Abstract The DAVV Online Portal aims to develop an online data collection system for Devi Ahilya University,
Indore. It stores, manages and retrieves information of UTDs, Colleges, Institutes, and University in quick access
manner, across the world using intranet/internet. DAVV Online Portal is a customized, generalized and simple,
automated system. It fulfills the challenge to put together the large depositories of information in time and cost
effective manner.
It is providing statistic information of student seats. This portal aids in easy storage and retrieval of students,
teachers record. It is to manage work flow in a collaborative environment. It allows a large number of people to
contribute and share stored data. It provides Control access to data, based on user roles (defining which
information users or user groups can view, edit, publish, etc.).It Improves communication between users and
administration of the University.

I. INTRODUCTION
DAVV Online Portal is web-based document management system (DMS). It is providing statistic information of
student seats. In this portal aids in easy storage and retrieval of students, teachers record. The term has some
overlap with the concepts of content management systems (CMS).
It is the collection of procedures used to manage work flow in a collaborative environment. It allows for a large
number of people to contribute and share stored data. It provides Control access to data, based on user roles
(defining which information users or user groups can view, edit, publish, etc.). It is Improve communication
between users and administrator of university.
Structure of the University
DAVV University situated in Indore city of Madhya Pradesh. A University has a Vice Chancellor as the Chief
executive of the University. Vice Chancellor who is either an eminent person appointed by the Government of
India (in central universities) or provincial Governor (in state universities). A Rector is the person who works at the
place of Vice Chancellor, till a new Vice Chancellor will not appoint to the University.

Statement of Problem
A problem statement is a concise description of the issues that need to be addressed by a problem solving team and
should be presented to them (or created by them) before they try to solve the problem. When bringing together a
team to achieve
A particular purpose provides them with a problem statement. A good problem statement should answer these
questions:
Student data Compilation is very difficult: University have sixty faculties, each faculty have board of studies, and
each board of studies running programs, and each program is divided in category. University approved seats
through Category. Student takes admission in any one category in which they belong. Any time authority of
university required filled seats data of whole University for business purpose. That time they need a system to
collected seats data from all colleges then compile and generate required result. That time complexity of data is
very high and it is very difficult to collect data from various colleges. Data collection process is manual so, it takes
more time for completion.
Student Record Centre: In current scenario of the University there is no online system to find out student record
easily.

Teacher Record Centre: In current scenario of the University there is no online system to find out Teacher record
easily.
Communication Gap: In current scenario of the University there is no online system to send and receive any
information to any college in any time for official work. There is more communication gap between student
information of colleges and university administrator.
Statistics Information: Any college or university needed statistic information of student seats for its business need.
Paper and time saving: In current scenario of the University all process is going through paper work so those
process is take more time to completion and more wastage of papers.
Data Privacy: Data sending and receiving process will be secure between university and colleges. Data will not
access between colleges.
II. DAVV ONLINE PORTAL TECHNICAL ARCHITECTURE
DAVV online Portal Architecture is designed to understand how different elements of Online Portal will work
together. This architecture provides a simpler, language-independent representation of Online Portal. It describes
architectural view of Online Portal as a whole together with defining the architecture at each module. The
architecture has fully defined its roles where it is responsible in order to provide flexible, stable and proven Online
Portal infrastructure. Thus, it is easier to understand the purpose of the architecture and how it helps in order to
implement and manage the Online Portal. The architecture also describes the procedure model, which consists of
four layers whereby each of the layers represents different kind of responsibility. The layers are known as the
presentation tier, common service tier, Online Portal service tier and the resource tier.

The presentation tier handles the interaction between the user and the application. It will work as a bridge between
user and implemented services of the Online Portal components. User send HTTP request and get HTTP response
whenever browses website of Online Portal. At the time of designing the presentation tier, the Human Computer
Interaction standards have also taken care of. It is also responsible to put only self- explanatory and meaningful

icons/contents on the website. Common service tier consists of Authentication and Authorization module, which
represents the service that every user needs to access Online Portal.
It also controls the functions, communicates with the presentation tier and presents the obtained result to the
users. Online Portal service tier consist of the eight components as Student Record Management System, Teachers
Information Management System, Student Seat Information System, Faculty Information management System,
Board of Study Management System, Program/Course Management System, Site Directory. This tier is
responsible to provide basic features of Online Portal application to the users. The features are provided according
to users request by calling the implemented services of Online Portals components. Resource tier is a bridge
between the database and resource repository server. This tier is responsible to manage resources in Online Portal
application on the basis of modules.

III. INFORMATION ARCHITECTURE


Most University Systems are web-based to facilitate "anytime, anywhere" access to manage content and
administration. The DAVV Online Portal is an internet-based software tool designed to run on the departmental
server into the IT centre, to manage colleges data of the University.
There are four kinds of "architecture" that are commonly accepted as subsets of an overall Enterprise
Architecture:
#Business Architecture
#Data Architecture
#Application Architecture
#Technology Architecture.
The combination of Data Architecture and Application Architecture is also referred to as the Information System
Architecture.

IV. BUSINESS ARCHITECTURE


A knowledge of the business architecture is a prerequisite for architecture work in any domain (data, applications,
technology), and is therefore the first architecture activity that needs to be undertaken.
1. Speed and quality DAVV Online Portal emphasizes on accelerating time for solutions, while still maintaining
quality.
2. Flexibility - DAVV Online Portal should incorporate flexibility to support changing university needs. It should
enable evolution of the architecture and the solutions built on it.
3. Integrated solutions - DAVV Online Portal should support the delivery of university solutions composed of
integrated application and infrastructure components.
Alignment of IT to business - DAVV Online Portal must align with the vision, objectives, and strategies and
should support the University operations.
Strategic use of relationships - DAVV Online Portal should leverage strategic relationships with other university
facilitate building and evolution of the IT architecture.
V. INFORMATION SYSTEM ARCHITECTURE
The combination of Data Architecture and Application Architecture is also referred to as the Information System
Architecture.

5.1 Data Architecture


The main aim of data architecture is to define the various sources of data that is understandable by users.

5.1.1. Data Principles


Complete - All private data is made available. Public data is data that is subject to valid privacy, security or
privilege limitations.
Primary - Data is as collected at the source, with the highest possible level of granularity, not in aggregate or
modified forms.
Timely - Data is made available as quickly as necessary to preserve the value of the data.
Accessible - Data is available to the widest range of users for the widest range of purposes.

Machine Processable - Data is reasonably structured to allow automated processing.


Non-discriminatory - Data is available to anyone, with no requirement of registration.
Non-proprietary - Data is available in a format over which no entity has exclusive control.
License-free - Data is not subject to any copyright, patent, trademark or trade secret regulation. Reasonable
privacy, security and privilege restrictions may be allowed.

5.2 Application Architecture


Technology Independence - Application should be independent of specific technology choices and therefore
should operate on a variety of technology platforms.
Ease-of-Use - Application should be easy to use. The underlying technology should be transparent to users, so
they can concentrate on tasks at hand.
5.2.1 Qualitative Criteria

VI. PROJECT DESIGN


In order to design a web site, the relational database must be designed first. Conceptual design can be divided into
two parts: The data model and the process model.
The data model focuses on what data should be stored in the database while the process model deals with how
the data is processed. To put this in the context of the relational database, the data model is used to design the
relational tables. The process model is used to design the queries that will access and perform operations on those
tables.

Data Model
A data model is a conceptual representation of the data structures that are required by a database. The first step in
designing a database is to develop an Entity-Relation Diagram (ERD). The ERD serves as a blue print from which
a relational database maybe deduced. Figure 6.1 shows the ERD for the project and later we will show the
transformation from ERD to the Relational model.
Entity A matches exactly one record in entity B and every record in B matches exactly one record in A. One to
many means that every record in A matches zero or more records in B and every record in B matches exactly one
record in A. If there is a one to many relationships between two entities, then these entities are represented as
Associative Entities. In the Relational Database model, each of the entities will be transformed into a table. The
tables are shown below along with the attribute.

Scenario Revised
DAVV University situated in Indore city of Madhya Pradesh. A University has a Vice Chancellor as the Chief
executive of the University. Under the VC other executives, employees and other departments are working.
University conducts many different courses as UG, PG and Ph. D. Programs. This University has sixteen
Faculties like Faculty of Arts, Faculty of Social-Science, and Faculty of Engineering Science etc.
Each Subject or group of Subject has Board of Studies and Board of Studies has Board of Members. Board of
Member is teachers as professor, Asst. Professor, Lecturer etc. All professors in department assigned to the faculty,
each Board of studies offer many UG, PG Programs like B.Sc., BCA, M.Sc. M. Tech., MCA, etc. Each program
can be offered by many affiliated Institution/college like as Maharaja Ranjit sing college of professional science,
Rukma Devi Panalal Laddha Mahashvari Vanijay Mahavidyalay etc. and UTD department like as School of
computer science, school of electronics etc.
Each college has fixed number of seats for the Students and they also have eligibility criteria for the admission for
them. The numbers of seats are allocated to the different category to the Students like as GEN/OBC/SC/ST. Each
category is further distributed for the Female and Open candidate. An Open is for categorical student or Handicap
or NRI.
The DAVV gives affiliation to the different colleges for the different conducting courses, now DAVV has more
than 300 colleges. The main work of the University is to enroll many students for different Courses/Programs;
University student may be from state or NRI. In the portal site, student may be exiting students or newly admitted
students. The portal site contains information related to Colleges/Institutes, Teachers, Students, Student seats
Information. This portal site contains site collection of the Colleges/Institutes, an Administrator has full control
and security on the portal site, and Individual college site has limited and contribute access. All the information
and document in the centralize form, it can access by anyone and anywhere via Online Portal site.

VII. CONCLUSION
Every assignment had something to offer. It provided experience both bitter and sweet and thus one must have
learnt some lessons at the end of it. This was no exception for us and hence we too have our part of lessons learnt
from this project. Improvement of users trust in the development process is essential.
DAVV Online Portal, the better alternative really meant to gather data scattered around DAVV University, Indore.
It was really a cumbersome to gather Information from the client side as UTD/colleges. The Universitys whole job
was being done on paper, only manual dealing was there. Building of clients trust on the development process was
a great experience for the project team.
