Where Do I Start?

To get started you need to download the CyberCaféPro Server Software & the CyberCaféPro
Client Software.

These downloads are available by visiting http://www.cybercafepro.com/downloads.htm .

Download the Server Software (referred to as the CCP Server from now on) to the computer that
you plan on using as your front desk computer. The CCP Server is designed for use by
employees of the café to control and administer the Client computers.

Download the Client Software (referred to as the CCP Client from now on) to the computer that
you plan on using as your customer (client) computers. The Client is used to allow the customers
to surf the Internet, while you record time and secure the computer.

Getting Started with the CCP Server

Installation of the CCP Server

Once the CCP Server is downloaded, you need to install it on the front desk computer. The name
of the file is ccpserver.exe. The file should be just over 5mb for v3.8.

Double-click this file then follow the instructions to install.

Firewall Note: If you use a Firewall such as ZoneAlarm, Norton Internet Security, or others on
your computers, you may have to allow the IP Address of the CCP Client into the firewall on the
CCP Server computer and vice versa.

Demo Mode

The CyberCaféPro DEMO is a full functioning program except for the following:

1. The CCP Client computers will time-out once per hour. The session will be shutdown and
become ready for a new session.
2. The CCP Server will only recognize a maximum of 4 client computers.

To continue using the software in DEMO mode, click the ‘Demo’ button on the pop-up license
screen (shown below).

Licensing Your CCP Server

When you start the CCP Server in DEMO mode the screen below will appear:

User License
The user license field will appear as ‘Demo’ until you have registered the software. If you order a
1 Server & 5 Client Package then a ‘5’ will appear.

Machine ID
The Machine ID is used to license your software for the computer that the software is installed on.
CyberCaféPro recommends that your computer have a removable Network Card (NIC) in case
you need to switch your CCP Server Software to another computer.

To license the CCP Server you must follow the Ordering Instructions below:

All payments must be in advance.

Once we have sent you your license information, you will be able to click the ‘Enter Authorization’
button and then enter your code.

Wait! I cannot get a Machine ID! It says ‘Install Netbios’ instead?

If you receive the message to 'Install Netbios' it will be one of three things:

1. Your computer is not plugged in to your network. Make sure your cable is plugged into the
back of the computer.

2. You need to 'Enable Netbios Over TCP/IP' in your TCP/IP properties under the WINS tab.

3. You need to reinstall TCP/IP if the 'Enable Netbios Over TCP/IP' in already selected and the
message still appears.

3a. If you receive this message, you must install TCP/IP and enable NetBIOS. Below is an
example of how this is done using Windows 2000.

1. Right Click the 'My Network Places' Icon on the Windows 2000 desktop.
2. Choose 'Properties'
3. The 'Network and Dial Up Connections' windows should appear. Choose 'Local Area
Connections' icon.
4. 'Local Area Status Connection' window should appear. Click 'Properties' button.
5. The 'Local Area Connection Properties' window should appear. Look for 'Internet
Protocol (TCP/IP)' in the list
6. If it is not present in the list install TCP/IP by using the 'Install' button and following the
instructions. You should not need to go any further in these instructions.
7. If it is already installed choose 'Properties'.
8. Then the 'Advanced' button at the bottom of TCP/IP Properties screen.
9. Select the 'WINS' tab on the 'Advanced TCP/IP Settings' screen.

10. At the bottom of this tab choose 'Enable NetBIOS Over TCP/IP'
11. If this was already selected and the error message is still present then you will need to
uninstall TCP/IP in the ''Local Area Connection Properties' window. Then reboot your
computer.
12. Start at point 6 and install TCP/IP again.

Setting the CCP Server to Give You Control

Logging on to the CCP Server


Employees will have an account that gives them the access that the ‘Administrator’ chooses.
Before you can set up employee accounts you must first setup the ‘Admin’ account. You need to
setup an account to control the ‘Admin Access’ of your café. This is done by:

1. Click the ‘Logon’ button at the top right hand of the screen.
2. You will be told: “All employees will have 'Admin' access until you set up at least one
employee with 'Admin' access level”
3. Click ‘OK’ and you will be taken to the ‘Admin’ screen of the CCP Server.

Language – How can I setup which language to use?

Language Modules
CyberCaféPro Server makes it possible to display in any language you choose. Under the Menu
bar of the CCP Server you can select to change your Language Module. CyberCaféPro comes
equipped with English & Spanish by default.

Setup an Administrator Account


An ‘Admin’ account will have the ability to make changes to any feature. To setup an ‘Admin’
account you must:

1. Make sure you are on the ‘Admin’ screen.


2. Click the ‘Add’ button under the ‘Employees’ section (bottom of screen).
3. The ‘Add New Employee’ screen will appear:

4. To give yourself Admin. Access, enable the ‘Administrator Account (All)’ checkbox.
5. Fill in all the information in the ‘Employee Information’ section

It is very important that you never forget your Password. It cannot be recovered if it is lost.

6. Click the ‘Add Employee’ button in the right bottom corner when finished.

Note: Everyone will have Administrative Access until at least one user has been setup as the
Admistrator (Full access to everything).

Congratulations you are now the Administrator for your CyberCaféPro Server.

You can click the ‘Logoff’ button whenever you are not using the software so nobody uses your
account. The ‘Logoff’ button is in the exact place the ‘Log on’ button was.

Proceed to the next page. It is time to get the CCP Client up and running. Don’t worry it’s easy!

Getting Started with the CCP Client

Installation of the CCP Client

Once the CCP Client is downloaded, you need to install it on all the computers that your
customers will use (only 4 will connect if you are in DEMO mode). The name of the file is
ccpclient.exe. The file should be around 4mb for v3.8.

Double-click this file then follow the instructions to install. Your computer will need to reboot.

Firewall Note: If you use a Firewall such as ZoneAlarm, Norton Internet Security, or others on
your computers, you may have to allow the IP Address of the CCP Client into the firewall on the
CCP Server computer and vice versa. You may also go into your ‘Advanced Security Properties’
and Deselect ‘Block Local Servers’.

Starting CCP Client for the First Time

When the CCP Client is started for the first time, you will be prompted to do the basic setup of the
client. You will be prompted to:

1. Set your Admin, Reset, & Exit passwords.


2. Set your IP Address or Machine Name of the CCP Server computer. (CCP will try and
auto-detect the server but please verify that it is correct)

Set your Admin, Reset, & Exit Passwords


Choose password for each of these functions. Please do not make them the same passwords
because they are performing different functions.

 Admin Password - The password that will allow you into the Admin section to make
modifications to the CCP Client.

 Reset Password – The password that will allow you to ‘Reset’ a Play & Pay session from
the client computer. This will also allow you to unlock a computer (disabled by default).
 Exit Password – The password that will allow you shutdown the client. The client will
restart the next time the computer is turned on.

Deselect the ‘Show’ checkbox to hide the passwords.

Caution: Please make note of these passwords. They are encrypted and cannot be recovered.

Set your IP Address or Machine Name of the CCP Server Computer


In order for the CCP Server & CCP Client to be able to see each other, you must either set the IP
Address of the CCP Server or the Machine Name. They are both available in the ‘License’ screen
of the Server.

Firewall Note: If you use a Firewall such as ZoneAlarm, Norton Internet Security, or others on
your computers, you may have to allow the IP Address of the CCP Client into the firewall on the
CCP Server computer and vice versa. You may also go into your ‘Advanced Security Properties’
and Deselect ‘Block Local Servers’.

Your CCP Server and CCP Client should now be connected. You will know they are connected
when a computer icon appears on the CCP Server desktop and the status light on the CCP Client
is green.

Your CCP Client icons on the Server will have many different colors and pictures based on
what is happening on the computer at that time. To a view a legend of what they mean, click the
‘Legend’ button on the top right button bar.

Server – General Settings and Functions

You can use the large gray area below the icons to setup the where each CCP Client is in your
café. This will help you to find the icons more easily and will allow you to move the icons from the
top bar.

Icon Size
In the ‘Admin’ section of the CCP Server you will see an option called ‘Icon Size’. Use this to
either set your computer icons to small, Medium, Large or Jumbo. Café with larger amounts of
computers will need smaller icons to fit them all on the screen.

Moving Icons Down to the Workspace


You will eventually need to move your computers icons from the top icon tray. If you don’t you will
likely run out of room. The ‘Workspace’ is used to setup your icons in the layout of your café.

To move an icon down from the tray to the workspace:


1. Under the ‘Workspace’ heading of the CCP Server Admin. section choose ‘Edit’.
2. Select icon you wish to move and drag it down into the workspace.

Only icons that have been connected to a CCP Client can be moved to the workspace. If
you have old icons that are no longer is use, drag the icon to the ‘Recycle’ bin and you will be
able to use it again for another client. This can only be done in ‘Edit’ mode.

Pricing? How Do I Setup Pricing?

Pricing Structures – Prepaid vs. Play & Pay


CyberCaféPro comes equipped with 2 methods of pricing your café.

1. Play & Pay - This method allows customers to sit down at the computer and start
working. When the first button is clicked, the timer will start. When the customer is
finished the session, the customer clicks ‘End Session’ and the timing and billing stops.
The bill is then paid at the front counter. The employee can see the charges on the
screen by clicking the on-screen icon that represents that computer.

2. Timecode Accounts & User Accounts – These methods are both used to setup prepaid
accounts for your customers. The customer is issued a Timecode or Username &
Password that represents the amount of time purchased. A code or account can be
created for anywhere between 5 mins to 999 hrs. We will cover the finer points of these
methods later.

Currency – How Do I Set the Currency that CyberCaféPro Will Use?


The currency will be determined by what your system has setup in the ‘Windows Regional
Settings’. Setup your Regional Setting to the desired settings and we will take the information.

Setting Your Pricing Structure


To get to your pricing options, go to the ‘Admin’ section of the CCP Server then click the ‘Pricing’
button. The screen should look like this:

Pricing Groups
Play and Pay Group 1 – All computers in this group will be set to ‘Play and Pay’ mode with the
price listed below the white box.

Play and Pay Group 2 - All computers in this group will be set to ‘Play and Pay’ mode with the
price listed below the white box.

Self-Pricing – Pricing can also be set on the client computer (Play and Pay Mode) for each
individual computer. If the pricing is set from a client, the computer will automatically be placed in
this group.

Account Mode – The computers in this group will all be in ‘Account Mode’ (Prepaid).

The green icon located at the top left of the screen represents the CCP Client computer named
‘TESTMACH’. Each computer will take the name that was issued to the computer when Windows
was installed. In the example above the TESTMACH is in account mode.

New Connection Default
Each pricing group has an option called ‘New Connection Default’ below the group list (large
white box). In the example above the ‘New Connection Default’ is set to ‘Account Mode’. This
means that every time a new CCP Client is connected for the first time, it will automatically be
placed in this pricing group.

Switching From One Pricing Group to Another


This is as easy as dragging and dropping. Select the computer name from the group and hold
the left mouse button down. Then drag the name to the group you wish. It is that easy!

An Easy Way to Change Pricing From the Desktop


For cafes that offer both ‘Play and Pay’ and Account Mode, CyberCaféPro has added an easy
method to quickly change pricing modes.

To switch a CCP Client computer’s pricing mode quickly,


simply right-click the icon of the computer you wish to
change. In the list choose the pricing mode you wish to
change to. It is that easy!

With the right-click option you can also Lock or Unlock a


client station and reboot or shutdown a client station.

Account (Timecode) Mode Pricing

Hourly Rate
If the café is setup to do prepaid pricing you will need to setup a price that each hour will cost.
The pricing box is located below the ‘Account Mode’ pricing group.

In the example above the price per hour will be $7.00. This means that if someone were to buy a
one-hour Timecode, a charge of $7.00 would appear. If the person only wanted 30 mins, then the
Timecode would be worth $3.50.

Bulk Pricing – Charging Less for Larger Timecodes


Many café owners who use Account Mode like to offer a lower price/hr for the purchase of larger
Timecodes. This is usually to get customers to come back again and again to use up the time
remaining on the code. This can be done using the ‘Bulk Pricing’ feature located at the bottom of
the ‘Account Mode’ group.

In this example our price/hour has already been established to


be $7.00/hr. When the café sells a code for less then 5 hours
then the charge will be the hourly rate. Ex. A 4 hour code
would be (4 x $7.00= $28.00) $28 dollars total.

If the café sells a code for 6 hours then the price per hour will
automatically change. This is because the pricing is set to
charge $5.00/hour for any code between 5 hour & 9hrs and 55
mins. This code would be (6 x $5.00 = $30.00) $30 dollars
total.

CyberCaféPro allows up to 5 different bulk-pricing settings.

Play and Pay Pricing

To use the ‘Play and Pay’ pricing you must first move the computer you wish to use this mode to
the proper pricing group. In the example below the CCP Client ‘TESTMACH’ has been placed in
‘Play and Pay Group 1’.

Hourly Rate
The hourly rate is set by setting the price is the ‘Hourly Rare is’ field below the ‘Play and Play
Group 1’ pricing group. In this example the price/hour is $7.00.

The time will be charged on a per/minute basis on the CCP Client Screen. The CCP Server will
always be able to see what amount each CCP Client has owing for each session.

Minimum & Base Price


For each session the administrator can choose to set a ‘Minimum’ or ‘Base’ price. Using the drop
box and price field below the ‘Hourly Rate is’ field can set these.

1. ‘Minimum is’ – By setting a rate here the session cannot be worth less then the set
minimum price. In this example it is $2.00. The customer will see $2.00 on the screen
until the session reaches the point where it should cost $2.00. From here the CCP Client
will continue to charge normally.

2. ‘Base is’ – This is a rate that is added to the session automatically at the beginning. A
charge of $2.00 would be added and the hourly rate would be in effect immediately. The
session would be worth $9.00 if the customer stayed on for 1 hour.

Receipt Setup

Settings
Setting up a receipt that is printed out with each sale is fast and easy. Go to the CCP Server
‘Admin’ section and look for the ‘Receipt’ button. The screen below will pop-up.

The header and footer field is where you type in the messages you would like to appear at the top
and bottom of each receipt.

You must enter a hard return at the end of each for the printer to recognize the line ending.
Widths will be based on your printer so you must experiment with the number of characters per
line.

Your next step will be to choose whether you want to be asked (prompted) before printing a
receipt or if you want it done automatically. Choose ‘Prompt’ to be asked, ‘Automatic’ to have it
done for you, or ‘Disable’ to have no receipt printed.

Printer Setup for Receipts


By pushing the ‘Printer’ button on this screen you can choose an existing printer that is already
setup in your Windows Operating System. You can use any size printer that can be setup with
Windows drivers.

CCP Client – General Setting & Functions


How do I enter the CCP Client Administration

To enter the CCP Client Admin, you must click the circle button in the picture above. From there
you will be asked to input the password you chose earlier as the ‘Admin Password’.

The Admin section cannot be accessed while a session is running or while a CCP Client
needs to reset after a Play & Pay session.

Resetting a Customer’s Session


After a customer has completed a Play & Pay session, the customer must pay at the counter.
After this is done the CCP Client Session from the CCP Server and will be ready for the next
session. To reset from the CCP Client you can hit the ‘Admin’ button and choose the ‘Reset this
Workstation’ option. You then must enter the ‘Reset Password’ you assigned earlier.

CCP Client Desktop – I want it so reflect the look of my café.

All the images on the desktop can be changes to the dimensions of the current graphics.

To change graphics enter the ‘Screen Setup’ section of the Client Admin. and choose the option
you wish.

Ex. The large ‘CyberCaféPro’ logo in the middle of the Desktop can be change by clicking ‘Logo’
button. Here you can choose which logo to use in its place. For the CCP Client dimensions
please see the Client Dimensions section. (See graphic on the next page)

How Do I Create Buttons for Customers to Use

CyberCaféPro comes equipped with 96 buttons that can be used to launch programs, games,
files, or Internet Addresses. This allow you to choose exactly what your customer has access to
while hiding the things you don’t want them to see or play with.

Buttons to Launch Programs etc…


CyberCaféPro has three main buttons that lead to 32 more buttons each. By default these three
buttons have the labels INTERNET, GAMES & OFFICE. These graphics can be changed by
going to the Screen Setup section. This is where they can also be setup to launch what you wish
your customers to use.
The button labeled INTERNET is called ‘MainScreen, Button 1’. When this button is ‘Enabled’
using the checkbox at the top right of the screen it will lead the customer to 32 more buttons.
This will lead to the ‘Screen 1’ which can be accessed by clicking the ‘Screen1’ button is the
‘Screen Setup’ section.

In the above graphic the highlighted button launches ‘http://www.hotmail.com’. This button was
setup by:

You will need to choose a button that has not been used yet. A button with an ‘X’ is not
enabled. Simply click the button you wish to edit. Then:
1. Choose ‘Enabled’ by using the checkbox. This will allow the Desktop to see this button.
2. (If using Timecodes or Accounts) Choose what happens when a session is finished. You
can either:
 None – When the customer’s time runs the CCP Client will stop the session and
become ready for the next session to start.

 Overtime – The CCP Client will not shutdown the session when the customers
time expires. Instead the CCP Client will notify the CCP Server and begin
counting in the negative. The CCP Client will shutdown the session when the

customer tries to access a different button other than the one that is currently
being used.

 Reboot – The CCP Client will reboot after the session is completed.

Some administrators use this ‘Reboot’ feature after using certain games to
restore the system to its original settings.

3. In the example above we have chosen to launch to a Web Address. To do this we must
select the ‘Web Address’ checkbox. (If you wanted to launch a program then deselect the
checkbox and push the program button).

In the address box below the checkbox, type the web address you wish to launch. In this
case we type ‘http://www.hotmail.com’.

4. On the lower part of the screen you can choose the design of each button. Here you can
customize the font, color or image.

Sound Setup

Choosing Sounds for Different Events


Sound can be related to many different events in your café. To set these go to the CCP Client
Admin.’s ‘Sounds’ section.

Each of the events in the Sounds tab can be associated with a different sound. Use the ‘File’
button to choose the .wav file you wish to use. The ‘>’ button can be used to test the sound. The
‘X’ button can be used to disable the sound if you no longer wish to use it.

You can enable of disable all sound by using the ‘Sound Enabled’ checkbox at the bottom of the
screen.

Time Warning for End of Session


You can choose to play a time warning when a customer’s session is getting low on time. Adjust
to the minutes left that you wish then the CCP Client will warn your customer each time the
Timecode or Account session gets to that point. 0 minutes = Disabled.

How Do I Setup My Security?

CyberCaféPro comes equipped with many features that help keep people out of parts of your
computer that you do not want them to change. You can access these features under the
‘System Access’ tab of the CCP Client Admin.

Your first step should be to decide what Internet Explorer Options you wish to block.

Blocking Internet Explorer Options


Internet Explorer has options that you may wish to not allow access to. The features that can be
blocked are shown below:

By checking the box next to each feature you will be able to block the customer from accessing
through the Internet Explorer menu.

These features that are blocked through the Internet Explorer will not be blocked in other
programs. Don’t worry; CyberCaféPro gives you other options for doing this. See the
‘Window Killer’ section below for more information.

Blocking Local Drives


CyberCaféPro gives you the option of blocking any drive you wish from the view of the Windows
Explorer. You can block Drive A: to Drive Z:

To block a drive simply check the box next to the proper drive. The selected drive will be hidden
from Windows Explorer.

These features that are hidden from the Windows Explorer may not be blocked in other
programs. Don’t worry; CyberCaféPro gives you other options for doing this. See the ‘Window
Killer’ section below for more information.

Disable WinKey - Some keyboards contain a WinKey that allows access to your system. To
disable this check the ‘Disable WinKey – Requires Reboot (NT/2000/XP)’.

Hide Control Panel from Explorer – The Explorers allow access to your Control Panel by simply
typing ‘Control Panel’ in the address bars. Select to ‘Hide Control Panel from Explorer’ to block
access.

Disable CD Auto Run – If you wish not to have a CD run automatically when loaded into the
CD/DVD Drive, select to ‘Disable CD Auto Run’.

Windows Killer
A very effective way of keeping people out of your system is to use the ‘Windows Killer’. There
are many programs that allow people backdoors into your files. The only way to prevent this is to
recognize them and then block them.

If you come across a Window that you want automatically closed:

1. Find the Window Title Bar. In this example you have noticed that through Microsoft
Internet Explorer, the customer can go into the menu bar>View>Privacy Report and then
click the ‘Settings…’ button to access your file system.

The circled area is the ‘Window Title’. For this example the title is ‘Privacy Report’.
Notice the capital P and R. The title must be exact for the best performance.

2. Go to the Client Admin. and choose the ‘System Access’ section. Then choose ‘Window
Killer’.

3. In the circle area in the above picture, type the exact Window Title.
4. Then click the ‘Add to List’ button.
5. The title ‘Privacy Report’ should now appear with the rest of the blocked titles in the large
white box.
6. When someone tries to access this window, the window will instantly be shutdown.

Language – How can I setup which language to use?

Language Modules
CyberCaféPro make it possible to display in any language you choose. Under the ‘System &
Passwords’ section of the CCP Client you can select to change your Language Module.
CyberCaféPro comes equipped with English & Spanish by default.

CCP Server – Day-to-Day Use

Timecode Mode

Creating a Timecode - How do I create a Timecode that my customers can use?


In order to have Timecode Mode codes work you must have the client computer setup to be in
Timecode Mode. To create a code you must first generate the code and then sell it under the
‘Accounts’ section. The code will not be active in the café until it has been sold.

1. The first step is to choose how much


time you would like the code to
represent. This can be done with the
drop-boxes labeled ‘Hours’ &
‘Minutes’.
2. Choose if you want to have the code
expire. If so, choose the number of
days in the ‘Days to expire…’ field.
The code will expire in X days after it
is sold. 0 = Do not expire.
3. Click the ‘Generate New Code’ button
near the bottom of the screen.

The code is now generated but is not
able to be used by customer. This
allows owner to generate many codes
at once and then sell them one by one
later. To make the code active you
must:

‘Unsold’ to see all the codes that can
be sold. Choose ‘Unsold’ under

the gray box on the left once. An arrow ( ) will appear next to the line with the code.
7. Click the ‘Sell Selected Code’ button that is above the Generate New Code button (Pt. 3).
The box below will appear.
8. If you wish to ‘Override’ the price
click the ‘Override Usage’ button. If
not, click yes and you will be asked
if you would like to print a receipt.

If you choose yes, the receipt will


print to the printer you selected
earlier in the ‘Receipt’ options.

You can choose to not allow your employees to ‘Override’ prices when you setup
their Employee Account.

Allowing Timecodes to Expire


In the above section you learned how to tell a code when to expire. In order to makes the codes
expire you will need to tell the CCP Server to allow codes to expire.

Go to the Admin Screen of the CCP Server. Check the box ‘Expire codes. Codes will…’ All
codes that have been set with an expiry code will expire when told to. If this option is not
selected, all codes will act like they were not assigned an expiry.

Expired Code – How do I reactivate this code to be used again?


To make an expired code active in the café again you simply press the ‘Reactivate Timecode’
button (located next to the ‘Generate New Timecode’ button). The code will no longer appear
expired.

Multiple Timecodes – Can I create many codes at once and sell them later?
Yes you can. You can create anywhere between 1 and 1000 codes of the same value at one
time. In the example below we are creating 500 x 1 hour codes.

Simply click the ‘Generate Multiple’ button. A box will pop up and ask how many you want to
generate (create). We type in 500 and click OK. 500 codes should now appear in the ‘Unsold’
code field.

If you wish to sell all the codes at once, click the ‘Sell All Unsold’ button and all codes that
were in the ‘Unsold’ field will now be active in the café.

Adding Time to a Code?


Simply choose how many hours and minutes you like to add. Then click the ‘Add Time To Code’
button. Continue with the sale as normal.

User Accounts

A ‘User Account’ is basically the same as a Timecode but instead of the alphanumeric code, the
customer will use a username & password.

Creating a User Account


If we wish to create a User Account for a customer named Jane Doe we would:

1. Click the ‘Use Accounts’ tab in the


Accounts section of the CCP Server.

2. Choose the amount of time we wish to


initially give to the code. If the example
below we are giving 5 hours.

3. Click the ‘Create Account button.

4. The screen below will appear. This is


where you enter the information of the
customer and decide what privileges Jan
Doe will have.

Enter the customer’s information in all of the fields above. The Username must be at least 6
characters long. After you have the information click the ‘Sell Account’ button to finish the sale.
The account info should now appear in the User Account field. ‘Active’, ‘Inactive’ or ‘All’ User
Accounts can be sorted in this field.

‘Full Windows Access’ checkbox – If you check the circled box above, Jane Doe will have
access to the Windows Desktop with none of the restrictions you have set using CCP. This is
designed for customers you trust due to the vulnerability it will create.

Finding an Existing User Account
The first step of adding time to an account is finding the account.

If you have many user accounts it may be difficult to find a code in the list. To find a specific user
simply start typing the Username into the ‘Find’ field. The field will turn green if your search has
results and will turn red if there is no matching. The name will be highlighted in the User
Accounts Field.

To edit an existing user’s information or privileges click the ‘Edit’ button above the User
Accounts Field. To delete the account press the ‘Delete’ button.

Adding Time to an Existing User Account


After you have found the account, click the ‘Sell Time to Account’ button on the Accounts Screen.
The amount added will be added to the existing time. This can be done while a session is
running.

Legend

In the CyberCaféPro Server’s Workspace there are many icons that have different meanings. If
you need to know what they are, click the ‘Legend’ button at the top right side of the screen.

Reports – How do I generate different reports?

To generate reports for different events in your café go to the Admin Section of the CCP Server.
Click the ‘Reports’ button. You will see this screen:

Types of Reports: Sales, Program Use, Employee, and Timecode. You can also do quick reports
which will give you Sales reports for This Week, Month or Year, or Last Week, Month or Year.

Sales Reports
To create a Sale Report you must first choose ‘Sales’ in the ‘Report Type’ area. You can then
filter the reports to get the exact report you wish. In the above example we have done a Sales
Report by Timecode only, All Employees, and All Computers. You may also filter the dates.

The report will look like this:

Notice the –60:00 TC-ADJ. This means that a Timecode was sold at 9:44:00 AM for $120.00
with a -$60.00 adjustment. You can all the details of the adjustment in the log by pressing the
‘Logfile’ button in the ‘Admin’ section of the CCP Server.

Program Use – What are my customers using in my café?
CCP Server will generate a report by choosing ‘Program Use’ as the Report Type. This report will
summarize each program (button) you have setup on the CCP Clients, and tell you rank, number
of hits, and %of the total use.

The report will look like this:

In this example ‘WINWORD.EXE’ is clearly the most frequently used button in the café.

Send Auto-Email Reports


CCP Server gives you the option of sending reports automatically to your email. This is ideal for
owners or managers who are away from the café. To set this up, go to the ‘Auto Email’ button in
the ‘Admin’ Section of the CCP Server and press the ‘Auto Email Settings’ button.

Sample values for the Auto Email are as follows:

The first entry is your email server name as setup in your email clients SMTP server field.

Email Server Name or IP Address: smtp.myserver.com (or 24.66.93.12 if using IP)


Sender Name: Ray Doe (may be irrelevant on many email clients)
Sender Email: rayscafe@raymail.com (this will show up in the From line)
To: rayshome@rayshome.com (this is where you want to send the emails)
Cc: rayspartner@rayspartner.com (this is where to send a copy of the email)
Subject: My Cafes Auto Email Reports (This is what will be in the subject line of the email)

Choose which reports you would like to receive, then set the frequency for the reports. If you
choose daily, a report of the previous day will be sent as soon as it is the next day (Midnight). If
the server is not running, it will send the reports the next time the server is started. If it is not
started for a couple of days, it will send one report for each day missed.

If you choose weekly reports, it will send a report for the previous week, and so on.

Day-to-Day Client Use

The first thing a customer will see is the CCP Client Desktop.

The above image is a sample of an in session CCP Client Desktop in Play & Pay mode.

What functions will the customer use?

Starting a Session
Play & Pay Mode – To start a session in Play & Pay mode all the customer need to do is click one
of the three program group button. In the example above they are the buttons marked ‘Internet’,
‘Games’, and ‘Office’.

In you wish to only allow customers to use computers chosen by a staff member, you can
lock the desktop until a computer is assigned to a customer. You can set the computer to Auto-
Lock by going to the ‘Pricing’ in the CCP Client Admin.

Timecode Mode – To start a session the customer must have a valid Timecode. The code can be
punched into the Timecode box to a CCP Client that is in Timecode Mode. (The Timecode box is
circle below)

Account Mode – The customer can change the option above the Timecode box to ‘Account’. The
customer will be given the option to enter their ‘Username’ & ‘Password’.

User Help
The ‘User Help’ button is used to relay information to your customers. You can type the
information you wish to share into the ‘User Instruction Editor’ in the CCP Client Admin.

Surfing & Playing Using the Desktop


The customer is able to launch a program or web address by clicking on one of the three program
group buttons. These buttons will lead to a maximum 96 more buttons divided into 6 subgroups
(32 per program group).

Pushing the desired button will launch the program that you have associated with that button.

These buttons can be setup in the ‘Screen Design’ section of the CCP Admin. See the ‘How
Do I Create Buttons for Customers to Use’ section for more details.
