To describe the procedure for preparation & effective implementation of business plan. The procedure shall cover all functional areas of business. Executive Director & Vice President 01. For continuous improvements, Top Management shall evolve a formal documented comprehensive BUSINESS PLAN both for short term & long term period. Formulation of short term business plan shall be done once at the start of the financial year. 02. The short term business plan shall cover period of one year shall be termed as Budget. This shall include the actions to be taken during this period of accounting year even if the results are expected in the future. 03. The plans covering period beyond one year shall be termed as long term plans. 04. The short term plans shall include the following : Enhancing production capabilities. Part of continuous quality improvements programme applicable for the period. Addition of facilities, equipments, aids to improve performance level. Cost reduction / Waste elimination. Training of employees. Financial Management. Upgradation (eg. computerisation of data base) M. I. system, to monitor operational performance in comparison to budgetory levels. Customer satisfaction, compliance to quality policy and organisational objectives. Internal Quality & operational performance parameters measurements. Other aspects of business related to business shall be included as felt appropriate by the management.

05. Long term shall cover : . Market surveys, marketing intelligence, competitive product analysis to know customers / competitors status Setting up new units. H R D to meet further business requirements. Growth projections. Diversifications. Bench Marking. Preparing for prestigious awards in fields of various business activities. Q. M. activities. Company image improvement plan. Obtaining system certificates. 06. Datas of the previous year, Market potential of the current year, Manufacturing capabilities, Resource availability and published matter relevant to Auto Industry growth e.g. ACMA, AUTO EXPO. etc. shall form the basis in evolving the business plan. Previous year performance review shall be done by VP which shall be presented by all departmental Heads. Marketing Head shall project the market potential, customers current year business plan in order to decide the business plan for current year keeping in mind the groups market share and competitors market share. After freezing the marketing plan for current year, all deptt. Heads review the capabilities of the department to meet the business plan. Bottlenecks are identified and resource requirements are planned. Benchmarkings for key result areas (KRA) are defined by all deptt. Heads. All deptt. Heads submit their final plans for the year to ED / VP for review and approval. 07. The executive committee shall meet once in six months to review progress of business plans both short term and long term. ED shall be Chair person while all GMs, DGMs, AGMs, and MR be the members of this committee. The meeting shall aim at ensuring that the business plans are adhered to & review progress.

This meeting can coincide with every alternate Management Review Meeting,

which is held at least once in three months. 08. During the executive committee meeting the overall business performance shall be reviewed. The action plan on quality status review, customer complaint review etc., taken during regular management review meeting as per QP-01-01, shall form the basis for this review. The trend of above parameters, comparison with those of competitors, determining the solutions to customer complaints, action plan to achieve goals of business plan shall be decided during this meeting. Review of minutes of last meeting shall be the first review point during subsequent meeting. The systematic approach shall be taken for knowing level of customer dissatisfaction, specially for key customers, the trend shall be plotted for various measurable parameters concerning customers satisfaction. Performance of competitors on similar points shall be reveiwed to identifyareas for improvements. 09. The data related to the topics to be reviewed in this meeting shall be authentic one and collected by VPfrom reliable sources. The source of data may be from outside agency and shall be ensured for its accuracy and reliability. DGM (Mktg) shall assist VP. in this regard. Data of internal origin, shall be from respective department heads in formal way. These Functional Heads shall ensure the accuracy of data before submitting to VP. 10. VP shall tabulate and analyse the collected data and mention results / comments, if any, on it. He shall submit this data to ED well before the review meeting date. He shall be the convener of the meeting. 11. Based on the review and recommendations of the committee members and approval of ED, the business plan being implemented shall be reviewed, revised and updated. 12. The decisions of meeting shall be minuted & circulated to all committee members by VP. Action for overall increase in operational efficiency shall be communicated to all concerned by VP. He shall monitor progress and submit the status report during the next review meeting. All the responsible authorities to implement the action plan shall be empowered to take appropriate actions required for meeting the business goals. 13.Business plan shall be controlled indicating Ref.No. Title, Rev.Status, Issue No., Issue Date, Rev. Date, Approval Signature and Distribution List. 14. The controlling authority for both short term and long term plans shall be VP while approving authority shall be the ED.

15. There shall be no separate Controlled status indicator for the Business plan.

16. The numbering logic of Business Plan shall be as follows : -BP-XX
