Meeting minutes for August 19, 2008

Attendees: Board Members – Bebee Arnold, Fred Waddle, Johnny Popson, Maria
Haagensen, Sue Reynolds, David Jares, Matoka Snuggs from Charleston Management
also present.

I. Call to order – Meeting called to order at 6:10pm

Homeowner Forum: Jerry Lewis, homeowner at 2608 Diamondhitch, has city easements
on all sides of his lot. He would like to encroach on the city easement and needs a HOA
rep to sign showing that we were aware that his property lines would be changing. We
all agreed to sign his request and informed him that he will need to make a formal request
to build a new fence on his property if the city allows access.

II. Designation of Quorum/Election of Officers

Officers will remain the same as last year.

III. Approval of Prior Meeting Minutes

IV. Treasurer’s Report…

a. Fred Waddle presented and all budget items are in order. If you want to
see a copy of the report contact Matoka at Charleston Management.

V. Management Report –
a. Matoka reported that most residents are paying their dues on time. We are
still continuing to send letters to remind homeowners of delinquent dues.

VI. Committee Reports

a. The Reserve, no members in attendance

b. Architectural Review, Bebee Arnold

i. A request was submitted to build two new houses on the properties
located on the corner of Englefield and Hiking and on Peckover.
Lot #39 and 44. This request was approved on condition if any
 trees are damaged in buffer, they will need to be replaced with an
approved hardwood tree.

c. Communications, Sue Reynolds

i. The minutes and newsletter are now being posted on the website.
We are also putting important announcements on the home page. A
newsletter will be going out again in September.

d. Landscaping and Grounds, David Jares

i. David will be making a list of issues for Matoka to review over
with the landscape company.
ii. Timbers need to be moved around the drain pipe near the tennis
courts to prevent flooding.
iii. Bushes need to be trimmed near entrances so the Durant Trail sign
is visible.
iv. Mulch needs to be added to the playground. Matoka will check on
getting the benches repaired.

e. Activities, Melissa was not in attendance. We went ahead and scheduled

as few events.
i. Annual Fall Yard Sale, Saturday, October 11 between 8-12. Rain
date October 18.
ii. Fall Festival Saturday, October 25. Planning on having a chili
cook off, Jumpies, climbing wall, food. We need new signage.
Will make final plans at September 23 meeting. October 26th will
be the rain date.
f. Pool
i. Before next season we need to purchase new trash cans and
recycling bins for the pool area.
ii. The pool may need to be resurfaced due to several places on the
bottom of the pool that are chipping.
iii. The pool needs to be scrubbed around the perimeter to remove
scum.

VII. Unfinished Business

a. Pool recycling bins and picnic tables need to be purchased
b. Matoka will make sure the hot water is working on the pool shower
c. Signage for board meetings, web updates and special events.
VIII. New Business

a. Matoka will call Litchford Police Station and request for a patrol officer to
drive by the pool parking area in the evenings. There has been an increase
in inappropriate teen activity.
b. New nets will be ordered for the tennis courts.
c. The board is inquiring about dog ordinances in the city. There have been
several reports of dog attacks (not major) but enough to raise concern.
d. The fence needs to be repaired around the tennis courts.
