CALL TO ORDER
Having reached a quorum, the meeting was called to order at 9:15 PM by Regel Asuero, SAMAHAN
President. Opening Prayer was led by Regel Asuero. The SAMAHAN President presided over the meeting
by first enumerating the agenda.
PRESENTATION AND DISCUSSION OF AGENDA
1. Approval of the Minutes
a. A motion to read the minutes of the previous meeting was raised by Troy Vergara and
was duly seconded by Shane Castro.
b. Michael Leyson read the minutes of the previous meeting.
c. A motion to approve the minutes of the previous meeting was raised by Shane Castro and
was duly seconded by Anna Macrohon.
d. A motion to move the third agenda, View Finder: Student Summit 2015, as the first
agenda was raised by Michael Leyson and was duly seconded by Jessa Suico.
2. View Finder: Student Summit 2015
a. The View Finder will be on January 26, 2015
b. Michael Leyson said that the importance of the View Finder is that it is an opportunity
for students to raise concerns to the SAMAHAN Central Board and to the administration.
The View Finder is also an avenue updating previous concerns.
c. There will be 3 phases for the View Finder
i. Phase 1: Student Summit Ambassadors Training and Data Gathering
1. There will be 1 ambassador for small divisions/clusters and 2 for big
divisions/clusters
2. The main responsibility of the ambassadors is to gather information from
the students. SAMAHAN Research and Development Committee is in
charge of data interpretation.

3. Ambassadors will convene to identify the pressing issues of the students.


SAMAHAN Research and Development Committee will filter unnecessary
issues.
4. The administration will be given a copy of the issues and attached are
suggested solutions for the problems raised.
ii. Phase 2: Summit Proper
1. Offices invited are the following:
a. Office of the University President
b. Office of the Academic Vice President
c. Committee on the Disciplinary Board
d. Committee on University Standards
e. Committee on Student Services
f. Office of Student Affairs
g. Physical Plant Office
h. University Information Technology Office
i. Office of the University Libraries and AV Center
iii. Phase 3: Consolidation of Student Concerns and Responses from Offices
1. Consolidated information gathered in the student summit will be
discussed within the SAMAHAN Central Board.
d. December 10, 2014 Deadline of submission for the names of the ambassadors
i. Accountancy Division, Business and Management Division, School of Engineering
and Architecture and Social Sciences Cluster will have 2 ambassadors
ii. Computer Studies Cluster, Humanities and Letters Cluster, Natural Sciences and
Mathematics Cluster, School of Education and School of Nursing will have 1
ambassador.
e. Dennis Casas presented the new survey form. SAMAHAN Research and Development is
still working on the general ideas.
f. Dates of each phases:
i. December 14, 2014, 8 AM to 3PM - Phase 1: Summit Ambassadors Training and
Data Gathering
ii. January 26, 2015 Phase 2: Summit Proper
iii. February 27, 2015 Phase 3: Consolidation of Student Concerns and Responses
from Offices

g. Organizing the Student Summit is not only limited to the SAMAHAN Central Board and
the SAMAHAN Communications. SAMAHAN Research will interpret the data, SAMAHAN
Task Force for logistics, and other committees will be tapped according to their expertise.
h. Michael Leyson said that there are three possible venues for the summit. These are the
Finster Auditorium, Roxas Grounds and the Community Tower Ground Floor
i. Sir Lunar Fayloga said that this summit will be discussing sensitive matters and
the Community Tower will be too open for public.
ii. Roxas Grounds was thought to be the most appropriate venue for the summit
i. Other Concerns and Questions:
i. Shane Castro said that this year, students should be able to ask about their
respective student executive councils. Usually, View Finder is for administrations
but this time, SAMAHAN Central Board will be included.
ii. It was clarified that the ambassadors will have to think of mechanisms on how to
distribute the forms in their respective division/cluster/school.
iii. Troy Vergara raised that they can make use of the OSAA Forms of the General
Assembly for PPO concerns.
iv. Regel Asuero said that the sound system should be improved.
v. Shane Castro asked whether the questions will be filtered. Michael Leyson said
that questions will be filtered and the organizers will still have to think of a
mechanism.
j. A motion to proceed to the next agendum was raised by Troy Vergara and was duly
seconded by Marielle Banawan.
3. Presentation of College Days 2015 Activities
a. It was clarified that the decisions made were based on the meeting with the College Days
Committee and the Office of the Student Affairs.
b. Film Festival
i. Mr. Lunar Fayloga said that the theme should be general. The theme should focus
on celebrating excellence, meaning it can be in the field of academics, sports,
engagement, research, talents and the like.
ii. It was clarified that there shall be an entry from each division/cluster/school.
Everyone part of the film should be coming from the same
division/cluster/school.
iii. Alexis Alberto raised that a concept should be thought of soon so that participants
will have more time.
iv. SAMAHAN Creative Team will be tapped for this event.

c. Theatre
i. It was clarified that this would be in replacement of the Cheerdance Competition.
ii. It was also clarified that this would be a contest.
iii. Theatrical Presentation will revolve around the College Days theme
1. Mr. Lunar Fayloga suggested to have the theme of How an Atenean
Struggles for Excellence.
iv. Shane Castro raised that they can tap Speech Arts teachers to require students to
attend the event.
v. Plaques and awards will be given to the winners.
vi. Guidelines for the Theatrical Presentation:
1. Minimum of 7 people and a maximum of 15 people exclusive of the props
men.
2. Maximum of 5 people for props men.
3. Suggested time for the theatrical presentation:
a. 6 8 minutes 10 votes
b. 8 10 minutes none
4. It was decided by the board to have 6 8 minutes as the duration of the
presentation
d. There will be no over-all winners for the College Days 2015
e. Maryin Yap invited the board to integrate some events of the Ateneo Filipino-Chinese
Community for the Chinese New Year since it will fall on the same dates. Events such as
selling of tikoys, invitation to Chinese merchants, performances from other schools and
the like will occur.
f. Plotting of events will be discussed next meeting.
g. Sir Lunar Fayloga said that he still has to talk to the AVP regarding the schedules during
the College Days.
h. A motion to proceed was raised by Alexis Alberto and was duly seconded by Maryin Yap.
4. Presentation of the Palarong Atenista Shirt
a. Regel Asuero presented the design of the shirt made by the SAMAHAN Creative Team.
b. Red Rocks will be shirt provider. Samples will be asked from them.
c. It was asked if it would be better if there would be no division name for the shirts. Alexis
Alberto said that it would be better to have division names on the shirt for identity.
d. Regel Asuero said that accepting orders should start this December so that students can
wear the shirt on the cheerdance competition day.
e. Selling Mechanism

i. Price will be identified after consultation with the shirt provider


ii. Upon ordering, students will have to pay since a downpayment is needed for
production
iii. CIA should be present all the time to take the money. Task Force is needed for
manpower and taking of orders.
iv. Alexis Alberto raised to have a separate ordering station per
cluster/division/school.
v. If an alumni or an outsider wishes to order, they can course it through a bona fide
student of AdDU
vi. Postpone all decision of the division of profits when all Division Representatives
are present. The treasurer will come up of choices for them to choose from next
meeting.
f. A motion to proceed to the next agendum was raised by Troy Vergara and was duly
seconded
5. Typhoon Ruby Mobilization
a. According to the UCEAC Memorandum, each school will be requested to provide relief
response:
i. School of Arts and Sciences Hygiene Kits
ii. School of Business and Governance Cash
iii. School of Nursing Basic Medicines
iv. School of Engineering and Architecture Basic necessities
v. School of Education Feminine Kit
b. General Assembly is asked to closely coordinate with the Division Representatives
c. Infographics and posters will be created
d. UCEAC will both be the dropping point and will be disclosing the information, especially
the money gathered.
e. Each division is required to have 20 volunteers for the repacking of goods. Deadline of
names will be on December 10, 2014.
f. Another initiative is to have donation boxes/cans placed in strategic places.
g. Closely coordinate with Office of the Buklod Ambassador and SAMAHAN Welfare for this
matter.
h. Motion to proceed to the next agendum was raised by Allexy Flores and was duly
seconded.
6. Resolution Crafting
a. Regel Asuero read the Resolution SCB-05-120514, authored by Marielle Banawan

b. A motion to approve the resolution was raised by Troy Vergara and was duly seconded by
Allexy Flores
c. Resolution Proposals:
i. Resolution on the purchases of parabolic tents enough to cover Roxas Grounds,
Finster Auditorium lights, and platforms was raised and will be authored by Allexy
Flores.
ii. Mr. Lunar Fayloga asked the SAMAHAN to raise the question Can a teacher
require a book when there is an older edition since there is no policy on the
matter.
1. Mr. Lunar Fayloga said that before we craft a resolution regarding this
matter, they should first gather information
2. Allexy Flores raised that they can write a letter of clarification.
3. Regel Asuero said that there should be a consultation with dean, program
directors and heads. Division Representatives were requested to consult
their respective faculty and administration regarding the matter. A letter
will be sent out on December 9, 2014.
d. A motion to proceed to the next agendum was raised by Shane Castro and was duly
seconded by Allexy Flores.
7. Other Matters
a. December 13, 2014 SAMAHAN Central Board Christmas Party. SAMAHAN Central Board,
Executive Board of CCO and GA, and Committee members are invited.
b. December 8, 2014, 3:40 PM; Finster Auditorium - Collective Bargaining Agreements with
Faculty Unions
c. December 12, 2014 at 6:30 PM; Fr. Martinez Sports Center, Matina Campus Liturgical
Concert, a Bicentennial Celebration of the Restoration of the Society of Jesus. 40 seats for
student leaders are reserved on the event.
d. December 10, 2014; 3:40 PM SAMAHAN Welfare Launching. 30 people per division is
requested.
e. December 20, 2014, 5:30 to 9 PM - Fund raising event and celebrating the Christmas
season. For beneficiary: children of St. Charles Borromeo Sisters, Inc. at Matina Aplaya,
Davao City.
i. Tickets are sold at Php 25. Class presidents are given 4 tickets and Division
Representatives are given 8 tickets to sell.

Allexy Flores said that there is an increase of student population so there is an increase in
the general and departmental funds.
g. Allexy Flores reminded the board to make use of the bulletin board along the Roxas
benches.
h. A motion to adjourn was raised by Allexy Flores and was duly seconded by Anna
Macrohon.

The schedule of the next meeting will be on January 5, 2014, 9:00 PM at the SAMAHAN Office.
