PLAN FOR ACQUIRING ADS FOR THE ANNIVERSARY CONCERT

1. CONTACT TESS KEAN AND FIND A DEADLINE FOR ADS


Tess Kean has been doing our programs and has many
advertisers in her data base. I e-mailed Tess and given a
tentative date of 10/9 for our concert, Thursday,
2. LOOK AT THE CURRENT LIST OF ADVERTISERS and add
or delete. (Hopefully, a couple of us can do this by the end of
July)
3. SECURE A DATE and time for concert as soon as possible so
forms for advertisers can be printed. Austin is working on
this
4. JULY 21: RECRUIT VOLUNTEERS AT BAND MEETING: I
KNOW (SMILE) THAT ALL OF US ON THE BAND BOARD WILL
SOLICIT ADVERTISERS. If there are 9 of us, I think a lot of the
work can be done by us. Those who live outside of Brown
County can make phone calls instead of visits. Then, I will
recruit band members at the 7/21 rehearsal. (At this time I
dont think I want to assign sections to do it; I would rather
have people volunteer who will be committed to the task). If
we had 10-12 people (which include the board) who will
solicit, each person would have 8-10 calls. If more folks
volunteer, of course, fewer calls will be necessary per
person.
5. AUGUST 4: (depending on when date for concert is
set) MEET WITH AND GIVE EACH VOLUNTEER A FORM
FOR EACH OF THEIR ADVERTISERS and copies of last
years program to show to the advertisersSolicitors
COULD CHOOSE ADVERTISERS FROM THE LIST AND this
would be a time for experienced solicitors to give helpful
hints to new folks) People who are unsure of what to do,
may choose to team up. I will have plenty of forms ready. I
will make a master list of who has each advertiser.
6. MAKE CALLS IN AUGUST TO SECURE ADS I would like
to set aside two weeks (Aug. 15-26) and have all calls and
Ads secured by the end of August. Completed forms will be
given to Phyllis or Bill at rehearsals or by making special
arrangements with them.

7. FINISH UP : September can provide times for everyone to


get straggling forms in and money collected.
8. PROGRAM INFORMATION TO TESS: Theme, Selections of
Music, Board Vita, letter from President, and other items. Im
assuming that Austin will do much of this; and the Board will
do whatever else is needed. To be given to Tess by deadline.
