1. How do I register for training?


If you have never registered for training, we strongly encourage you to review the steps of
the registration process outlined in this Quick Reference Guide.
Registration for all CWD courses is completed through PeopleSoft Self Service > Learning
and Development > Request Training Enrollment. While CWD courses can be viewed on
both HARVie and PeopleSoft, registration can only be done through PeopleSoft Self
Service. Please note that the registration link in HARVie will not take you to the specific
course in PeopleSoft Self Service but the main page.

2. How do I know what category and subcategory to use?
PeopleSoft Self Service uses category and subcategory codes to differentiate available
courses by the training provider or owner of the training. The category codes can be seen
by clicking on the magnifying glass next to the category field. For example, the Center for
Workplace Development is CWD.

The subcategory is an optional field that can be used to further refine search results. Not all
categories have numerous subcategories. CWD currently has eight subcategories that correspond
to the types of training we offer.

The subcategories in PeopleSoft Self Service match how courses are grouped on the Browse
Courses page on HARVie. For example, CPD220 Difficult Conversations is under Career
and Professional Development Courses on HARVie, or in PeopleSoft Self Service the
subcategory of CPD. If you enter CWD in the Category field and CPD in the subcategory
field, and click SEARCH, you will see a list of CPD courses that includes Difficult
Conversations.
Exceptions:
Web-Ex: Course codes starting with WBX are WebEx courses (ex: WBX601,
Informational Interviews 101) and are under the WCT subcategory.
Licenses: Please refer to the course description on HARVie for how to enroll.

3. How do I search for the course I want?
There are four ways to search for a course in PeopleSoft Self Service. No matter which way
you search, a category code is always required.
Search by Course Number: Once you locate the course number in HARVie, this is the
easiest way to search for a course.
For example, the course code for Difficult Conversations is CPD220. To
search for Difficult Conversations, enter (or select using the magnifying
class) CWD in the Category field, then enter CPD220 in the course
number field and click Search.

Search by Course Name: Enter (or select using the magnifying glass) a Category code. Enter
the full name or partial name of the course and click Search.
For example, to search for Difficult Conversations, entering just the word
difficult will display the course.
Search by Location: There are currently two location sites for CWD training:
124 Mt. Auburn Street, 3rd Floor, Cambridge
Harvard Longwood Campus (formerly Longwood Medical Area),
Boston (typical training locations include Countway Library and the
Kresge building)
Web-Ex/Web Conference Sessions: All CWD Web-Ex sessions are
online and therefore will not appear when searching by location
Please use any of the other search methods.
Enter (or select) CWD in the Category field and click Search to view the two
locations. Select a location to view a list of courses offered at that location.
Search by Date: Enter (or select) CWD in the Category field, enter the From and Through
dates in the search fields and click Search to view all courses offered during the
selected dates.

4. How do prerequisites work?
Prerequisites listed on HARVie and PeopleSoft are required unless a participant has already
covered the pre-requisite course material in another way (ex: a similar class, on the job
experience). We ask participants to read the prerequisites course description to make sure
they have a handle on the class content prior to enrolling.
When enrolling in PeopleSoft Self Service there will be a pop-up referencing the
prerequisite. Close this and continue enrolling, the pop-up will not prevent enrollment.

5. How do I see what Im registered for or what Ive already taken?
A list of the courses for which you are registered, waitlisted or have completed can be found
in your Training Summary. Go to PeopleSoft Self Service> Learning and Development>
Training Summary. For more course information, click the course name and the course detail
page will appear with the course description, cost, time and location information.

6. Where do I see where my course will be held?


Go to PeopleSoft Self Service> Learning and Development> Training Summary. For details
on the session, click the course name and the Course Detail page will appear with the course
description, cost, time, and location information.

7. How do I cancel training?
You can cancel training through your Training Summary.
Go to PeopleSoft Self Service> Learning and Development> Training Summary.
Click on the title of the course you wish to cancel and the Course Detail page will appear.
Click on the Cancel this training request button and a message will appear. The message
explains our late cancellation policy if cancelling occurs less than three days prior to the
session.
Classroom Sessions: There is no charge for cancellations that are completed at least three
business days prior to the training. (For example, you must cancel on Monday for a class that
begins on Friday.) If you do not cancel and do not attend the class, a fee of either $75 or the
cost of the class, whichever is greater, will be billed to the 33-digit billing code provided at
the time of registration. If a personal check has been submitted as payment, the check will be
processed.
WebEx/Web Conference Sessions: Cancellations may be made at any time and a fee will
not be incurred. Please be courteous to other participants and cancel as soon as possible. This
will allow other employees the opportunity to enroll.
Holidays: Please plan accordingly around holidays as these are NOT business days and do
not count towards the three business days you have to cancel prior to a class. See Harvards

Once cancelled, you will receive an e-mail confirming the cancellation within 24 hours.

8. How does the waiting list work?
When a class fills to capacity, additional registrations are automatically put on the waiting
list by order of enrollment. When a reserved seat is cancelled, CWD will check the waiting
list and the first eligible person will be enrolled and will receive a confirmation email.
Please note: If the course session is less than a week away, CWD will contact waiting list
registrants directly by phone and/or email to fill the open seat.

Where am I on the waiting list?


To find out your position on the waiting list, you can call CWD or e-mail
training@harvard.edu.

Why are there people on the waiting list when PeopleSoft shows open seats?
During the registration process in PeopleSoft (on the View Available Sessions page), you
may see a session that has open seats but also has a number in the waitlisted column. This is
due to a registration received with a payment method of Check. When Check is used as
payment method, the person is automatically on the wait list until CWD receives the check.

9. Why do I have to provide a 33-digit billing code if the course is free?
While there is no charge for several of our courses, the late cancellation/no show fee policy
still applies. No-shows and cancellations received less than three business days prior to the
session start date will be charged a fee of $75. For example, you must cancel on Monday for
a Friday session.

10. What are my options for paying for CWD courses? Does CWD accept credit cards?
There are two options for paying: 33-digit billing code or personal check.
33 DBC: Always check with your manager/supervisor, Financial or HR Office for the
appropriate billing code.
Personal Check: When paying by check, you are automatically put on the wait list until the
check is received by CWD. When your check is received, you will be enrolled in
the session if a seat is still available and a confirmation email will be sent
automatically. If a seat is not available, you will remain on the wait list.

Please note: CWD courses are not eligible for the employee Tuition Assistance Plan or the
Education Fund. For participant privacy and security, CWD cannot accept
credit cards or payroll deductions.
