APPENDIX A Manual for Practical Training 1 Guidelines for Practical Training GUIDELINES FOR THE PREPARATION OF PRACTICAL TRAINING REPORT (These Guidelines are part of contents in the Manual for Practical Training)
1.0 INTRODUCTION TO PRACTICAL TRAINING
Practical training is structured for a combined period of 6 months where students spend on industrial placement allowing them the opportunity to exercise their technical and managerial skills in real situations. This shall contribute towards enhancing career knowledge and early exposure of professional training to equate with current practice.
1.1 Objectives
Upon completion, students shall be able to:
i. Expose themselves with the current quantity surveying practices ii. Familiarise with office procedure through systematic working environment iii. Improve confidence through a systematic working approach and communication with office staff iv. Provide an opportunity for students to interact and liase with the various parties involved in the construction team v. Provide an opportunity to conduct a small-scaled survey and/or investigation on a particular area of interact and the capability to prepare a systematic structured technical report vi. Improve thinking skills in carrying out duties
To achieve these objectives, the practical training report shall be done in such a way that these objectives are met, especially on the overall understanding of the industry working environment. The report shall be original work of the student.
2.0 PRACTICAL TRAINING REPORT
Students are required to submit the tasks in the form of reports and specific works assigned. The assessment and appraisal of the students performance are as follows:

2.1 Report A: Project Report
Students are given the option to write a report on, either pre-contract or post- contract stage of the construction project, depending on the firm/organization the students are attached to.
Pre-contract report: The project must be either at construction stage or have been completed within a year.
Post-contract report: The project must be completed within the last two years.
(Refer Appendix 1, 2, 3 and 4 for details of Report A).
2.2 Report B: Data Collection and Brief Analysis
Students are required to collect data and prepare relevant analysis on the data collected.
Topics of the report must be based on availability of the data and ease of doing the analysis. The topics shall be ONE of the following:
i) Construction Material Prices ii) Labour Prices iii) Plant and Machinery Prices iv) Residential Building Selling Prices v) Office Rental Prices vi) Feasibility Study vii) Preparation of Final Account viii) Contract Management
(Refer Appendix 5 for details of Report B)
2.3 Employers Appraisal
This appraisal serves as a feedback from the employers on the overall performance of the students during practical training and will form part of the assessment.
2.4 Log Book
Students are required to record their daily activities in a log book. The log book shall be checked by the supervisor every week or once in every two weeks.
Students are required to read and understand all instructions given in the logbook and duly fill all information required. They shall also record precisely the nature and scope of work done and keep all entries updated, e.g. project title, scope of work related to the project.
A sample of logbook and log book entries is attached as Appendix I and Appendix II respectively.

2.5 Special Task
Students are required to prepare Elemental Cost Analysis (ECA) as a special task. The Elemental Cost Analysis is based on the manual and standard form prepared by Institution of Surveyors, Malaysia. The Assessment Coordinator shall brief the students on this special task, which includes the following:
The project selected for the ECA shall fulfill the following criteria:
i) project handled by the firm/organisation in which they are attached ii) project shall be awarded within the last three (3) years, either under construction or already completed
Preparation of ECA shall be based on the ECA Manual by ISM. A complete submission shall comprise the following: i) ECA Form 1, 2 & 3 ii) A3 drawings on plans, sections and elevations. iii) Calculation of gross floor area (GFA) iv) A copy of the General Summary of Contract Sum (cost breakdown)
Students are strictly prohibited from reproducing completed ECA from ISM (Institute of Surveyors Malaysia) or ECA prepared by other firm/organisation.
2.6 Interview
Interview will be held by lecturers towards the end of practical training session to assess their learning progress and to gauge the employers comments.
During the visit, the lecturer shall assess the following aspects:
Type/quantity of job/work undertaken Understanding of the office procedure and Quantity Surveyor tasks The students learning and attitudes progress. Understanding of the written report.
2.7 Attendance
Students are required to give full concentration on the practical training at all time as specified by the Coordinator. They are not allowed to ask/take any leave from the place of training unnecessarily without permission of the firms supervisor.
Attendance shall be recorded in the attendance sheet provided, weekly signed and endorsed by the firms supervisor. The attendance report will become a basis for the firms supervisor to assess the students commitment on the training.
A sample of attendance sheet is given in Appendix III.

3.0 FORMAT OF WRITTEN REPORT
Students are required to prepare the reports in a systematic manner.
Students shall request from the supervisor an allocation of one hour per day for the preparation of reports.
The format of the reports shall be as follow:
i) All reports shall be typed in double spacing, A4 size, Arial 11. ii) The reports shall be from reliable sources; a) Interviews with the relevant consultants and contractors. b) Newspaper reports and relevant magazines. c) Site visits. iii) Relevant photos and figures shall be attached together with the report where necessary.
4.0 SUBMISSION OF REPORT
A copy of the report shall be submitted to the visiting lecturer during the visit. The report / special task shall be the property of the Department.
The date of the visit shall be advised by the Coordinator prior to the visit.

APPENDIX 5: DATA COLLECTION AND BRIEF ANALYSIS
Students shall choose only ONE from the following topics.
1.0 CONSTRUCTION MATERIAL PRICES
a) Objective : To gain knowledge on construction material prices
b) Methodology : i) Quotations from materials suppliers ii) Information from relevant newspapers and magazines iii) Construction materials brochures iv) Other relevant sources
c) Student shall select between 15 20 construction materials prices from 3 different suppliers for each material. The prices shall be within the last 2 years.
d) Student shall select 2 of the construction materials in c) above for further analysis on difference in material prices between two different regions. The regions shall follow the regions adopted by PWD. (Refer Table: 1) The rates for the 2 materials shall be from minimum 10 suppliers from the same region.
e) An analysis shall be given in the report. i) the price range and the average price for each material ii) the price difference between the 2 selected materials in item d) and the possible reasons for the price differences.
f) The report shall be between 1500 2000 words. (not including appendices)

2.0 LABOUR PRICES
a) Objective: To gain knowledge on various labour prices in the construction industry and the factors affecting labour prices.
b) Methodology: i) Interviews with contractors and labourers ii) Interviews with quantity surveyors iii) Rates from bills of quantities iv) Other relevant sources
c) Students shall select between 10 to 16 trades of different labour categories and sub-contract labour cost within the last 2 years from at least 10 sources.
d) An analysis shall be given on the labour prices: i. the labour price range and the average labour price for each labour ii. the possible reasons for the differences in labour prices.
e) The report shall be between 1500 2000 words. (not including appendices)
3.0 PLANT AND MACHINERY PRICES
a) Objective: To gain knowledge on the hiring cost of plant and machinery commonly used in construction site.
b) Methodology: i) Visits to construction sites ii) Interviews with contractors iii) Interviews with quantity surveyors iv) Quotations form plant selling/hiring companies v) Other relevant sources
c) Student shall compile 2 sets of data: i) Hiring cost of a minimum of 10 plants and machineries commonly used in construction site from Table: 3, from at least 3 plant-hiring companies within the last 2 years. ii) Student shall select 2 of the plants and machineries in (i) above for further analysis. The hiring costs for each of the selected plants and machineries shall be from minimum 10 plant-hiring companies.
d) An analysis shall be given in the report: i. the hiring cost range and the average cost of hiring for each plant and machineries. ii the hiring cost difference between the 2 selected plants and machineries in item c (ii) and the possible reasons for the difference.
e) The report shall be between 1500 - 2000 words. (not including appendices)

4.0 RESIDENTIAL BUILDING SELLING PRICES
a) Objective - To gain knowledge on the selling prices of residential buildings.
b) Methodology : i) Interviews with Estate Agencies/Developers ii) Price list from National Housing Department iii) Relevant information from newspaper and magazines iv) Other relevant sources
c) Student shall compile 2 sets of data. The type of residential buildings is given in Table : 2. i) a minimum of 10 samples of similar type of residential buildings from the same region ii) a minimum of 10 samples of similar type of residential buildings located in another region.
The projects shall be advertised within the last 6 months. The brochures, newspapers, etc for the projects shall be attached with the report as Appendices.
d) An analysis shall be given in the report i) the range of selling price per m 2 gross floor area for residential buildings in the same region/different region ii) the possible reasons for the differences in the selling price of the residential building.
e) The report shall be between 1500 2000 words. (not including appendices)

5.0 OFFICE RENTAL PRICES
a) Objective : To gain knowledge on the rental prices of office buildings.
b) Methodology : i) Interviews with Estate Agencies ii) Relevant information from Malaysian Property Reports, newspaper and magazines iii) Other relevant sources
c) Student shall compile 2 sets of data i) a minimum of 10 samples of similar types of office buildings from the same region ii) a minimum of 10 samples of similar types of office buildings located in another region.
The rental prices shall be within the last 6 months. The source of information used by the student shall be listed in the report.
d) An analysis shall be given in the report i) the range of rental price per m 2 gross floor area for selected office buildings in the same region/different region ii) the possible reasons for the differences in the rental prices of the office buildings.
e) The report shall be between 1500 2000 words. (not including appendices)
6.0 FEASIBILITY STUDY
a) Objective: To gain knowledge on the consideration factors for preparation of Feasibility Report for various types of project.
b) Methodology: i) Identify the procedures for preparing the feasibility report ii) Secure samples of feasibility report of various types of projects from Quantity Surveying Consultants firm iii) Make a comparative study by analysing the content, basis for the estimate, the depth of the report etc. iv) Set an interview with the Quantity Surveyor to seek further clarification on the preparation of feasibility study and the problems encountered.
c) The student shall choose a minimum of two (2) samples of feasibility report to be analysed and attached as Appendices. The feasibility report prepared by the firm/organisation shall be completed within the last 3 years.
d) An analysis shall be given in the report. Student shall identify the procedures in the preparation of feasibility report. A comparative study on the two selected feasibility reports is on the content, the basis of the estimate and the depth of the feasibility report.
e) The report shall be between 1500 - 2000 words. (not including appendices)

7.0 PREPARATION OF FINAL ACCOUNT
a) Objective: To gain knowledge on the preparation of Final Account.
b) Methodology: i) A final account together with the contractors claims on the variation works for a construction job ii) Interviews with relevant consultant and contractor firms iii) Other relevant sources
c) An analysis shall be given in the report. The report shall be based on the content and the problems encountered during the preparation of Final Account of a selected project. The project shall be completed within the last three (3) years and the Final Account for the project shall be attached as Appendices.
d) The report shall be between 1500 - 2000 words. (not including appendices)
8.0 CONTRACT MANAGEMENT
a) Objective : To gain knowledge on contract management
b) Methodology : i) Literature search ii) Reference to relevant cases iii) Treasury Instructions iv) Public Works Department circulars v) Standard Form of Building Contract PAM 98/PWD 203/CIDB
c) Student shall select a minimum of two (2) of the following topics: i) Architect/S.Os Instruction ii) Practical Completion and Defects Liability Period iii) Extension of Time iv) Certificate of Payments
Student shall relate the selected topic to project(s) handled by the firm/organisation and to attach related document as Appendices.
d) An analysis shall be given in the report. Student shall identify the respective clauses in the conditions of contract adopted in the project and to compare and highlight the differences in the provision with either PAM/PWD/CIDB Form of Contract
e) The report shall be between 1500 2000 words. (not including appendices)
