Setting Up a Free Genealogy Tool Box with Google

A note for the record, before I begin. I am not endorsing Google and have no responsibilities
what so ever to you if you decide to use Google for your Genealogy Tool Box. With that being
said I will continue.

Wouldn't it be nice to have everything for your Genealogy research at your fingertips for free,
whether at home or on the road. I have come up with that solution by using Google tools.
They are all free, unlimited and can be used with Windows XP/Windows Vista and for Mac
Users.

I am going to first give you a list of items that are very handy to use and have at your fingertips
for your Genealogy research. The list is a little extensive and you can decide which items are
right for you. Then I will give you instructions on how to start and add your Genealogy research
tools one at a time. There are a couple of Genealogy Tools you will need and will want to add
first. Then there are a few that just add convenience that we will add. After that you can add on
other Genealogy Tools as you see fit to your style of Genealogy research.

Family Tree, Trace Your Roots with DNA, Worldwide
Family History and Genealogy as Pastime and

STEP ONE - Signing Up For Your Gmail Account

1. Open your Gmail account with Google by clicking here.


2. Click on Sign up for Gmail.
3. Create your account by filling out the form, reading the "Terms of Service" and clicking on "I
accept. Create my Account." at the bottom of the page. NOTE: The email address and password
that you use on this page will be for your Google account and your Gmail account. BE SURE TO
PUT A CHECK MARK BESIDE “ENABLE WEB HISTORY ". Your "Web History" will keep track of all the
places you have been on the web. You can file the history of websites you have visited in your
Google "Notebook". ALSO BE SURE TO RIGHT DOWN YOUR NEW EMAIL ADDRESS AND PASSWORD.
4. Read over the next page and then click on "I'm Ready Show Me My Account".
5. CONGRATULATIONS! You now have your new Genealogy Gmail Account.
6. Before you go on to the STEP 2 of your Genealogy Tool Box play around with your Gmail for the
rest of the day.
7. Check out the "Settings" button in the top right hand corner, the "Archive" button lets you archive
your email so you don't see any of it.
8. Check out the "Contacts" button. You can group Contacts. Example: Gmail's I get from my dad's
side of the family I have in a group named "Dad's Family" and Gmail's I get from my mom's side of
the family I have in a group named "Mom's Family", Emails I get from family members that I
personally know I have in a group named "Known Family Members". If I want to send an email to
only the Contacts in my Mom's side of the family then I type "M" in the "Send to" box and a list of
all Contacts starting with "M" show up and I click on "Mom's Family" this puts all the email
address in the group "Mom's Family" in the "Send to" box. Or you can put one email address in
the "Send To " box and then "Mom's Family" in the BCC box. The only email address that shows up
in your email is the one in the "Send To" box.
9. The "Help" button tells you how to do everything in your Gmail and in your "Settings".
10. Go ahead and read your first email also.
STEP TWO - Starting Your Genealogy Tool Box

1. The next step to starting your Genealogy Tool Box is to go to the Classic Google Homepage here.
2. Click on "Sign In" in the top right hand corner.
3. Type in your new Gmail address and your new password that you created yesterday and then click
on "Sign in".
4. Now click on "iGoogle" in the top right hand corner.
5. This is the page that will begin your Genealogy Tool Box.
6. You will first have to start a "Homepage" and then make a Tab for "Genealogy Tool Box."
7. Don't click on any "Select Interest" you would like on your homepage. This will just make extra
tabs on your homepage. You can thou click on the "theme" you would like on your homepage and
then click on "See Your Page".
8. Now it gets a little tricky but worth all the efforts. Just stay with me.
9. Click on the small arrow beside the "Home" Tab.
10. Click on "Edit this Tab"
11. Under the "General" section, check on the language of your choice, the Country you live in and
type in your zip code.
12. Under the "Content" section beside "Name" highlight the word "Home" and type in "Genealogy
Tool Box".
13. Under Gadgets. Delete the following: Official U-tube Gadget, Movies, CNN.com, How to of the
Day, Top Stories.
14. Google automatically puts Gadgets on your page that go with your title and then you can add
more gadgets later.
15. Change your "Theme" or leave it the same.
16. Leave the "Layout" like it is.
17. Click on "Save" in the bottom right hand corner.
18. This is the beginning of your Genealogy Tool Box. It doesn't look like much right now but we will
add the gadgets and features that you will need in STEP 3 to make your Tool Box work for you.
19. Practice moving your "Weather" box and your "Date and Time" box around in different columns.
20. Click on "Select Theme" if you want to and browse thru the themes. Your "Theme" changes during
the day depending on what time it is and what Theme you use.
21. If you want your Genealogy Tool Box to be your Homepage when you pull up the Internet, click on
"Make Google Your Homepage" in the middle of the bottom of the page.
22. You can check your emails by clicking on "Gmail" in the top left hand corner.

Clicking with your left mouse button and dragging them where you want them.
STEP THREE - Adding GMAIL to Your Genealogy Tool Box

1. The first thing we want to add is your Gmail.


2. Click on "Add Stuff" in the top lower right hand Corner.
3. On the left hand side of the page, go to "Narrow by Category" and click on "Communication".
4. Scroll down the "Gadgets" until you see "GMAIL" and click "Add it Now".
5. Click on "Back To iGoogle Home" in the top left hand corner.
6. Now on your Genealogy Tool Box you have the Weather, Time and Date, and access to your
emails. Grab a hold of your Gmail by holding down the left button on your mouse and move your
Gmail to the center of the page. I have my Weather on the left, Gmail in the Center and Time and
Date on the right. You can arrange yours however you want them.
7. You now have your Genealogy Tool Box.
8. If you have made iGoogle your homepage, when you pull up your internet your Genealogy Tool
Box will be the first thing you see and will show you your email at a glance, the date, time and how
cold or hot it is outside.

NOTE: You can also access your Google Docs and any other program you have with Google
by clicking on the "My Account" button in the top right hand corner. This will give you a
list of the accounts you already have under "My Products" and give you options of getting
more products that you need for your Genealogy Tool Box.

STEP FOUR - Accessing All Your Genealogy Documents,
Spreadsheets and Presentations from Your Genealogy Tool Box

1. If you will look in the top left hand corner of your Genealogy Tool Box you will find "Web - Images,
Maps, News, Shopping, Gmail, more and an arrow".
2. Click on "More".
3. Scroll down to "Documents" and click on it.
4. If you’re not already signed in to Google Docs, go ahead and do that now using the same email
address and password for your Gmail account.
5. Click on "Upload" to upload files from your computer or
6. You can use the supplied email address on this page to email them to your Google Docs. I find
this way the simplest and fastest way. You will receive an email in your Gmail account that you
uploaded files or
7. You can make your own documents, spreadsheets and presentations here in Google Docs by
clicking on "NEW" and then scrolling down to "Document", "Spreadsheet" or "Presentation" and
then clicking on it.
8. You can read about what all you can do in Google Docs by clicking here or by clicking on the
"help" button in the top right hand corner.
9. This will be your Genealogy database of documents to refer to while at home or on your research
journey.
10. If you have a certain project that you are going to work on at a research library then you can
upload those documents to your Genealogy Tool Box in the Google docs section so you will have
access to them when you get there.
11. Go ahead and upload some things or make some of your own reference materials that you might
need while away from home in your Genealogy Tool Box. Examples: Soundex codes and other
names for your Surnames, early medical terms (if you don't have a list of these you can get them
from here and then copy and paste them to a New Google Document), charts that you refer to,
blank forms and charts, etc.
12. To add your Google Docs, Spreadsheets and Presentations to your Genealogy Tool Box homepage
go to your Genealogy Tool Box and click on "Add Stuff" in the top right hand corner.
13. On the left hand side of the page, type in "Google Docs" in the "Search for Gadgets" search box.
14. Click on "Add It Now"
15. Click on "Back to iGoogle Home" in the left hand corner of page.

STEP FIVE: Accessing Bookmarks [Favorites] in Your Genealogy
Tool Box

Getting the Google Toolbar to access your Bookmarks

1. If you will look in the top left hand corner of your Genealogy Tool Box you will find "Web - Images,
Maps, News, Shopping, Gmail, more and an arrow".
2. Click on the arrow. Scroll down and click on "Even More"
3. Look down the left hand column and find "Toolbar".
4. Click on "Toolbar". Click on "Try Google Toolbar 5 (BETA)" and follow the online directions.
5. You will need the new Toolbar features in this Google Toolbar for your Genealogy Tool Box.
6. If you have the Google Toolbar installed now you will see "Bookmark" in the toolbar.
7. If you don't see you’re new Google Toolbar pull up a new web page [not a new tab] and check to
see if you see it now.
8. You can access help and knowledge for your Google Toolbar by clicking here. Be sure to read the
help page and the feature section to get full knowledge of everything you can do with your
Goggle Toolbar.
9. Try your Bookmark tab by bookmarking the Google Toolbar help page.
10. You can manage your Bookmarks and your Web History from the "Bookmark" tab (OR),
11. When you are on a webpage that you want to go to later for further reference click on
"Bookmark" to bookmark the page to your Genealogy Toolbox.
12. You can get instructions for importing your "Favorites" to your "Bookmarks" by clicking here.
13. Click on "Settings" on the right hand side of the Google Toolbar and make sure you set the
settings for each item on the Toolbar to your specifications.

14. To access and organize your "Bookmarks" from your Genealogy Tool Box click on the
"Bookmarks" tab and then click on "Manage Bookmarks".
15. Click on "Get Your Bookmarks on IGoogle" at the top middle of the page.
16. Click on "Add to Google".
17. Go ahead and some Bookmarks for your favorite Genealogy research websites.

Another Way to Access Your Bookmarks on Your Genealogy Toolbox

19. To access your Bookmarks from your Genealogy Toolbox you can also download FavTool from PC
World.
20. Download and Run FavTool and save favorites to your desktop.
21. Upload file of Favorites to your Google Docs using the upload feature or by emailing them with
your Google Doc email address located on the upload page.
An Update to What We Have Done So Far

1. We have created a Genealogy Tool Box.


2. We have made access to our personalized Genealogy email account in our Tool Box.
3. We can see the weather forecast if we want to go to a graveyard, archives, etc.
4. We can see what time it is and what the date is.
5. We can access our favorite Genealogy research websites from within our Tool Box.
6. We can access important Genealogy documents, spreadsheets and presentations that we need
for our Genealogy research in our Tool Box.
7. Go to your Genealogy Tool Box and click on "My Account" at the top right hand corner to see the
products you have added so far with your Tool Box.

To add some more to your Genealogy Tool Box go to Step Six.

STEP SIX: Accessing Your Genealogy Research Calendar

3. Fill out the "Get Started with Google Calendar" section and then click continue.
4. To get help and more knowledge about Google Calendar click here or on the "Help" button at the
top right hand corner of the page.
5. For a tutorial, on the "Help" page, click on "Learn the Basics" at the top in the left hand column.
6. Your Calendar can be as private or public as you want it.
7. There are a lot of different ways to use your Calendar so be sure to go to the "Help" page and
read the different subjects.
8. To add your Google Calendar to your Genealogy Tool Box homepage go to your Genealogy Tool
Box and click on "Add Stuff" in the top right hand corner.
9. On the left hand side of the page, type in "Google Calendar" in the "Search for Gadgets" search
box.
10. Click on "Add It Now" under "Google Calendar" instead of instead of "Google Calendar Viewer" if
you want to be able to access your main Google Calendar.
11. Click on "Back to iGoogle Home" in the left hand corner of page.

STEP SEVEN: Creating and Adding Genealogy Search Engines for
Your Genealogy Tool Box

Creating Genealogy Search Engines for Your Genealogy Tool Box

1. First you will need a list of websites that you would like to be in your search engine. Example:
websites that you search for genealogy information. ie. Ancestry.com, rootsweb.com, your
personal website, etc. HINT: You have to use the URL for the main page with the information on
it that you are wanting to research.
2. You can make as many search engines as you like.
3. You might want a search engine for websites with only death lookups, another search engine for
websites with only family trees, another search engine for websites with only marriage lookups,
maybe a search engine with only census lookups. If you are creating a personal Genealogy
website maybe you want a search engine for css or html.
4. Click here to see a Search Engine that I made for Deaths. Try it out and see how it works.
5. To create your own Genealogy search engine/engines or manage ones you've already created, for
your Genealogy Tool Box, click here and follow the directions or
6. Go to your Genealogy Tool Box and look in the top left hand corner of your Genealogy Tool Box
you will find "Web - Images, Maps, News, Shopping, Gmail, more and an arrow".
7. Click on the arrow, scroll down and click on "Even More"
8. In the right hand column under "Explore and Innovate" click on "Custom Search".
9. Be sure to read the "Tips on formatting URL's" beside the section "Select Some Sites".
10. To find already made Genealogy search engines go to
11. When you are finished creating your search engines for your Genealogy Tool Box you can find
them in "My Account" in the top right hand corner under "My Products".

12. Go to your Genealogy Tool Box and click on "My Account" in the top right hand corner.
13. Click on "My Search Engines" under "My Products".
14. Click on the "Add to Google" box beside the last sentence, "Add the Developer Gadget to your
iGoogle homepage for easy access to all your Custom Search Engines."
15. Click on "Add to Google".

Make as many Genealogy Search Engines that you need for your Genealogy Tool Box and
have fun.

STEP EIGHT: Creating Bookmarks in Your Notebook Folder

When you save websites to your Bookmarks you can go into your Notebook and file them
in these different Notebooks.

Importing Your IE Favorites into Your Notebooks Folder


1. Click on arrow beside the "Bookmarks" tab and then click on "Import Favorites".
2. Put a check in the check box beside each bookmark you want to be in your Notebooks.
3. Click "Import" at bottom of page.
4. On the next page that pops up, scroll down to the bottom, look on the bottom left hand side and
click on "Manage Labels".
5. On the right hand side of the page keep what labels you want and delete the rest.
6. Click on "My Account" in the top right hand corner.
7. Click on "Notebook" under "My Products".
8. Depending on how many Bookmarks you had imported will depend on how long it will take to
import them all.
9. To see your Bookmarks click on a Label.
10. To search for a Bookmark type in what you want to find in the search bar at the top of the page
beside "Search My Notes".

11. If you want to create more Bookmarks click on "New Note" at the end of the "Unfiled Bookmarks"
toolbar.

Deleting Labels

12. If you want to delete some labels, click on "Edit Labels" in the Labels box in the bottom left hand
corner.
13. Click "Remove" beside the Label you want to delete.
STEP NINE: Creating Notebooks for Your Genealogy Tool Box

1. Go to your Genealogy Tool Box and click on "My Account" in the top right hand corner.
2. Click on "Notebook" under "My Products".
3. On the left hand side under "Notebooks", click on "Create a New Notebook".
4. Name your first Notebook "Genealogy Websites" and click "OK". This Notebook is for all your
Genealogy websites that you visit regularly. ie. ancestry.com, rootsweb.com
5. Create another Notebook and name it "Places". This Notebook is for all the links to Places you
visit in for your Genealogy research. ie. Tennessee, Giles County, Missouri, etc.
6. Create another Notebook and name it "Quick References". This Notebook is for all your reference
sites that you visit. I.e. NRA, Soundex, Census dates, etc.
7. You might want to make more Notebooks for your specific needs. I am designing my own Website
so I have a Notebook named "Designing a Website".
8. On the left hand side of the page, you should have 4 Notebooks labeled
1. "My First Notebook" [keep this one or delete it]
2. "Quick References"
3. "Genealogy Websites"
4. "Places"
9. To add the websites to your Notebook in your Genealogy Tool Box click on the Notebook you
want to add a website to.
10. Type in the URL manually or
11. Click on one of your "Labels" and get a website from there.
12. Click on the website you want in your Notebook.
13. When that website is loaded click on the small blue Notebook in the Google toolbar at the far
right side.
14. Click on the Notebook that you want this website in.
15. Click on the yellow star.
16. Close the small box and the website and go back to your Notebooks.
17. Click on the Notebook you just added the website to and you will see it there.
18. So while you are surfing the web and you come to a website you want in your Genealogy Tool Box
don't forget the little blue book in the Google toolbar.
19. To add your Notebook to your Genealogy Tool Box homepage go to your Genealogy Tool Box and
click on "Add Stuff" in the top right hand corner.
20. On the left hand side of the page, type in "Notebook" in the "Search for Gadgets" search box.
21. Click on "Add It Now" under "Google Notebook".
22. Click on "Back to iGoogle Home" in the left hand corner of page.
23. To access Help and more knowledge about your Notebooks go here or
24. Go to your Genealogy Tool Box and click on "Tools" in the "Google Notebook" box.
25. Click on "Help".

Deleting Notebooks

26. To delete a Notebook, click on the Notebook you want to delete.


27. Click on "Tools" on the right hand side of the toolbar.
28. Click on "Delete Notebook".
Web History

29. To view your web history click on "Web History" at the top right hand corner of the page.

Google by clicking on the "My Account" button in the top right hand corner. This will give
you a list of the accounts you already have under "My Products" and give you options of
getting more products that you need for your Genealogy Tool Box.

NOTE: You can move all your boxes in your Genealogy Tool Box where you want them by

1. This is simple.
2. Go to your Genealogy Tool Box and click on "Add Stuff" in the top right hand corner.
3. Type in "to-do-list" choose your favorite one and add it to your Genealogy Tool Box.

NOTE: You can also access your Google Docs and any other program you have with Google
by clicking on the "My Account" button in the top right hand corner. This will give you a
list of the accounts you already have under "My Products" and give you options of getting
more products that you need for your Genealogy Tool Box.

NOTE: You can move all your boxes in your Genealogy Tool Box where you want them by

We're thru adding the necessities to your Genealogy Tool Box. There are more gadgets
you can add to make your Genealogy Tool Box more enjoyable. Below is a list of
suggestions that you might want to add.

1. A link to your Gedcom file so you will be able to access it if needed or your Gedcom file uploaded
to your Docs.
2. A blog to journalize your Genealogy Research which can be found by going to your Genealogy Tool
Box and clicking on the arrow beside "More" at the top left hand corner of the page and then
clicking on even more. "Blogger" is in the right hand column under "Communicate, Show and
Share".
3. Other Genealogy Stuff by clicking on "Add Stuff" in the top right hand corner of your Genealogy
Tool Box. There are lots to choose from. I am fond of "Eastman's Genealogy Newsletter",
"Genealogy News Center", "Genealogy Help", "Distant Cousins" and a few more.
