Should not show dated information
o Letter Keys: If more than one image, make sure it is keyed
 Confirm keys are correct
 Should be the same color as the header on the page
 Should be placed consistently and match up to item on page

 Icons (Should be from approved list – no vendor icons allowed)


o Do bullets support icon and vice versa
o Make sure Jake Swenson approves enviro icons
o Recycled Icons
 Used directly after title of collection
 Last bullet should tell the % of recycled content
o Value Pack icon: below vendor logo in top, right corner

 Staples Brand Items


o All SBG items should be in red, bold font with the Staples logo to the far left (no logo to the far right)

 Pricing
o Does everything have a price? Are the prices correct?
o Price proof 1: any prices not listed should be highlighted in pink font – circle these to remember to double
check in price proof 2

 Make sure previous edits were made on subsequent proof rounds

Ads
 Only Staples Nos. may be referenced (NO Mfr. Nos.!)
 NO pricing or label products
 NO websites references (including StaplesLink.com®)
 All SKUs in Ad must be orderable in catalog
 If Ads are pick ups from other catalogs/pieces – do they include page #s that need to be updated? Are the products
included in the catalog? (May or may not need to be)
