 Computer System Configuration
In this firm there is two computers installed for making
customer’s database. It kept all the information regarding
payment’s receipts, invoices, bills, accounting updates etc.

The software used in this firm is Tally9, MS Visual Basic and

MS Access

Important Features:

 View and print list of all available shortcuts keys.

 Accounting updates and entries are very easy.

 Set menus to display all times all the time. You can also
change toolbars to appears as they did in their earlier
versions.
  We can create a toolbar that contains only the buttons
and menus you use most often for the current
worksheet or all the worksheets.

Introduction about the mechanism

of firm
This firm allow E-government services such
as to deposit bills of water, electricity, telephone
etc. This firm allow E-recharge facilities. This firm
also provide E-ticket service of reservation of
Railway and Flight. The owners of this firm also
have an another firm named ‘Plastic Point’ where
they sell all type of plastic items such as Bucket,
groom, brackets, tables and all type of crockery’s
items such as cup, plates and dining table set of
crockery. This firm also selling some electric
items such as juicer mixer grinder, blender,
compact immersion rods, electric kettles, heaters
and table lamps The firm ‘E-mitra’ working on E-
government websites (e-rajya.com, e-mitra.com,
rbse.com) and many more computerised
software which help this firm at extreme level.
 Mechanism of working

This firm use the traditional system of

accounting to entering the exchange of goods
and service but now there are many softwares
use to entering the exchange of goods and
service to maintain the accounts like MS Visual
Basic, Tally9, MS Access to make database.

Mechanism of MS Access
Starting:
Start => Microsoft Office => Ms Access.
Creating Database:
From the first page of Ms Access, select blank
database to make database initially or select other
database to start pre-formatted database.
Working in database:
After select database, you will have table
(relation), here you work on the database.
Saving database:
To save records explicitly while you are editing it,
click Save Records on records menu.
 Mechanism of Ms Visual
Basic
This is a software that has ability of making
all type of programs like database
management. This is very easy language
program that contains visual tools and you
will make your program easily.
Starting Visual Basic:
Start =>Programs => Ms Visual Studio
=> VB.exe
Creating Programs:
After starting the VB you will have a
blank form. Here you will make visual tools
like text box, labels, buttons etc. You will
give coding to the tools and your program
will run.
Saving programs:
To save your programs click on Save in
file menu.
 Mechanism of Tally9
Tally is the most popular program that
maintain your accounts and contains all
type of menus of which we are studying
about.
Start Tally9:
Default installation of tally is C:\program
files\tally9\tally9.exe
Creating accounts:
Create company or select existing
company. Here you will have all books of
accounts. Here you will maintain your
accounts daily.
Saving the work:
After editing all accounts, you take
backup of the work.
 Input and output mechanism
Input mechanism:

When the owner select item from catalogues, after that

there issued a bill of particular item. From this bill its cost is
seen and then there amount is given by cash or cheque or
demand draft.

Then in the firm, entry of this item is made in the stock

register. In this, all the details of items regarding name, MRP,
manufacturing date, CAT no. Etc.

Purchased items are record in purchase register and

returned items are record in purchase return register.

Output mechanism:

By these softwares, owner is able to manage all the

records easily.

Sold items are listed in the sales register and returned

items from customer are record in sales return register.

There is ledger book where personal and real accounts of

the owner of the firm are listed. When a customer purchase
item on credit basis, the item and the value of item is
mentioned in that customer’s account.

Output media:

There are monitor and printer are the output media. From
here, he can able to check his position in profit & loss account
and check his position of his assets and liabilities in the balance
sheet.
