Introduction 1.
The Manager Training Programme Germany India gives you an opportunity to become part of a pool of management personnel resources to gain international experience, broaden your professional and cultural horizons and to establish direct economic contacts with German companies. This booklet contains information, which is useful both to those of you who are planning to take part in the training programme, as well as to those who have already been selected for participation in the programme and are getting ready to go to Germany. It will give you an idea of what you can expect from the programme and what you need to do in order to complete your traineeship successfully. Without claiming to cover all the aspects involved, we have nevertheless made an attempt to provide you with the essential information, which will help you to prepare for your assignment in Germany in a better way. Shall you have any questions after reading this booklet, please refer to GIZ. In the Appendix, you will find the necessary contact data. We wish you success and hope that knowledge and experience, which you will gain in Germany, will help you in putting your plans into practice.

Manager Training Programme Germany - India


The Minister of Commerce and Industry of the Republic of India and the Minister of Economics and Technology of the Federal Republic of Germany agreed on the organisation of a training programme for managers of Indian enterprises. Both sides regard this as an important step aimed at supporting the further development of Indias economy and the bilateral economic relations. The Federal Ministry of Economics and Technology has empowered GIZ to assume the functions of general management of the Manager Training Programme. The Ministry of Commerce and Industry has empowered CII and FICCI for the management of activities in India. On behalf of GIZ eleven consortia of leading German training centres are responsible for implementing the training and company visits. This Programme is financed by the Federal Ministry of Economics and Technology of the Federal Republic of Germany.

Objectives and Structure of Traineeship in Germany

Objective

The main objectives of the programme are: enhancing the administrational, social, intercultural and professional competencies of Indian managers; improving the competitiveness of the enterprises participating in the project; enhancing the foreign economic potential of Indian enterprises by establishing contacts with German enterprises and raising the attractiveness of the selected enterprises to foreign investors.

Programme

Traineeship in Germany consists of two main parts, namely: a training part (oriented to acquiring practical managerial skills); a practical part (familiarisation: group visits to enterprises and, where it is possible, individual visits to the companies, during which the trainee will have an opportunity to establish business contacts).

Directors of SMEs, their deputies, heads of foreign economic relations and marketing departments of large enterprises Further training, studying German experience in the sphere of foreign economic cooperation, establishing contacts and developing economic cooperation between Indian and German enterprises This programme is dedicated to establishing individual business contacts and their initiation and preparation, as well as to acquiring practiceoriented know-how. Special training seminars, which are organised with the aid of modern interactive methods of training, are held in combination with visits to enterprises and organisations and serve as a preparatory basis for economic cooperation. The seminars and group visits to the enterprises are held with reference to the prevailing interests of the group, the emphasis being placed on issues of management and cooperation without reference to any specific branch of economy. Individual visits to enterprises aimed at establishing economic contacts are an integral of this format of the traineeship. It is strongly recommended that each participant conducts a search for adequate enterprises and contacts them. The search results should then be presented to the selection panel during the interview or sent to GIZ after the interview. Tutorial guidance of the programme participants during preparation for the assignment, during the traineeship, after returning home and during preparations fort post-programme activities is provided via our interactive Internet platform Global Campus.

3. Programme
GIZ offers one-month programmes with different areas of specialization depending on participants needs. GIZ draws up the programme according to the challenges, which your enterprise faces, and your position in the company. The content of the programme can vary depending on the needs of the participants of the group.

4. Interview and Enrolment for the Traineeship Programme


To participate in the programme, a candidate must pass an interview with the members of the Indo-German Selection Committee. The Indian side will inform the candidate of the time and place of the interview. The candidate must bring along the following documents and materials to the interview: a completed application form with clearly-stated objectives for the traineeship, letter of recommendation signed by the director of the enterprise, copy of his/her international passport signed consent form (insurance) The trainees are expected to be in possession of above documents and materials when appearing for the interview. The trainee is advised to bring along materials on his/her enterprise for presentation to the German companies and to have a list of German companies or a description of the type of enterprises s/he would like to make contacts with during the traineeship. The interview is in English. If a candidate has an invitation from a particular German company, the letters confirming the company's readiness to have a meeting with the candidate are to be presented. The result of the interview will be communicated by e-mail to the candidate two weeks after the interview. On the basis of application forms and information provided by the candidates during the interview, GIZ assembles the groups with which the participants come to Germany. GIZ assigns assembled groups one after another to one of the subcontractor consortia and/or German training centres and entrusts the receiving party with elaboration of the traineeship programme in Germany. Representatives of the German training centre contact the participants and provide them with initial information, verify the personal data, objectives for the traineeship and specific wishes regarding contacts to German enterprises. The visa application process is centralised. GIZ issues the invitation for the whole group and submits it to CCI and FICCI, the programme coordinators in India. The coordinator in turn informs the participants about the date and time for submitting the visa application documents to the German Embassy in India.

FAQ regarding the interview


Before the interview What are the selection criteria? o There is a number of criteria, such as an appropriate definition of objectives and of the gist of further training in Germany, as well as participants being well informed and prepared for the interview and for his/her possible assignment to Germany; participants presentation skill, acquisition of contacts, command of English, a complete set of requisite documents etc. Is the interview something like an examination? o No, it is a talk on equal terms. The main task of the selection panel is to find out how well the candidate meets the programme criteria and how the programme can contribute to achieving the objectives indicated by the candidate. The candidate has a chance to conduct a marketing campaign on his/her own behalf and on behalf of his/her enterprise to attract the selection panel's interest. What kind of presentations should be made? o Presentation about yourself, your company, its products, and about the objectives of further training in Germany. o Presentation material (brochures, booklets, photos, etc.), you can use samples of products and make a short multimedia presentation (max. 5 min.). It is advisable to print the slides of PPT in two copies. A paper version of the presentation can be used if it is not possible or if there is no time to give a multimedia presentation during the interview. What level of command of English is required? o The candidate should be able to speak English, to know the basic economic and production terminology, to know the specific managerial terminology in the field of management in which s/he plans to participate in the traineeship programme. Does GIZ have regional quotas? o No, the most important requirement is that the candidates meet the criteria of the programme. Is it necessary to present a list of German companies the candidate wishes to establish contacts with, enterprises s/he wishes to visit or a list of equipment s/he would like to purchase? o It is strongly recommended to do draw up such lists. The better the candidate is prepared and the more s/he knows what s/he wants to achieve during the traineeship, the easier it is to find a suitable enterprise for her/him and the more successful the traineeship will be. The best is to have already established contacts with the company the participant is interested in and has already received from it a written consent with indication of the person to contact and the company

address. (Just printing out a list of companies from the Internet is of little use). The candidate would like to spend four weeks at the enterprise. Is this possible? o No, it is not. Only short visits to the enterprises are possible.

After the interview When and how is it possible to find out about the results of the interview? o The final decision shall be made by GIZ in Germany o As a rule, the participant gets informed about the results of the interview by CII, FICCI or by GIZ two weeks after the interview If a participant did not pass the interview, does he have a second chance? o Only those candidates who get Can apply again as a result of the interview can participate in an interview again. If the participant is assigned to a group and refuses to participate in the programme, can s/he lose the right to participate? o Yes, if s/he has no valid reasons for doing so. When and how does the participant who is enrolled in the group receive the programme and the information about her/his assignment to Germany? o 4-6 weeks prior to the arrival date the German training centre contacts the participant on behalf of GIZ and gives her/him an initial information package, passwords for Global Campus 21, clarifies the objectives, and requests an updated version of the profiles and presentation. Is there any guarantee that the participant will be assigned to an enterprise that matches up exactly with her/his wishes? o No, German enterprises accept Indian trainees on a voluntary basis and their decision cannot be influenced. However, the German training centres will do everything in their power to comply with the trainee's wishes. The better a participant is prepared for the programme, the better the chances of success.

During the interview Is it good or bad when a candidate is being interrupted during the presentation? o You should take it easy. The time for the interview is limited and the members of the Selection Committee oftentimes have to cut short the candidates' presentations. What are the photos for? o All groups have their own "room" on the interactive Global Campus 21 platform. It enables participants to exchange information and to communicate within the group and with the representatives of the hosting German training centre. The photos are taken for use in this room. Approximately 4-6 weeks prior to the beginning of the traineeship in Germany the participants will receive a password from the German training consortium. What kind of data is being stored electronically? o The main personal data and data about the enterprise, the chosen programme format, objectives of the candidate and the enterprise and special wishes concerning the traineeship and contacts with German enterprises are kept stored in Global Campus. Can a candidate who has an invitation from a German company receive a negative interview result? o Yes, for it is only one of the many selection criteria. The candidate has a good social network, can this influence the result of the interview? o No, the selection panel is only interested in the candidate. Can the candidate ask questions? o Yes, of course. This is being encouraged.

5. What Awaits a Trainee in Germany?


To be successful and beneficial to the participants the programme in Germany must be thoroughly prepared for. We strongly recommend that you bring with you the package of visual materials for the presentation of your enterprise in Germany. It is necessary for the trainees who are planning to establish new or extend the existing contacts with German companies to prepare written drafts of proposals for the potential partners and to keep a letter signed by the head of the enterprise and authorising the participant to establish contacts at hand,. In case of the change of the place of work or your position you should inform CII or FICCI, for such changes usually lead to changes in the programme and in the choice of other German enterprises for individual visits. You should also inform GIZ about such changes in writing. It is very difficult and sometimes not possible to change programme themes and to look for alternative enterprises for individual visits after your arrival in Germany. It is necessary to work persistently at improving your English skills. Insufficient knowledge of English often results in a lowering of the programme's effectiveness.

The training will be intensive and will be based on the interactive approach, where the participants must be prepared to take an active part in business role-plays, make case analyses and fulfil home tasks. Business dress code is recommended at all formal meetings. Each participant will be provided with all necessary learning materials. Our experience shows that many participants later use these materials as practical manuals for work at their own enterprise. The staff at the training centre will do their best to acquaint the participants with cultural life in Germany. For this purpose special weekend programmes are planned, the content of which will depend on the possibilities of the hosting training centres, regional peculiarities and the wishes of the participants. Part of such activities will be free of charge. In addition to this, participants will be able to sign up for excursions and programmes which carry a charge. Participation in the cultural programmes is not obligatory.

Please note that the right to stay in Germany does not apply to your family members.

5.2. Visits to Enterprises


During visits to enterprise the trainee will get acquainted in detail with the work of the hosting German enterprise. Every visit is focused on a specific management problem. In the case of individual meetings it is expected that the trainee will present his/her company and describe her/his professional interests. Keeping this in mind, it is recommended that the trainee be prepared for a short presentation and that s/he has the presentation materials at hand. Confidential commercial or production matters will not be discussed at any meetings.

5.1. Stay at German Training Centre


GIZ cooperates with different subcontractors / consortia of German training centres, which are responsible for solving all problems involved in programme implementation, including the training part, visits to enterprises and other questions regarding your stay in Germany. The participant cannot choose the place of the traineeship him/herself. The programme of training in Germany is of an obligatory nature for the participant and it must be fulfilled fully. It should be specially noted that non-attendance of classes or other compulsory activities are regarded by the hosting training centre as a serious violation of the programme rules. Such violations can lead to an early termination of the trainee's participation in the programme in Germany. The training part will be conducted by experts in the field of further training of managerial staff who have a rich store of experience in the training of managers from the

5.3. Global Campus an Interactive Internet Platform


Since September 2004, all participants who have completed their traineeship programme in Germany have been using the international Global Campus platform on the Internet for exchanging information, e-learning and communication. The Global Campus platform has an open portal accessible to everybody. You can visit it at www.gc21.de/mtp without having to register. A special closed portal will be created for the participants of the Indo-German programme. Participants enrolled in the programme can access the platform by using the

password login, which will be given to them by the supervisor of the group from the German training consortium approximately one month before the group arrives in Germany. Online instructors from the German training centre supervise this platform and communicate with selected participants. On this platform you can: learn about the programme of your stay in Germany; communicate with your supervisor before your arrival in Germany and during your traineeship at the enterprise; take part in thematic forums and chats; upload documents and presentations; find a wide range of information about the German economy; find information about exhibitions, fairs, cooperation exchange markets, different activities of GIZ, as well as information on different specific subjects; exchange information with participants from other groups; receive support while preparing for the post-programme seminar follow-up; find diverse cultural information about Germany and offers for leisure time activities.

5.4.3. Meals During your traineeship period at the training centre, you will be provided with half board, i.e. breakfast and dinner or breakfast and supper. 5.4.4. Finance Your stay in Germany is fully financed by the German side from the budget of the Federal Ministry of Economics and Technology. This includes: programme of further training (seminars); consultations on professional issues and everyday necessities; payment for accommodation and partial payment for meals during seminars and accommodation during the period of traineeship; compensation of limited amounts of expenses connected with travel in Germany within the framework of the programme of the seminar and traineeship at the enterprise (trips for negotiations with companies; to the seminars, exhibitions, etc.); payment of insurance; payment of a monthly scholarship (15 per full day of stay and 7,50 per day of arrival and departure). The scholarship/stipend is designed to cover the current expenditures on food, cultural activities and travel to the place of traineeship. The method of scholarship/stipend payment is determined by the hosting training centre (as a rule, participants of one-month traineeship programmes are paid cash in a lump sum).

5.4. Organisational and Financial Aspects


5.4.1. Visa In your passport you will get a single entry visa for Germany. Duration of this visa is limited to the planned period of your stay in Germany.

5.4.5. Insurance Please check your visa at the time of issue for any mistakes. In case you find any mistakes, please immediately inform CII or FICCI. For the duration of the stay in Germany the participant is provided with medical insurance in case of illness, as well as accident and civil liability insurance. Please note that the insurance policy comes into force only in case of unforeseen circumstances and does not cover the treatment of the existing illnesses or psychiatric disorders or medical examinations in connection with pregnancy. In such cases the expenditures, which are rather high, must be covered by the participant him/herself. Please note that pregnancy is seen as a cause for exclusion from the programme, because the necessary medical services are not covered by the insurance. We should also like to point out that your private belongings are not insured either.

5.4.2. Accommodation During the traineeship period all participants will be accommodated in single rooms with a shower and WC. Availability of telephone and TV is not guaranteed. Participants accommodated in hotels must pay for using the mini-bar, commercial TV channels, telephone and additional services. These expenses will not be refunded. Due to regional peculiarities in Germany, some minor differences in accommodation standards can occur. Please follow all generally accepted and customary rules of residence and be economical in the use of water, electricity and heating.

6. Post-Programme Activities
5.4.6. Vacation 6.1. Post-Programme Seminars (Follow-Up Seminars) Holiday during your stay in Germany is not provided for. 5.4.7. Early Termination of the Programme We hope that your stay in Germany will go according to plan and there will be no reasons for its early termination. Early termination is possible only in extraordinary cases, for example for some family reasons or in connection with circumstances because of which the programme loses its purpose and meaning. Participants wishing to terminate the programme prematurely must inform the training centre immediately. Early termination of the programme should be agreed with GIZ. The German side reserves the right to claim from the participant full or partial compensation of its expenditures (e.g. stipend, payment for accommodation). Travel expenses in case of early termination of the programme are not compensated by the German side. 5.4.8. Flight Ticket The booking of the flight tickets is centralised, which means that the group comes and leaves at the same time and on the same flight. More detailed information you can get from CII and FICCI. Approximately 6-12 months after completing the traineeship programme in Germany, every participant and the other members of his/her group will be invited to take part in a follow-up seminar. The goals of the follow-up seminar are as following: Social and professional support of participants after their return to Indian enterprises. Exchange of experience, analysis of practical results and application at Indian enterprises of the experience and skills acquired during traineeship in Germany. Review of the achievement of the traineeship goals and of contacts made with German and other foreign companies. The two-day seminar held in English consists of plenary sessions, group work with representatives of the host training centres, seminars on current trends in management, marketing and financial management. Within the framework of the follow-up seminar, participants are given an opportunity to make a presentation of the results of their work on the completion of their programme in Germany. Representatives and experts of GIZ, German training centres and business community take part in the concluding meeting. Staff of GIZ and German training centres wish all participants an interesting and useful stay in Germany, and fruitful business contacts with German partners!

5.4.9. Telephone/ Computer/ Internet Telephone calls within Germany, including within a town or city are paid by the trainee. Telephone calls from hotel rooms are the most expensive type of call. All telephone booths have regional and international connection. The country code for calls to India from Germany is +91. You can buy inexpensive telephone cards in special shops. For more information please contact your supervisor at the training centre. Access to computers and Internet is provided during working hours by the training centre. It is advisable to bring your laptop. Please note that your technical equipment is not insured.

Appendix
A) Brief Guide to Presenting Your Enterprise

Photos and slides of your enterprise and products, small samples of your products, post cards showing sights of your town /city, etc., can be used as supplementary materials. We recommend you to practice before your trip. It will help you to avoid typical mistakes (indistinct or inaudible delivery, lack of confidence, awkward gestures, wrong posture, such as blocking the view on the screen or speaking with your back to the audience, etc.). Preparing the presentation of your enterprise calls for creativity on your part, and we hope that you will successfully achieve the objectives set.

Presentation of your enterprise is very necessary and important from the point of view of implementing the tasks in order to meet the objectives set, of ensuring the support necessary for you completing your traineeship in Germany and for establishing direct contacts and cooperation with German enterprises. It is advisable to prepare the package of the presentation materials beforehand. Such a package may include: up-to-date prospectuses of your enterprise; a set of presentation slides; additional materials; business cards. A set of slides should be prepared specifically for the presentation. Working on the slides has the added advantage that you will be able to concentrate once again on the objectives ahead. First and foremost it is necessary to make a plan of your presentation in the course of which you intend to use the slides. After drawing up the plan, you should write the text of your presentation in English. Review it with a professional translator and bring it along to Germany in paper and electronic versions. In Germany it is common to make short (5-10 min.) and precise presentations. The definitions must be clear and concise, and common technical terminology should be used. General speculations should be avoided. The main value of the slides lies in their visual expression. Do not try to put all information on one or two slides. For example, the contents of the slides can be as follows: 1. Essential data about the enterprise: name, legal form, year of foundation, number of personnel, annual turnover in euros, main types of activity / products. 2. Mission of the enterprise (if available in a written form). 3. Organisational chart of the enterprise and your position therein. 4. Organisational chart of your department /division. 5. Main tasks / types of activity of your department /division. 6. Main type of consumers of the products / services of your enterprise (branch, size, etc.). 7. International contacts of your enterprise. 8. Main challenges at your enterprise. 9. Main objectives for your traineeship in Germany.
