Prepare a report for meeting and attend all PTSO meetings
ACE and ASMHS
Organize ACE & ASMHS Retreats/Bondings
Make calendar handout of events for ACE and ASMHS
One for each semeser
Facilitate and make agendas for ACE and ASMHS Meetings - have them approved first & sign
before copying (sample is attached)
Find the minutes from the meeting before, take the agenda and LD-LT them on the copy
machine until it says 65%
Activities
Organize Freshmen Orientation
Look over existing sessions and revise
Edit script - VP and President Emcee
Make sure the bell schedule for every session is set
Organize Complex Leadership Workshop
Make handouts for How to Be a President
Create agenda for meeting portion
Edit existing schedule for the day

Make sure gifts go to every Kaiyo student and a plaque goes to their school
Revise activities/stations and assembly schedule/schedule for the day
Look for performances - ex. Kumu Wongs hula, Ukulele performances by students
Find food to give samples for Kaiyo students

Activities listed are activities lead/organized by the President, but as President and a part of
council you should always help with other tasks
Assist with anything else the council needs to do as a whole, you overlook everything so be
a part of everything












SAMPLE ASMHS AGENDA: Everyone should have a report of what they have been doing the past week,
towards the end of the year make up reflection questions about the past year. New business from the last
meeting should always be moved to old business in the next meeting, and will stay there until the event
and the debrief of the event is finished. Make sure to sign the agenda, and that secretary signs minutes.

SAMPLE OF HOW TO BE A PRESIDENT HANDOUT - Helpful for you too, and what was used for the
Complex Leadership Workshop to teach the elementary Presidents. You may use this handout or make
your own, most of the Presidents are older and there are middle school presidents, so the worksheets
should serve a wide range of students.

Always Remember
As a president, you must not give your opinion, and can not vote, unless there is a tie (neutral)
Be fair if there is a debate. You must hear everyones opinion.
When opening a meeting, do it at the scheduled time
Write the time down when you start and end (your secretary should be recording it in their minutes)

SAMPLE CALENDAR: Make one quarterly or per semester, but let them know even if there isnt a meeting listed, to
assume there is one. The calendar will change, so remind them to be making changes as well. Make sure everyone
gets one.




1. All agendas for Monday meetings should be completed by President at latest by Sunday night,
edited the next day by Advisor and printed before meeting

3. It is expected that there are always ACE or ASMHS meetings unless it is informed there is none

Letter to Incoming President
Dear Future/Current President,

Thank you for volunteering for this position. You have courage for taking it, and throughout the year you will be busy,
and stressed, and sometimes frustrated, but you can definitely do it. This year, I got to write columns for the Trojan
Times (even though my picture was the worst), emcee the Homecoming Halftime show, and organize service
projects. Theres a lot to this position, but in the end I think youll miss it a lot. At times it will seem overwhelming,
especially during Homecoming, but once the week is over, youll stand back and look at everything youve planned
and feel so rewarded.

To be honest, being President isnt at all what Id thought it would be when I first decided to run for it. With two
leadership classes I was able to get a lot done at school, and I got used to staying after school almost every day. I
thought I would dread the time commitment, but after a slipping into the routine, it became easy to handle. Just in
case you find yourself stretched too thin, heres some tips about being a stupendous President while maintaining
sports or other activities, grades, and your social life:

1. Stay calm and relax once in a while. If you feel overwhelmed, the worst thing you can do to your council is
fall apart. Theyre relying on you to be calm, collected, and to delegate their tasks. Advisors help a lot with
knowing what needs to be done, and theyve got your back. Dont worry too much about everything that
needs to be done and focus on the overall job task by task.
2. Meet the deadlines you make for yourself. Ive always had good time management, but with all the tasks a
President needs to do, sometimes I lost track of deadlines along the way. If I knew I had a busy week, I would
write out my schedule and what needed to be finished, and the absolute last minute that it could possibly be
done. Checklists really work, because you feel accomplished when you check something off, and theyll help
to remind you what you need to do.
3. Lead as a part of the group. One of the most valuable lessons I learned from
life is that people hate when others tell them what to do or boss them around.
You cant tell others what to do if youre not willing to do it yourself. A leader
truly overlooks everything the group is taking care of, and assists and checks up
on them as much as possible. This was my favorite way to look at it, because
being a leader means working together while dictating, not just dictating alone.

As long as you learn time management, youll do amazing. No matter what happens,
always try your hardest, because what you put into the event is what youll get out of
the event. Double-check, triple-check, do whatever you have to to make sure that the
planning is the best it could be. ASMHS is all about ensuring the student body has the best possible year as far as
events and assemblies, and if time isnt taken to plan for the event in advance, the year will be rough. That said, youll
always hear complaints from students, and remember that its important to keep in mind that some things cant be
helped. Think positive, take the complaints as considerations, and do what you can to make it better the next time.

I highly suggest making lists like these when signing people up so they dont forget to do their task! Put it up
somewhere to remind them.

I made this for Valentines Orders. If possible do not use Word, it will probably just make you angry. This is all
information that needs to go on order forms for Valentines Day. There is a binder of Valentines orders somewhere
in the room.

These really help students know the schedule and the spirit days! I made this for some of the spirit weeks, and
everyone references them during that week.
