INTRODUCTION CAD STANDARDS


The purpose of this document is to serve as a specification for producing and delivering CAD drawings for Rutgers University - Office of University Facilities Construction Projects. The guidelines are intended to ensure the successful use and control of CAD systems and data throughout Rutgers University. These requirements must be followed and meet by in-house and outside A/E firms. The main A/E firm shall enforce these standards with there sub A/E firms. All submitted CAD drawings that do not conform to the following criteria shall be returned. The drawings are to be re-submitted once all requirements have been meet. Before a project can be closed out and final payment from Rutgers University rendered, all specified materials must be submitted to the appropriate Rutgers Project Manager or representative in accordance with production standards and special instructions described throughout this document. A signed copy of the CAD Standard Checklist found in Section One (page 4) of this document must also be submitted with the CAD drawings being delivered during any phase (Design Phase 2, 3, 4A, 4B, & 4C, Bid Set, Addendas, Conforming & As-Builts/Record) of the project. When a CAD Standard Checklist has been signed and submitted, the vendor (architect, engineer, contractor, etc.) is assuring that all materials submitted is to the required standards and guidelines set forth in this document. CAD drawings delivered for a Rutgers University project must be accompanied by a submission of the following checklist. When a checklist has been signed and submitted, the vendor (architect, engineer, contractor, etc.) is assuring that all materials adhere to the standards and guidelines set forth in this document. SECTION 2.0.0 CAD DRAWING PRODUCTION FILE FORMAT and SETUP


Electronic File Format
A CAD Start Package shall be supplied to all A/E Firms upon acquiring a project. Contact the Project Team Leader to receive this package. Upon completion of a project and record drawings are completed they shall be in .dwg format in AutoCAD Release 2006. The drawings should be checked to see if they confirm to all the standards set forth in this document. When submitting drawings the A/E signatures must be on all documents before proceeding any further. These files are to be stored on a compact disk (see section below for additional information). An alternative method is to upload the files to the University Facilities FTP Server (See Project Team Leader to obtain access) or clients FTP Server along with a login username & password.

The Jewel Box insert of the CD shall contain the following:


Project Name Rutgers Building Name and Number Architect / Engineer As-built designation with final as-built submission date List of all electronic drawing files. Only ONE Rutgers Project per CD.

All drawing filenames shall be named in relation to the name that appears in the title block. A random filename made from numbers is NOT acceptable. It must describe the drawing in question and relate to the drawing title. Abbreviations are acceptable as long as they are clear and easy to understand.

Sample of CD Cover. The above criteria must be followed, If not, the jewel box will be returned for corrections. It is critical that all pertinent data be presented properly to the end user. All other extemporaneous data utilized to create drawings are to be deleted. The end result should be a self-contained, ready-to-use, user friendly drawing package. If submitted thru FTP the CD cover page and list of the Contract Drawings can be submitted in a digital file with the drawing files.

Drawing Organization
1. All drawings shall be oriented in the same way; i.e. north arrow (as close to true north) pointed to the top of the page for all plans and site drawings. Xrefs shall contain all the disciplines drawing entities that pertain to each dwg on there proper layer (etc). The Sheet drawings shall contain all annotation, text, schedules, notes, markers (detail, elev., section etc.) drawing titles (in paper space) and dimensions (in model space). The A/E should wait till the amount of dwgs is known so they can be named accordingly to the Drawing File Number Assignment Standardization Procedure before starting to xref the base plans to the sheets. Drawings are to be organized and filed in the structure shown in Diagram 1.0, easily read and free of stray elements. All drawing elements must be laid out in the correct drawing order. Each base (xrefs) plan created of each floor must have Plines drawn on a layer labeled A-Anno-Plines. This layer shall consist of a tracing of every room using a single continuous closed pline to the centerline of all walls that define that room. All drawings must be purged completely to remove all unused blocks, dimension styles, layers, line types, plot styles, text styles, multi-line styles, etc. The A/E shall be responsible for preparation of the bid set of drawings; See Section 5.0.0 for the current procedure on handling the Set Process for the Bid, Addenda, Conforming & Record Sets.

Scale and Units


All CAD drawing should be drafted at full scale in architectural units, such that 1 dwg unit = equals 1 inch.

Blocks
Rutgers is currently not using or enforcing the use of any particular blocks or libraries. However, Rutgers requires that the following general rules be employed when handling block entities: 1. All entities within a block must be created on layer 0. 2. Drawing entities translated into AutoCAD blocks from non-AutoCAD systems must revert to layer 0 when exploded within AutoCAD.

Border / Title Block


Rutgers University issues a standard border / title block that shall be used in all Rutgers University Drawings which is to be xrefd into the sheet files (The border & associated text shall not be altered in anyway). The border / title block contains attributes that must be filled out properly. These attributes are a separate block from the border, also included in the start package. Additionally, the full titles (logos) of the Project Architect and Engineer must be place in proper area. Please see below for the correct placement and format. All Drawing Revisions must be properly noted in the revision list as depicting the number and date of revisions. They must be noted clearly and concisely and shall include at least 6 lines for revisions. Revisions on the drawing areas shall be clouded and tagged with a delta triangle stating which revision number it in relation to. The revision number in the triangle must coincide with its revision in the revision list.

Size and Material In an effort to maintain consistency in our permanent records of all the University's buildings, all completed construction documents must be produced on Mylar plastic, matte finished both faces. Standard sizes shall be as follows: Arch D - 24" x 36" Arch F - 30" x 42" (preferred size)

Drawing Title The A/E title block and name of project shall be in a vertical format down the right-hand side of the drawing, or blocks in the lower right-hand corner are preferred. Project Name shall match the title of the project on the project budget analysis sheet (PBA). Project Number (cross-referenced to budget number). Building Number. Area large enough for A/E's signature and seal Drawing Number The A/E shall ask the Project Manager for the building number. This number shall be on all drawings. Use "T" for title drawings, "SP" for site work, "A" for architectural, "FS" for food service, "FL" for interior design or furniture layout, "LF" for laboratory furniture, "S" for structural, "P" for plumbing, "HVAC" for heating, ventilating, and air conditioning, "M" for mechanical, if plumbing and HVAC are combined, "FP" for fire protection drawings, "E" for electrical drawings, and ME for mechanical and electrical combined. Title Sheet / Cover Sheet A title sheet included in the CAD Start Package shall be included on all projects. Indicate sheet numbers and description. After the title sheet is developed the A/E shall consult with the Project Team Leader and the Manager of Document Services to assign a block of numbers to the project. The title sheet shall have the following minimum information: 1. 2. 3. 4. 5. Index of all drawings included in the Contract Documents, this should include the Rutgers Drawing File Number/Sequence number. Location map indicating the location of the project on the particular campus or within the town it is located. Campus maps are available from the Manager of Document Services. List of symbols and abbreviations used in the Contract Documents. Abbreviations used on the Drawings must be industry standard recognized abbreviations and must be consistent throughout the construction documents. Policy on Model Space and Paper Space


Model Space Only. Both the drawing model and the drawings title block are contained in the same model space environment within a single CAD file. The paper space environment is not used. This method is not allowed and will not be accepted. Model Space and Paper Space Combined. Each CAD file is set up to contain only one title block in paper space which references the building model(s) contained in model space. In the occasion where more then one border per CAD file is needed, tabs maybe created to accommodate multiple sheets.

Policy on External Reference Files (Xrefs)


1. All xrefs are to be inserted into sheet file (s) as an Attachment or Overlay using Relative Path as the Path Type. Utilizing the file structure above (see diag 1.0) & setting the xref to Relative Path, the drawings can be moved as needed and still maintain its links. Eliminating any further maintenance to re-link the xrefs. Xrefs can be bound and packaged. Binding an xref to a drawing makes the xref a permanent part of the design drawing. Keeping all files together as a package allows functionality in any situation. This method is allowed but is not preferred and needs to be approved prior to submitting of drawings. Rutgers Standard Border shall be xrefd. The text/attributes shall be inserted into each sheet as an independent element. The text block shall not be altered (exploded, rearranged, etc.) in any way.

LAYERING
General Rules and Uses
Rutgers University has adopted the AIA CAD Layer Guidelines Second Edition (For layer naming only. See Attributes (Colors & Pens) for the explanation of colors & how they depict the lineweight). The listing can be accessed from the AutoCAD Layer Manager. Instead on hitting the New Layer button hit the one next to it New Layer from Standard. This will activate a dialog box where the layer convention has been laid out for the user (See Diagram 2.0).

Attributes (Colors & Pens)


Colors 1-Red being light (thinnest) to 7-White being the darkest (heaviest). For ghosting / background 250Dark Grey being the darkest (heaviest) to 255-Lt. Grey being light (thinnest). See Diagram 2.1 & 2.2 for additional information.

Policy on CAD FILE TRANSLATION Error-free AutoCAD Drawing Deliverables:


Rutgers University recognizes that many of its A/E Firms do not use the same CAD systems as the University. However, it is expected that A/E Firms who work with non-AutoCAD file formats will submit DWG formatted CAD files upon project closeout that are fully compliant with all of the standards outlined herein, and which have no significant loss of drawing entities or project data that can result from standard CAD file translation procedures. All DWG files and CAD drawing entities submitted at the end of a project must be able to be manipulated using standard AutoCAD drafting procedures. Non-compliance with this policy may result in the rejection of CAD files submitted at project closeout in addition to delayed rendering of final project payment. DXF files will not be accepted at project closeout as a substitution for DWG CAD file deliverables.

Translation Testing Recommended:


For firms translating their native CAD file format into AutoCAD format also concerned about delivering errorfree CAD files to Rutgers upon project closeout, it is strongly recommended that thorough file translation testing be conducted before the drawing development phase of the project. This will assure early detection of file conversion issues, if any, and allow for corrective measures to be taken before the project closeout period.

SECTION 3.0.0 DRAWING FILE / SEQUENCE NUMBER STANDARD


To eliminate confusion in our routine day to day design drawing activities, a standardized system will be implemented whereby all drawings will be identified with significant file numbers at the initial onset of each and every project (CAD / Drawing Board). The system delineates detailed information which is a prerequisite for compliance with the computerized Rutgers Facilities, Utilities & Geographic Information System. Included in the system are the procedures for drawing release and revision. A Step By Step Procedure Is Outlined As Follows (for Internal Use Only):

DRAWING FILE NO. ASSIGNMENT PROCEDURE


1.1 A review of the project by Architect/Engineer/Designer is conducted to ascertain amount and type of drawings required (In the As-built Phase). 1.2 A request is made to the Document Services Dept. for a total amount of dwg file number assignments affecting that project. (Including all trades) Call 732-445-2430 x674 Anne Filosa. 1.3 All pertinent information concerning each drawing is given to the Document Services Dept., at that time. I.E. Dwg. types - Mechanical. Structural, Architectural, Electrical & etc 1.4 For sizeable projects, additional numbers in the same numbering sequence will be reserved to insure project number continuity in the event additional drawing number assignments are required. (Upon request and when applicable) 1.5 The Document Services Dept. will maintain a hard copy project log designed to follow projects from inception till completion. The log will contain drawing and project status on an on-going basis.

DRAWING FILE NO. SAMPLES


2.1 A sample significant building dwg file number will look like this: BSH3573A001 Numbered Issued = BSH CAMPUS 3573 BLDG. NO. A DWG. TYPE (ARCH) 0001 SEQUENCE NO.

2.3 CAD/Scanned Bldg. Dwgs. - For bldg. drawings that are on CAD or scanned, the building number and the sequence number only will be used for drawing identification and retrieval. 2.4 CAD/Scanned Utility Dwgs. - For utility drawings that are on CAD or scanned, the Campus, Utility Designation and the Sequence number only will be used for drawing identification and retrieval. (Sample From Item 2.2) BSHU0001 = BSH CAMPUS U UTILITY 0001 SEQUENCE NO.

REVISION PROCEDURE
Revisions to existing released drawings (drawn in-house) will be as follows: 3.1 A reproducible copy translucent bond of the dwg to be revised is to be placed in file. This copy will be marked 'void-superseded by new file No.____.' It will replace the original dwg. that will be revised. 3.2 Assign new file no. to revised dwg and also record this no. on the superseded file copy, (see dwg. rev. procedure 3.1). This will cross reference the two (2) drawings and render the preview issue (on the superseded dwg.) intact. 3.3 Make the change to the original file dwg and indicate the revision description in the change block area. 3.4 The revision issue column in the change block area will utilize the alphabet (circumscribed by a triangle) to identify each revision (A). 3.6 An Approved By column is to be added to the change block area next to the date column. Each revision issue must be initialed by the Project Manager prior to formal release print issuance. (See dwg. revision procedure 3.4)

REVISION PROCEDURE
Same as dwg revision procedure 3.1 for drawings made in-house except: 4.1 A reproducible copy (vellum/mylar) is made from the original dwg. Revisions are to be made to the reproducible copy. 4.2 The original file dwg remains intact should litigation become an issue in the future.

NEW DRAWING RELEASE PROCEDURE


5.1 All fields in the title block area of the dwg are to be completed and a comprehensive description of the project and dwg title is mandatory for documentation and future reference. - 14 -

5.2 The situations listed constitute a formal dwg release and must be signed by the Rutgers University Architect: A. Prints issued for bids B. Prints issued for construction 5.3 The change block area of the dwg (above the title block) must indicate the reason for the issue. i.e. Issued for Bids, Issued for Construction etc. (see dwg. revision procedure 3.4) 5.4 The first formally released dwg will display A in the issue column of the change block. (See dwg. revision procedure 3.4) 5.5 In the event that a new dwg is created from information extracted and modified from any file dwg, a cross reference notation in the changed area of the file dwg is to be made to reference the new dwg. This will update and highlight the change area of the file dwg for future reference. 5.6 If dwg. is to be formally released (see new dwg. release procedure 5.2), the project log is to be updated and dwg. is to be turned over to the Document Services Dept. for documentation and print distribution. At this time a copy of the log will be placed in the main design service request (DSR) file folder. This cross references the dwgs affected by the DSR. 5.7 If dwg is not to be released at time of completion and kept on hold, it is to be stored in the preliminary dwg file cabinet in the appropriate campus area drawer. At this time the project log is to be updated in the remarks column with the reason for the hold.

SECTION 4.0.0 ROOM NUMBERING ON FLOOR PLANS


With over 800 buildings, in 1970 Rutgers adopted a standard method of handling room numbers which should be adopted from the earliest possible point in the design process and carried throughout to completion. The A/E shall use the Rutgers Room Numbering System on all drawings. At design development completion, the A/E will work with The University Planning Department and the Office of Scheduling and Space Management to develop room numbers consistent with the University system. Consistent room numbering will facilitate matters for numerous organizations including Inventory Control, Fire and Emergency Services, and the Facilities Maintenance Services. Nothing can be more confusing than several different room numbering systems for the same building. Therefore, the following procedure shall be followed by all A/E's. The system depends on some basic definitions as follows: Corridor: A space normally used for pedestrian traffic, at least 5 feet wide and enclosed by solid walls. Vestibule: A space used for traffic that is a point of ingress or egress to a building, with doors on two walls. Room: A clearly defined space not normally used for through traffic and enclosed by solid walls. First Floor: The lowest floor of any building which is at least 50% above surrounding grade. Lobby: A space used for traffic that is a point for ingress or egress to a building or floor from upper or lower floors. In general, room numbers will consist of three digits with the first digit designating the floor. Basement rooms will use a zero (0) as the first digit. If there are floors below the basement, the first level below would be considered the sub-basement and given an S prefix i.e. S001, S002. In very rare occurrences, there will be a floor between the basement and the first floor that cannot be considered the first floor. For those situations, the floors will be considered ground floors and given the prefix G i.e. G001, G002. In general, all floors of the building should have similar patterns. Numbering patterns should begin at the end of the corridor nearest the main entrance or lobby. Even numbers should apply to rooms on the right side of the corridor and odd numbers to rooms on the left, moving away from the entrance. Numbers should be in direct sequence, and only one number should be applied to one room regardless of the number of doors to that room off the corridor. Rooms which have no direct entrance from a corridor should be designated by adding a letter after the number of the room through which they are entered from the Corridor (101A). If they can be entered through more than one room, the number of the room most frequently used to gain access should be used While this system is quite sensible, its basic premise assumes a fairly simple floor plan, a situation which seldom occurs in actual practice. Most new buildings have complicated floor plans designed to suit a specific purpose without consideration for creation of any rigid geometric order, and numerous alterations and additions to older buildings often wreak havoc on established room numbering. However, it is possible to establish a fairly reasonable room numbering plan for virtually any building, provided that the basic rules are applied and tempered with common sense and judgment. It is essential that the numbering system for new buildings or renovated buildings be developed by someone thoroughly familiar with the system and the University. Once the basic floor plan is established, prints shall be submitted to the Office of Facilities where the appropriate room numbering system will be marked on the prints. Room numbers will be indicated with a rectangle drawn around each number. The marked prints will be returned to the A/E with instructions to adhere to the established room numbers on all subsequent submissions. Inevitable changes arising during the design process, as they affect room numbering, will be cleared with the Office of Facilities. - 16 -

Doors should be numbered with a system which reflects the room number to which the door allows access. For example, the door to room 104 should be labeled "104/1" or "104/A" or similar system. After the final plans are approved, the A/E shall prepare a separate room numbering plan, drawn to a scale of 1" = 20' on 17" x 22" Mylar transparency showing all rooms and spaces, with numbers as indicated above, and names. This drawing shall also be transmitted to the University in CAD format on a computer disc (see CAD Files below for submitting procedure). All CAD files must be AutoCAD release 12 or higher. Drawing shall be accurate enough to show such things as distinctions in thickness of major walls and interior partitions. Plan shall also show all entrances and exits, stairways, elevators, service areas and major architectural features, such as window walls, plazas, ramps and loading docks. Dimensions need not be shown, and details not pertinent of the general layout should be omitted.

SECTION 5.0.0 SET PROCESS & ADDENDA SET PROCESS


This procedure shall be followed herein in accordance with this standard unless noted otherwise in the Project Contractual Agreement. The Phases of the bid process are as follows: 1. Bid Set 100% Design drawings used for the bidding process. The submitting of this set shall be as per the Projects Contractual Agreement. All electronic drawings must have all corresponding signatures attached. Non-signed drawings shall be rejected & must be resubmitted. Contract Set Same as Bid Set with the addition of any Addendas issued. Addendas can be issued on any size media to best suit the needs pertaining to that addenda. The submitting of this set shall be as per the Projects Contractual Agreement. All electronic drawings must have all corresponding signatures attached. Non-signed drawings shall be rejected & must be resubmitted. Conforming Set Shall be the latest set of Bid Set drawings with the Addendas, Clarifications & Bulletins incorporated into documents. The Conforming Set shall only be created / submitted after the bidding process has ended and handed to the G.C. prior to construction. The Conforming Set shall be submitted on the same size mylar media as the original Bid Set. New mylar sheets shall be created and added to the set along with the Cover Sheet/Drawing List updated to reflect any/all drawings added. The submitting of this set shall be as per the Projects Contractual Agreement. All electronic drawings must have all corresponding signatures attached. Non-signed drawings shall be rejected & must be resubmitted. As-built / Record Set The marked up Conforming Set/As-built created by the General Contractor during the construction process shall be submitted to the A/E. The Record Set shall be made from the updated electronic files reflecting any changes during construction. The submitting of this set shall be as per the Projects Contractual Agreement. All electronic drawings must have all corresponding signatures attached. Non-signed drawings shall be rejected & must be resubmitted.

ADDENDA
Sketches/Drawings from the suggested markups from the contractors shall be created. They may be issued on any size media to best suit the needs pertaining to that addenda. They shall be submitted to The Office of University Facilities for review (Contract Set) as per the Projects Contractual Agreement Upon addenda approval, an electronic copy along with updated mylars shall be sent to the Facilities Document Services (Conforming Set). The changes shall be highlighted by using a revision cloud, along with a delta triangle stating the revision. The revision can be labeled by either alpha (ex. A, B etc) or numeric (ex. 1, 2 etc) characters, but the delta and revision block must have matching characters.

Contact your Project Team Leader regarding info on any of these processes. All sets are to be submitted in the same manner as the Bid Set. Bid Set - Electronic Version 1. The 100% completed design drawings (AutoCAD 2006 .dwg format) & specs (.doc/.pdf format) signed by A/E Firm are sent to The Office of University Facilities for the signature of the University Architect. 2. Upon signature completion drawings & specs are sent to Triangle Arts Online Plan Room. Bid Set Media Version (Paper, Mylar etc.) The following sets (drawings & specs) are required as per Contractual Agreement (purchased thru Triangle): 1. (1) Unbound set of Mylars drawings & specs signed by both the A/E Firm & University Architect. 2. (5) Sets (drawings & specs) to be purchased & sent to A/E Firm to be signed and sealed (Raised seal required- NJ Requirement). These sets (drawings & specs) are to be delivered to University Facilities at Bid Opening meeting. Addendas - Electronic Version 1. Updated electronic files (signed by A/E Firm) are to be sent via Email or FTP Site (either Rutgers or A/E Firm) to the University Architect for approval. 2. Upon signature approval the Addenda are signed & sent to Triangle Arts Online Plan Room. Addendas Media Version (Paper, Mylar etc.) The following sets (drawings & specs) are required as per Contractual Agreement (purchased thru Triangle): 1. The required sets (drawings & specs) of the Addenda shall be sent to The Office of University Facilities on any media that best suits that addenda prior to bid opening. 2. Updated full size drawing Mylars (Matching the Bid Set submission size) of each revision marked & tagged (see the CAD Standards for additional information) are to be sent to Facilities Document Services for archiving. Contract Set/Bid Process 1. Upon arrival of the updated drawings & specifications of the Bid Set & Addenda the Contract Set for Bid Opening will be compiled. Conforming Set/Archival Process 1. Upon arrival of the Mylars & electronic drawings of the Bid Set & Addenda, the Conforming Set will be compiled. As-built Set (Drawings & Specs) 1. A/E must submit a legible marked-up copy of the General Contractors as-builts accompanied with updated signed electronic drawings with the changes incorporated (Record Set). Send to The Office of University Facilities for the signature of the University Architect. Record Set (Drawings & Specs) 1. Upon completion the Record Set (drawings & specs) are sent to Triangle for Mylar reproduction & billed to A/E Firm as per Contractual Agreement.
